Clinical Hiring Process

CareNet of North Carolina Clinical Hiring Process

1. Center director has initial informational session with candidate and acquires résumé, which should include references with full names and addresses. Resume must show education and work history in month/year format and education section must show graduate degree in month/year format with both start and end date per insurance requirements. Also, any gaps in work history must be explained. Failure to provide resume in this format can delay the credentialing process.

2. Center director consults with CareNet president concerning next steps. Director includes CareNet director of finance and administrative specialist in all e-mail communication to provide notice that an applicant is being considered for hire.

3. After director determines that candidate desires employment with CareNet and is not actively pursuing other options, director e-mails the résumé and list of references to administrative specialist at the CareNet administrative office, or if not in electronic format, places original or copy in mail. Also, director should provide a copy of the job description and the hiring process to candidate. The applicant should read the job description and hiring process documents and discuss with the director. Before we can move forward, the director should contact administrative specialist with confirmation that this has been done.

4. Administrative specialist mails applicant letter and clinical screening procedures to candidate.

5. Administrative specialist mails the Evaluation of Clinical Skills form to the references provided and requests return of form to her attention via fax or mail. When received, administrative specialist will fax copy to director for review.

6. Director calls CareNet president with possible dates for clinical screening interview.

7. CareNet president coordinates dates for clinical interview and notifies administrative specialist and CareNet director of finance of date chosen. All clinical interviews are held at the Winston-Salem administrative office.

8. Applicant sends copies of case presentation to Administrative specialist one week prior to screening interview. Administrative specialist distributes to director and interviewers. Candidates who do not submit case presentation will not be considered for hire.

9. Clinical screening interview is conducted by center director, CareNet president and a third person to be determined. In addition, director is encouraged to introduce prospective clinical hire to local center staff and board president to receive feedback before a final decision is made. A decision will be made within 7 days of the interview as to whether the hiring process will continue. Director should notify CareNet administrative specialist and director of finance of decision.

10. If job offer is made and candidate accepts, CareNet director of finance will provide the following documents to the new hire: a) Compensation Policies (see CareNet Operations Manual); b) CareNet Payroll Calendar; c) Benefits Chart; d) CareNet Operations Manual (for review prior to scheduled orientation with CareNet administrative staff).

11. Director establishes goals and affirms compensation information with applicant in consultation with CareNet director of finance.

12. Director provides the following required information for the Job Opening to director of finance: a) projected start date; b) whether candidate is full-time or part-time; c) specify # of hours/week; d) clarify compensation; e) job code. Until this information is received in the CareNet office, we cannot move forward with HR. CareNet director of finance will notify administrative specialist of this information when received.

13. After projected start date is discussed with new hire and confirmed by director in Step #12, administrative specialist will notify new hire of requirement to attend a one-day orientation session called Alternate New Employee Orientation (ANEO) in Winston-Salem to meet with the hospital Human Resources department and CareNet administrative office staff. Administrative specialist will notify Human Resources and CareNet administrative staff of the ANEO date.

14. Administrative specialist completes on-line Job Opening and submits to NCBH Human Resources.

15. A NCBH Human Resources recruiter will call applicant concerning drug screening and to discuss immunization and flu shot requirements and scheduling.

16. A NCBH Human Resources recruiter will contact applicant with instructions for submitting NCBH on-line application.

17. Offer of employment is made by NCBH Human Resources who mails letter to new hire.

18. Administrative specialist mails CareNet informational letter and ANEO CD to the new hire with instructions to view CD before coming to Winston-Salem for orientation. Administrative specialist also includes in the same mailing the packet of information prepared by director of finance (see Step #10).

19. Administrative specialist will request a Certificate of Liability Insurance form for the new hire from Risk and Insurance Management (a hospital department) for receipt by orientation date and will provide clinician and office manager with a copy.

20. At time of orientation, administrative specialist prepares and provides new hire with insurance applications, related forms and instructions for completion of on-line applications. New hire should provide information to administrative specialist regarding what panels they may already be credentialed with prior to orientation date.

21. Administrative specialist will submit completed insurance applications for clinician appropriately. Expedition is contingent upon the clinician’s ability to get requested information back to Administrative specialist in a timely manner. The provider’s approval on an insurance company’s panel is not automatic.
