Checklist for Principals

It is the Principal’s responsibility to ensure that the risk to the school is minimised and is not compromised by permitting the use of facilities for a use other than delivering educational services. Prior to Users Entering the School Site Complete the Management of Caravans and Camping on School Sites: Brief for users of school grounds for caravanning and camping purposes. Consider the number of campers permitted on site to the space available and the number of amenities provided (e.g. toilets / showers / urinals). Make a reasoned judgement about appropriate allocation of space or the permitted number of campers allowed on site. If concerned, check with Regional Facilities staff to ensure numbers do not exceed the design capacity. Complete an Agreement to Hire Facilities between the school and the user.

Explain each part of the brief to the user and distribute as part of the Agreement to Hire Facilities . Record the issue of keys and obtain signature on Agreement to Hire Facilities.

Check with your Local Council to determine if there are any regulations or bylaws which affect sewerage issues. It may be that plumbing works need to be undertaken to provide specific compliant sewerage outlets to which outlet pipes can be connected. Develop internal procedures to ensure compliance with Queensland Water Commission Restriction 14 for Traveller Accommodation. Check with local council to determine if any fees, licenses or charges exist and to include those costs in any charges to users. Decide if the school will charge a fee for caravanning and camping on the school site and determine the fee where applicable. If concerned, check with Regional Facilities staff on determining a fee. Arrange for appropriate level of rubbish removal service to continue during holiday periods. Security and Site Management Develop an arrangement for checking the school when used by caravans or campers, where a nominated member of staff or person visits the site from time to time to observe the level of compliance with the direction given. Where corrective action is required, the specifics should be communicated to users and follow up taken to ensure that the problem is addressed in the timeframe given. If a user consistently fails to comply with the terms of the Agreement to Hire Facilities and the Management of Caravans and Camping on School Sites: Brief, the agreement should be terminated and the user removed from the site.
