The Administrative Calendar: 2014 - 2015

July 1 Fiscal Year Begins

Undergraduate and graduate catalogs are available online.

July 15 Proposed Schedule of Classes for Spring 2015 is submitted by the Deans to the University Registrar.

September 2 Annual reports from all areas due in the appropriate Vice President’s office.

October 1 Future Academic Calendars based on a two-year period should be presented to the Academic Council by the University Registrar. At this stage, the calendar should need only minimal alteration. The Academic Calendar should be approved at the next regularly scheduled meeting and sent to the President for approval.

Faculty requests for: a. promotion b. tenure c. leaves of absence d. post-retirement employment, and e. reappointment of full-time faculty in their third year with data should be submitted to the Dean/Chair.

October 7 Fall Enrollment Report distributed by Institutional Research.

October 15 Requests for Sabbatical Leaves for Fall 2015 and Spring 2016 must be submitted by the faculty to the appropriate departmental chairpersons and Deans. Financial support is to be considered in preparing the next fiscal budget.

The operating and capital budget preparation schedules are released by the Vice President for Management and Business.

Deadline to submit Highlights for Summer 2014 tabloid to the Manager of Outreach (SLPA).

October 27 Spring 2015 Pre-registration begins

November 5 Deadline to submit nominations for speakers at the Baccalaureate Mass and Commencement Ceremonies to the Public Honors and Events Committee.

February 11 Proposed Schedule of Classes for Fall 2015 is submitted by the Deans to the University Registrar.

Submission of the names of candidates for honorary degrees should be submitted to the Provost and Academic Vice President for presentation to the Public Honors and Events Committee.

November 17 Recommendations with full data for a. promotion b. tenure c. leaves of absence d. post-retirement employment, and e. reappointment of full-time faculty in their third year should be submitted to the Provost by the Deans.

The Provost and Academic Vice President transmits the requests and data for promotion, tenure, and reappointment of full-time faculty in their third year to the University Promotion and Tenure Committee.

Recommendations for Sabbatical Leaves with data and recommendations must be submitted by the Deans to the Provost.

December 15 The Provost and Academic Vice President announces the approved sabbatical leaves and the faculty members are notified.

Commencement

February 2 Recommendations for a. promotion b. tenure c. reappointment of full-time faculty in their third year received from the Promotion and Tenure Committee along with recommendations for leaves of absence and post-retirement employment received from the Deans are submitted by the Provost and Academic Vice President to the President. The Provost will inform the Deans of the President’s action when all decisions have been made.

February 10 Spring Enrollment Report distributed by Institutional Research.

February 11 Publicity and schedule on the Summer Session ready for distribution. Advertisements, brochures, etc. will be mailed to various publics at strategic periods from mid- February until summer sessions begin.

Proposed Schedule of Classes for Fall 2015 is submitted by the Deans to the University Registrar.

THE ACADEMIC CALENDAR

I. POLICY

With the exception of the Law School and the School of Leadership and Professional Advancement, the University Academic Calendar follows the traditional semester model.

The academic semester shall consist of fifteen weeks of instruction including the one-week final examination period, and there shall be not fewer than ninety class days in total to provide not fewer than fifteen class session days for each weekday (Monday through Saturday).

Holy Days of the Catholic Church, when occurring on weekdays within the semester or summer academic calendar, shall be school holidays.

The Academic Calendar, based on a two-year period, should be presented by the Calendar Committee to the Academic Council for approval on or before September 30.

Only unusual changes or irregularities in the calendar should be communicated to the faculty of the various schools and the student body at large.

National holidays and Church Holy Days observed in the construction of the Academic Calendar as School Holidays are:

II. GUIDELINES FOR IMPLEMENTATION

1. The last day of the fall semester, including final examinations and Commencement, shall not be later than December 22.

2. The Thanksgiving Holiday shall begin Monday and end Saturday of the week of the fourth Thursday of November.

3. The Easter holidays shall include, but not necessarily be restricted to, the Thursday, Friday, and Saturday preceding Easter, and the Monday following Easter Sunday.

4. The last examination day of the Spring semester shall be no later than the Wednesday preceding commencement.

5. The final examination period shall include each class meeting day of the week.

6. Reading Days shall not be provided to cause an exception to any of the foregoing rules.

7. The term Reading Day shall designate an academic calendar day on which the University is open but on which regularly scheduled classes are not held.

8. The mid-term week, the period for conducting mid-term examinations, shall be the calendar week preceding the forty-fifth day.

9. The latest date for instructors to report mid-term grades shall be the Friday of the mid-term week.

10. The latest date for first semester freshmen to withdraw with permission of the academic advisor shall be the last class meeting day of the semester.

11. The latest date for other than first semester freshmen to withdraw with permission of the academic advisor shall be three weeks after the date on which mid-term grades are due.

12. The latest date for removing “I” grades in undergraduate courses in the previous semester or summer session shall be the Friday of the mid-term week.

13. The due date for instructors to report “I” grade removal shall be the Friday of the next class week following the latest date for removal of “I” grades.

14. A one-week vacation during the Spring semester is to be included near mid- semester whenever feasible, following the latest date for instructors to report mid-term grades and with the timing of the Easter holiday kept in mind.

III. PROCEDURES AND DATES

1. The Registrar requests authorization of the Provost and Academic Vice President by August 1 to organize the Academic Calendar Committee for the year. The Committee includes, but is not limited to, representatives for the Provost, the Academic Council, Student Services and the Student Government Association.

NOTE: Each year’s committee usually works on drafts of proposed calendars for the third and fourth years in advance.

2. The Chair of the Committee (usually the Registrar) prepares a proposed calendar(s) according to policy and submits to the Committee for approval or change by September 20.

3. Calendars approved by the Committee are submitted to the Academic Council by September 30 (or the meeting closest to this date). 8 Duquesne University: The Operational Calendars

4. The Provost allows two to four weeks for Deans to study the Academic Calendar. The Calendar then must be approved by November 1.

"I" graded courses for which no change-of- grade is received will be converted to a permanent grade of "F."
