Job Description

Job title: Business and Finance Administrator – South East

Responsible to: Regional Director

Main purpose of the role: Responsible for providing effective and efficient administrative and financial support to the ASA South East Regional Office.

Main tasks and responsibilities are as follows:

Administration and Office management  Provide the front line service for all ASA South East Region’s enquiries.  Manage the administration systems of the ASA South East Regional Office.  Undertake general administrative tasks as necessary.  Support management of Swim 21 as necessary.  Keep up to date with the ASA Integra database for ASA South East Region.  Promote and market the work of ASA South East Region to relevant partners.  Coordinate meetings, workshops and seminars.  Provide presentations, reports and analyses as requested by the ASA South East Regional Officers.  To comply with all the Organisation’s policies and procedures in particular those related to equality and diversity.

Financial management Using Sage 50 accounting system to:

 Maintain and monitor an annual budget against agreed policies through liaison with the Regional Director and other budget holders.  Administer all invoices with day-to-day responsibility for banking and bank reconciliation.  Produce accurate financial reports on a monthly basis.  Manage via Sage Accounts system ASA South East budget.  Account for capital expenditure and maintain a fixed assets register.  Suggest improvements to financial systems and policies.

Corporate Governance  Provide centralised support to the ASA South East Regional Management Board.  Support officers with responsibility for specific areas of corporate governance. These areas may include: child protection, equity and diversity, health and safety, constitution, management audit, communications and ICT.  Implement policy by maintaining up to date records and documentation relating to these areas of work.

Information Technology and Business Continuity  Co-ordinate the introduction of modern office technology and information management systems that support the efficient and effective administration of the ASA South East Regional Office and its internal / external communications.
