Minutes of Meeting 29/04/2009

ITEMS DISCUSSED

1. Correspondence

RH advised that various items of correspondence had been received. We have been allocated an email address by the Scottish Parents Council Association, which is [email protected] We have been invited to become members of the SPCA, at a cost of £45, but as this is only up until August 2009 this year, it was decided it is not worth it for this year. A letter was received from Guide Dogs at School but BK advised that the school already have a contact in this field.

2. Recent Events

The Games Evening on 31st March had been good fun, although strenuous. It was well attended by both pupils and parents. RH passed on thanks to Mrs Kerr, Mrs Flett and Mrs Lamb for their involvement in this. The Easter Disco on 2nd April also went well, and there were lots of helpers. BK commented that the music was particularly well suited to the children. FA reported that a net profit of £90.13 had been banked. BK thanked all those involved in the organisation of the event.

FA noted that there has been an ongoing problem with kitchen access at events. She had spoken to Tayside Contracts who advised that we must apply to PKC for the let, which is then sent to TC. If TC cannot cover the day, we will NOT receive any notification that this is the case. BK commented that we should ensure we do not receive an Invoice if an event is not covered. She suggested that the Cook could be available to help with the Fun Day.

3. Fun Day (Saturday 9 th May 2009 10 – 1pm)

RH asked how many helpers we would require and it was estimated about 20.

We have not yet heard back from Mrs Lamb, Blair in Bloom, the Fire Brigade, or Sharon Donaldson, whom we hoped could open the event. AP will speak to Sharon Donaldson’s sister to establish if she can come. If not, BK happy to say something over the outdoor speakers.

Gavin Tolmie is to do the football.

Sarah is coming with the horses.

There are two tombolas (animal and football).

SP is to phone Kevin Donald re. the bouncy castle.

RH advised that John Corrigan is to speak to the man with the Sumo Wrestler suits. Jim Thompson has a quad bike and has a friend who has a buggy so it is hoped that both will be there. The feeling was that they should be charging more than the 20p per shot of last year, as it will be a good money earner.

SG is to do the games room.

Helen Menzies is organizing the cake and candy stall. BK will give out a note to parents asking them to hand in cake and candy on the Friday before, but that donations would also be welcome on the day.

Mrs Collie is to organise Hoopla and Quoits.

Mrs Gray and Mrs McIntyre want their classes to run the stocks stall.

A “Play Your Cards Right” game has been ordered.

Mrs McPherson has mentioned a Book Stall.

BK will do a rota for kitchen helpers.

FA to purchase ice cream and cones and we can store these in the staff room freezer. She will also purchase coffee, sugar, milk, lollies etc.

RH volunteered to cover the Tombola.

Rattray Drummers are coming and we are awaiting final confirmation that the Pipe Band are coming – hopefully at 9.30 to help open the event. The Drummers are now independent and we will have to pay them £30. It was suggested the Drummers go on at 10.30.

FA is to ask Mrs Young to phone Janet Russell re. the Lucky Lollipops

FA is to speak to Kelly in the office re. change for the Float. AP to provide Tupperware boxes for the stalls.

It was agreed that we should access the school on the Friday – which we can do up until 6p.m. – to set up as much as we can.

4. RattraCE Funding

We are still waiting to hear from “Awards to All” (application received by them on 1/4/09 and their timescale is 8 weeks), and from the National Lottery. The target to raise was £1700, and so far £1500 has been raised. Nicki McFarlane has given RH the sheet which she used previously so that we can use this. The costing previously involved 5 hours allocated at £10 per hour to set up the scheme, and then 2 hours per week at £10 per hour to run it for 10 weeks. BK stated that Caroline Laurie the Active Schools Co-ordinator would be happy to be involved.

5. Car Boot Sale FA advised that a total of £133 was raised, with a good turnout of 19 cars. Euan and Murray Scott provided the land over the road from Somerfield Carpark. A thank you will be put in the Blairie to them all. The feedback was that 10am-12pm is too short a time, and a better time would be 10am- 2pm. RH and FA had discussed having 2/3 sales between April and September each year, and we could consider raising the price charged per car, given the good turnout this time. 6. Library purchases RH enquired of BK whether we could get some publicity out of this for the Group. BK agreed that this would be a good idea and would speak to Mrs McPherson about this with a view to getting a photo in the Blairie.

7. Party in the Playground (Sunday 28 th June 3 – 6pm) BK has not yet managed to speak to Pete Nicol. KT asked if anyone had spoken to John Corrigan as there are young bands who practice at Rowanbank – RH to speak to him. We are looking at say 2-3 bands each playing for 30/40 minutes. FA is to speak to Kelly McIntyre. KT is to contact Shirley Ann Smith, who is involved with organizing Braemar Night. FA is to speak to Helen Breen, who has the Burger Van, to see if she knows where we might get a stage. Regarding expenses for the groups FA confirmed that we have £330 left in the parental involvement budget. We could pay the bands £50 each. AP is to contact SCYD who were interested in being involved when the event was mentioned to them previously. FA noted that Helen would be there with burger van and will sell ice cream also.

8. AOCB

P7 Graduation – we cannot do the Year Books due to the timescale involved but can look at doing them next year. FA suggested we give a tie and a pen again. The prize giving is on 26 th June 2009. This will be discussed at the next meeting.

FA and Lise Martin have done the annual financial return of the books, and split the Admin Budget as before - 40% for buses, 40% for other items and 20% left over which was taken to make up the library money. FA asked BK if there was anything which the “other 40%” cold be utilized for. BK advised that the Humpty Dumpty Early Years Care have a problem with lack of a toilet facility nearby to their room. They are intending to turn a nearby cupboard into a toilet, and are awaiting a quote for this. It was agreed that there is a real need for this and it would be an appropriate way for this part of the funds to be spent.
