Award Memo Texas Community College Cooperative Purchasing Network April 14, 2015

To: TACC Executive Committee Item: Consider awarding a contract for RFP # 001-15 HVAC Services

Prepared by: Charlie Oberrender Director of Cooperative Purchasing

The TCCCPN desires to award contracts to:

Mechanical Concepts (East Region) Lange Mechanical LP (Southeast Region) TD Industries (Midland, Odessa, Central, North except Vernon, South, Southeast Regions) Tonne AC/Heating (Corpus Christi, Beeville, Brownsville, Victoria, McAllen areas) Ferrara’s Heating & AC (East, Southeast Regions) Brandt Companies (North except Vernon, Southeast, Central Regions; Laredo, Uvalde, San Antonio areas)

This contract would cover the following categories: 1 – All Items

An RFP was prepared and advertised in the Austin American Statesman on January 28th and February 4th as well as through the Demand Star bid service. Colleges were contacted for suggestions for local vendors. Notices were sent to vendors on the coop’s bidders list. Twenty- four vendors obtained RFP packages. Six proposals was received and opened on February 20th from:

Mechanical Concepts of Shreveport, LA Tonne AC & Heating of Corpus Christi Lange Mechanical LP of Houston Ferrara’s Heating & AC of Lufkin TD Industries of San Antonio Brandt Companies of Schertz, TX

The proposals were reviewed and an evaluation summary prepared. It is the recommendation of Staff and the TACC Cooperative Purchasing Advisory Committee that contracts be awarded as described.

This award does not replace existing contracts in place from Technical Building Services for the El Paso area, Trinity Air Conditioning for the Vernon/Wichita Falls area, and Caprock Heating & Plumbing for Levelland, Big Spring, Snyder, Amarillo, Borger and Clarendon areas under contract # 010-13.

The recommended vendors have been determined to be qualified and multiple awards will allow for member choice and statewide coverage. Therefore, it is recommended to make their products/services available to the cooperative members for their consideration when such a need arises. A 2% service fee will be paid to the coop.

A standard TACC Master Agreement will be executed for the term of one year with the option to renew for up to four additional one-year terms.
