Minutes of the Executive Board Meeting Saturday 9:00 am, March 18, 2006 Memorial Union ______

Attending: Nancy McClements, Carol Hassemer, Ian Gaylor, Carol Buelow, Janice Lacock, Dyan Steenport, Norma Briggs, Mike Briggs

1. Agenda Revisons: Add another demo invitation

2. Minutes: Minutes of Feb 19, 2006 meeting were approved.

3. President’s Report a. PayPal has been updated to reflect Ball weekend changes.

4. Vice-chair’s Report: See Ball, item 10.

5. Treasurer’s Report. Dyan submitted the February report by e-mail. The checking account balance is $2540.05 This does not include deposit of $350 from Overture for February demo, nor the $750 fiddle workshop grant. It also does not include payment to Briggs’ for the I-pod and speakers.

6. Secretary’s Report: We received a trial issue of a monthly magazine, “Dance On”, which we will circulate. Some requests for information have been fielded or referred: a potential order for several copies of “163 Dances” from a Texas group, and a request from Omaha group for dance video recommendation (Dyan’s “Reel Scottish Dancing” video). We have an invitation to perform at a Sun Prairie H.S. “culture week” May 15-19. It would be a performance during the school day.

7. Membershipreport a. Several new people are showing up on Sunday nights. b. We now have extra Dance Books for last year (Scott had received a set of Book 45 books last summer or fall). We also received another set of membership cards. c. Janice has still not received the bill for memberships from Edinburgh.

8. Publicity report: a. Notices have been sent to all the Branches about the change in Friday schedule. b. Ian will send a reminder notice of the upcoming Ball registration deadline. c. Ian will change the Friday contra listing on the CelticMadison.org web page. d. Folk Music Society newsletter: Carol B. will try to get the fiddle workshop and house concert listed.

9. Teacher’s report: a. There are 8-10 people enrolled in the Mini-course as of 4 weeks ago. It will be at Union South from 6:00 to 8:00. Norma would like for one or two experienced dancers to come to help demonstrate steps. b. Regular Sunday dancing will have informal teaching by members in the early part of the evening. c. Kudos to Kate for the great job preparing dances for the Kids Expo demo!

10. Ball Weekend April 7-9, 2006. a. Ball evening details: The hors d’ouevres menu is set, the budget is ok. The bar will close after the first intermission. We can get in at 6:00. Kate and Eric have decorations ready. Carol will see if we can get a small riser for people doing briefings, announcements, etc. b. Friday evening: Dinner with Calum at Sa-Bai Thong on Odana Rd, 6:00 pm. Nancy will coordinate the dinner & House Concert. Janice will purchase desserts and beverage for Friday evening. (And hamburger for the Chili). Calum’s fee: he said he would be satisfied with $150. However, if the concert brings in significantly more, the Board may decide to use some of the excess to offset Ball expenses. c. Mke has notified Bill, the caller for the Contra, of its cancellation. d. Sesquicentenial table staffing (Sunday April 9): Carol H., Nancy, Carol B. e. Fiddle workshop: Friday April 7, 1:00 – 3:30pm. We have a check for $750, a grant from Dane Co. Cultural Affairs Commission. We will not receive a grant from Marshall Fields due to their now being part of a national chain. If we get 50 participants, we should be ok with the budget. We need to get flyers out. Carol B will provide Bob Newton’s e-mail address to Carol H. f. Date for 2007: March 31 or April 14 are preferred dates, April 14 is first choice: However since booking can be done no earlier than one year in advance, Carol will try for March 31, and if that is taken, try for April 14.

11. Demos: a. Kids’ Expo practice is starting at Red Gym in 5 minutes! b. Sun Prairie demo during school day? Norma put in a recommendation to try, especially if it includes some teaching. However it may be very hard to get enough dancers. c. Saturday, September 30 invitation at Wisconsin Union Theater, “Arts Night Out”. The Board agrees, we should accept this opportunity.

12. Muir Branch: deferred until next meeting.

13. Next meeting: Thursday, April 20, 6:30 pm at Janice’s home (Yeah sure, we keep saying that!)
