2. TMWSuite licensing

With TMWSuite, you receive a license file that is based on your TMWSuite contract. The license file contains SQL code to activate your tractor count and all the features and components you purchased. If you later want to add a feature or upgrade your tractor count, new SQL obtained from TMW Systems must be applied to your database. The following sections explain the licensing file and how the system handles the situation when you reach the capacity specified in your license: Licensing activation feature...... 2.1 Licensing control...... 2.3 Warning levels on tractor capacity...... 2.7

Licensing activation feature

The first time you, as a TMWSuite system administrator, log into one of the core applications, the Application Activation Results message will display, informing you that your application has been successfully registered with TMW.

The following information specific to your company will be sent to TMW:  Your company’s name, which is stored in your license file.  The user ID of the person who activated the license.  Your database version.  The name of your server.  The application version number.  The SQL Server version you are using.  The name of your database.  Your company’s tractor count. Through this gathering of your licensing information, your TMW Support representative will be better prepared to assist you with support issues. It provides vital version information, which will enable us to determine if you are in need of an upgrade or developer assistance.

Notes: 1. The information will be encrypted and then transmitted through a secure web service, so your information will not be visible to unauthorized users. 2. If you attempt to log in to a core application or interface without having your most recent licensing update applied, the system will display an Application Activation Results message reporting the error that it was unable to register the application. You must apply the most recent update of your license.

3. When you look at your licensing information, accessed from the Help About window by clicking the More button, you will note the Client ID/SCAC option. The entry in the Option Value field is TMW’s internal ID for your company. It is not necessarily your company’s actual SCAC code.

Licensing control

To see a list of your licensed features: 1. From any TMWSuite application, select the About command from the Help menu. 2. Click the More button located in the bottom right of the window.

3. The system displays a second About window.

The licensing window provides a table containing three columns:  Option Name Lists the applications and features available in TMWSuite  Value Signifies if the application/feature is active  Expiration Lists the date that the subscription to a feature will expire

The first three items listed on the table show the Active Tractors Count, the Active Trip Segments Count (Active Legheader Count), and the Concurrent User Count on which your contract is based. For tractor and trip segment counts, the licensing control allows for up to a 2% difference in your actual count and the count listed in your contract.  The Active Tractor Count represents the number of your active, non-retired tractors. The 2% flexibility takes into account that you would not retire tractors on a temporary basis. For example, you may have tractors that are temporarily inactive due to a driver’s vacation or illness, routine maintenance, or other expirations.  The Active Trip Segment Count (Active Legheader Count) represents the number of active trip segments allowed at any one time. A trip segment is considered active if it is Started or if it is the tractor’s most recent trip, that is, the tractor has not yet started another trip on which it may be planned. Such a trip would have a Completed status. In regard to trips handled by carriers, only active trips are counted. Once a trip is completed, it is dropped from the count.  The Concurrent User Count represents the total number of computers currently accessing TMWSuite at one time. For example, if the same user is running Dispatch on four different machines, the concurrent user count will equal four. You can compare the list in the About window to your contract. The following table lists each item that may appear in the Option Name column, and its description.

The 210 invoice is then sent to the Bill To company. EDI 214 The EDI 214 Shipment Status SmartLink allows you to manually create a 214 or have the system automatically create one. It also allows you to transfer the data from the TMWSuite database into a flat file. If you have any questions about your license file, contact TMW Support. The licensing file contains SQL that you will need to run against your database. If you attempt to run TMWSuite without running the SQL, you will see warning messages about required licenses when using certain features. Warning levels on tractor capacity

If your company is within 95% of your licensed capacity for tractors, a message similar to the one below will display when you save an order:

This is only a warning; you can click Yes to continue.

Notes: 1. If you are between 95% - 100% of your licensed capacity, a system administrator can turn off the warning message. A record will be written to the database noting who turned off the warning and the time it was turned off. 2. If you are above 100% of your licensed capacity, the system will not allow this warning to be turned off.

The system will allow you to save orders until you reach 102% of your licensed capacity. When you exceed 102% of your licensed capacity, a message similar to the one below will display; you will not be allowed to save any orders. This box appears each time you try to save an order.

When calculating the percentage of your available capacity, the system counts all active tractors. Active tractors do not have the status of OUT (Out of Service). There are two ways of increasing the available tractors:  Buy a license upgrade. (Contact the Inside Sales department at TMW Systems.) Support will send you the necessary license upgrade file.  Review your tractor file to see if you can assign any of your tractors to a status of OUT (Out of Service). The same three options apply for active orders in a given month. If a customer has a license option for Active Order Count, the system will follow these rules:  Between 95% to 100% of licensed capacity, the system will display a warning. System administrators can turn off the warning.  Between 100% to 102% of licensed capacity, the warning cannot be turned off.  Over 102%, the user cannot save new orders. An active order is any order completed during a given month.
