E-learning Coordinators are available in every state and territory to provide VET practitioners interested in e-learning with advice and support through a range of products, resources and information.

The E-Learning Coordinators:

 Provide support and advice to training organisations that are planning for, or implementing e- learning.  Organise and attend presentations covering a range of e-learning topics  Provide support to staff professional development days for training organisations  Visit regional and metropolitan training organisations to provide support, advice and professional development on embedding e-learning  Present e-learning information sessions at education, career and community group conferences  Develop a process for promoting e-learning professional development opportunities including state and national events  Create and maintain mailing lists to promote e-learning events

State and Territory Content Services Advisors (CSAs):

CSAs are available in every state and territory to assist private RTOs, industry bodies, TAFE, ACE and VET in Schools to successfully implement Flexible Learning Toolboxes and online content.

The Content Services Advisory (CSA) Network provides support to training providers in:

 The selection and use of e-learning resources from the national repository  Discovery and downloading of learning objects  Customisation of existing content for particular training needs  Assistance with user-generated content  Packaging and uploading of new e-learning content  The use of content development tools.

1. Baseline Data

Early in your project commencement you will be expected to facilitate data collection including participation of learners and organisations in pre-program and post–program online surveys provided by the E-Learning for Participation and Skills Business Activity Manager. The online surveys will be provided to, and administered by the Lead Agent. Survey questions will be designed to address the expected outcomes of the three streams and will be used to gauge program performance.

Requirements for data collection may include:  recording the relevant skills, qualifications and employment status of participating learners, on entry to the training program

 recording the progress of participating learners in skill development, qualifications, continuing training/education involvement and employment status at the completion of the funding period

2. Project Invoicing

Payments do not occur automatically. You are required to raise and invoice and send it to your BAM so that the approval process can be completed. If there are any problems with your payment you will be notified by email.

There are two invoices required by the following dates:  Initial tax invoice for 60% payment due 28 September 2012  Final invoice for 40% payment and acquittal statement due 7 June 2013

All invoices should be sent to the Business Activity Manager via email: [email protected]

Once the invoice is received the Business Activity Manager will approve it if the conditions listed in the contract have been met.

At the conclusion of your project, you are required to complete the Final acquittal using the template (Appendix A) and return it to your Business Activity Manager by 7 June 2013.

3. Mid Project Visit The Business Activity Manager will visit your project team sometime during February or March 2013. This time of this visit will be negotiated with you. The purpose of the visit is to meet with you and your project team, discuss project issues and provide solutions. At the time of the visit the BAM will complete a progress report and discuss the requirements of the end of Project Showcase to be held in Melbourne on 24 May 2013. 4. End of Project Showcase You will be required to attend and in some cases present at the End of Project Showcase to demonstrate and share the outcomes of your project. The showcase will be held in Melbourne on 24 May 2013. Further details of the showcase will be communicated by your BAM early in 2013.

5. Final Project Report / Case Study The final project report template will be in the form of a formative case study. The case study will tell the story of your project and experiences and also captures some data in an appendix. The case study should include media such as photographs, videos and sound files that make the story interesting. The case study template will be available on the wiki by the end of September and needs to be completed by 7 June 2013 (or earlier)

6. Project acquittal As part of the contractual arrangement, you will need to submit a final acquittal statement signed by both the Business Manager and the person in your organisation with delegation to approve expenses and organisational funds as per your Business Activity. Please refer to your original E-learning for Participation and Skills Program Business Activity Budget. See Acquittal Template Appendix A. Please ensure your signed acquittal is submitted to:

Communications and marketing

Your project will benefit from communication with other project teams in your jurisdiction or other stat es and territories. The list of funded project teams is available on the E-learning for Participation and Skills wikipage at : http://participationandskills.wikispaces.com/

You can use the details in the wikipage or through the monthly online meetings to contact each other to learn and share information about your projects. Communication amongst project teams is highly encouraged.

Below are communications methods that E-Learning for Participation and Skills project managers will need to use as part of their communication.

Promotion and Media Releases

As a funded project teams you have agreed to take part in promotional strategies (e.g. presentations at suitable conferences, support for the development of articles and other literature related to the project) both during the project and for 12 months following project completion. You may be contacted during the year to provide information for media releases

Public Team Profile Page

Located on the wiki (http://participationandskills.wikispaces.com/) is the team profile page for each team. This information will be available to the public. You will be required to complete the information under each heading by the end of September 2012. (The headings are based on your application form so please cut and paste). If you need any help or support on how to update your page we will have ‘how to’ instructions on the wiki for you.

Monthly project updates Please complete a minimum of 2 paragraphs each month providing an update of your project on your wikipage. Instructions will be provided.

Monthly online meetings

Regular online meetings (included in your timelines) will be held for project managers, members of their team, State and Territory E-Learning Coordinators and Content Services Advisors. Project managers are required to attend these monthly online meetings.

These online meetings will be held in Blackboard Collaborate (previously Elluminate) at https://sas.elluminate.com/m.jnlp?password=M.063048E462E24EC1585B0C9B323CCC&sid=675 Please enter your name that you want displayed followed by your state.
