5/30/2018 P a g e | 2 FI Reports Overview The Facilities Inventory system moved from the mainframe to an Oracle database in 2009. The Brio reports generated from the mainframe data need to be replaced to use the new database. As part of the SUNY Tran project, a nightly snap shot was created that includes calculated fields needed for reports. After the snap shot runs, it will be used to update a group of tables in a repository which will be used for OBIEE reports. There will be a dashboard for the ‘canned’ reports. Ad hoc reporting will be done using ANSWERS.

General Requirements

Security OBIEE report security will be based on Facilities Services provided security. Some users have access to all reports, while others have limited access based on row level security.

The security will be based on fiscal year. Before the FI system is rolled over, the security roles for the current fiscal year will be saved and used to control access to data for that fiscal year.

OBIEE roles will be created for:  FI Role – all users  Admin Role – reports limited to specific individuals, such as Facilities Inventory members  Developer Role  SUNY Tran Role – not part of the FI reports, but limited to a few individuals who need to view this data.

Report Naming conventions  Each report will be assigned a number and a name.  A descriptive catalog of reports will be created.

Frequency of data updates The data repository for the reports will be updated nightly (Mon-Fri) after the scheduled snap shot runs. If the snap shot is run manually during the day, the source data will not be updated. If the snap shot fails to run, the source data will not be updated until the next successful snap shot run.

Report Downloads Reports can be printed as PDFs or downloaded in various formats.

Data Formatting  Percentages should be displayed with the ‘%’ symbol; for example 100%, 25%, 1%  Numeric values should be displayed with commas as appropriate; for example 9,251

The FY Net Area field is defined by the level. At the Facility level, FY Net Area is the FY Facility Net Area. At the Room level FY Net Area is the FY Room Net Area. At the Dept level FY Net Area is the FY Dept Net Area. At the Function level it's the FY Function Net Area. This allows you to drill from the top to the lowest level.

FY Active Room Net Area

This is a pre-calculated field that sums all the room net areas for active rooms (room status ID = ‘6’).

FY NonActive Room Net Area

This is a pre-calculated field that sums all the room net areas for non-active rooms (any room status ID not equal to ‘6’). This total includes ‘new’ rooms as well as any obsolete.

FY Dept Function Percent

This field differs from FY Function Percent in that it includes the FY Dept percent as part of the calculation. For example,

Dept A has the room for 50% with Function X for 25% and Function Z for 75% Dept B has the room for 50% with Function Y for 100%

If you add up all the FY Function Percents you get 200%. However,

The FY Dept Function Percent for Function X would be 12.5% The FY Dept Function Percent for Function Z would be 37.5% The FY Dept Function Percent for Function Y would be 50%

If you add these up, you get 100%.

 CIT OBIEE support will be requested if something is "broken" in one of the defined set of FI Reports currently being developed by the project team.

 A formal request of CIT OBIEE support will be made when something new and/or an enhancement is needed for any of the FI Reports.

 Current Brio Facilities Inventory reports (data from 1995 to 2009) will remain in Brio until another project is identified to move them to OBIEE.

The room will be displayed even if there is no occupant or research data as long as there is a research function in the room (2.1 or 2.2).  Within the room there would be: 1. Facilities will validate all reports in stages following these steps and using the FI Reports validation checklist. These steps should be done in order when item is ready for validation.

Stage 1: basic requirements 1. Are all required reports included in checklist? Look at mainframe report number, OBIEE report title, and report description to determine this. 2. Are all reports in the checklist required? Indicate ‘Y’ if required, ‘N’ if not. 3. Are OBIEE report titles acceptable? Change if needed. 4. Are OBIEE report numbers acceptable? Change if needed. 5. Are report descriptions accurate? Change if needed. 6. Review report descriptions below. a. Are all required fields included? If not, indicate which fields are missing. b. Are any fields unnecessary? If so, indicate which ones should be removed. c. Are all the fields correct? If not, indicate which field should be used instead. d. Are counts, subtotals, and totals included where needed? If not, indicate which calculations are missing. 7. Are report column headings acceptable? If so, indicate which ones should change and what the new heading should be. 8.
