Job title: IMPORT/EXPORT CLERK

Department: Freight Department

Responsible to: Carlos Saiz (Freight Manager)

Salary: Between £19,000 to £21,000 per year

Hours: 40 hours a week

Uniform: A The Company wishes to portray a corporate and professional business image to its clients and customers. It also wants to ensure that clothing is compatible with safe moving and handling practices, reducing the risk of injury. To this end you will be supplied with Company polo shirts that you will be required to wear. Staff reporting: None

About the Company: Brompton Bicycle manufactures in its factory in West London a bike that is generally considered the best portable bike there is. The company is privately-owned, successful and profitable, and we have good relationships with our distributors and users. Sales have grown steadily from the outset, and the company recently won Queen's Awards for Enterprise in both the International Trade and Innovation categories. About 2/3 of output is exported, with Germany and the Netherlands historically being the largest overseas markets, but sales are growing strongly everywhere, especially in Asia, other parts of Europe and North America. Demand often exceeds our ability to supply, though great efforts have been made to raise output over recent years and will exceed 45,000 this year.

Job purpose: To deal with the inbound and outbound movement of the company’s goods. Also to interface directly with other departments in the company, such as sales and production, to trade any updated information about product availability, shortages, back orders, or special customer requests.

Main duties:

. As an Import/Export Clerk you will be part of a team of people who are responsible for the movement of goods from and to another country, ensuring the transit and delivery is made on time. This means that you will liaise regularly with overseas offices, partners or agents.

. You will be responsible for arranging and completing all associated paperwork, which documents the nature of the goods being imported or exported from/to abroad and that they are legal and legitimate.

. Imports are generally subject to import quotas, tariffs, trade agreements and HM Revenue and Customs regulations, so as an Import/Export Clerk your role will involve checking all is in order in this respect.

. Import/Export Clerks are responsible for costing jobs and ensuring maximum profitability for their organisation.

Job description 1 of 2 . Check goods in as they arrive against paperwork to ensure all goods ordered are accounted for.

. Establishing contacts and relationships with HM Customs to ensure efficient transfer of goods through the legal process.

. The role involves being able to manage deadlines and sometimes difficult situations, therefore an element of negotiation is required in order to be able to meet timescales. . Organised all shipments out of the factory across the world, ensuring costs and documentation are as scheduled . Liaise with production and sales to ensure customers’ orders, as far as possible, are dispatched as one shipment. . Direct investigations to verify and resolve customer or shipper complaints. . Serve as contact persons for all couriers. . Implement schedule and policy changes in regard to shipping. . To undertake all aspects of administration in relation to the booking and monitoring of transport.

Additional duties: To attend supervision, training and meetings as and when required. Any other jobs around the factory that may be deemed necessary Person Specification:

. Previous experience as an Import/Export Clerk is preferable, but a background in administration may be acceptable. . The role of Import Clerk is suited to someone who has strong administrative skills and is very organised. . Good communication skills, both written and verbal, are important for the role of Import Clerk. . Knowledge or experience in the following areas is desirable: air, road or ocean movements, security training, such as Aviation Security, customs documentation and procedures, warehouse, office and transport procedures, shipping and flight schedules, freight tariffs and rates, ability to raise and complete documentation including sales invoicing and internal databases. . The role suits someone who is outgoing and friendly, and commercially aware. . Good numeric skills are required for the role. . Knowledge or experience with customs systems and CHIEF. . Must be familiar with computer software programs eg Microsoft Office, Excel, etc. . Be aware of Health and Safety standards; along with a high understanding of Dignity and Diversity in the workplace. . The successful applicant will ideally be able to quickly respond effectively to changing demands and be able to apply good problem solving skills. . Well motivated to drive efficient processes and maintain accurate information . Counter balance forklift truck licence is a benefit but training can be arranged . Have a methodical and organised approach to work with the ability to think ahead and prioritise tasks
