2. Approval of Agenda: Motion to approve agenda by Lynne. Seconded- Maureen. Carried.

3. Approval of Minutes of June 20th 2017: Correction - #15 Coordinators’ Reports – Blackburn Hamlet – Next Show Dates: July 22nd to Sept 30th 2017. -Motion made to approve the amended minutes by Lynne. Seconded – Corinne. Carried.

4. President’s Report: Lynne

Filling Arteast Current and Future Volunteer Vacancies

-Linda Nadarajah has volunteered to let her name stand for the role of President at the next AGM in Jan. 2018. -Jacqueline Collin has agreed to let her name stand for the role of Secretary at the next AGM in Jan. 2018 with the proviso that she is able to connect remotely or that there is not someone else who would be able to be in attendance for meetings. -Mary Ann Varley will continue to oversee the GWA program as team members have agreed to assume more responsibility for the monthly meetings. Canada in Leaf -Permanent home for the Leaf will be reported on in item #14. Think Tank -Meeting was held at home of Cheryl Mattice – was followed by a potluck dinner. ACTION: Lynne will summarize and circulate discussion minutes. Proposed Wallace Seymour Presentation Update - Members attending the Think Tank agreed that obtaining the required 25 Arteast participants for a full day oral presentation by Wallace Seymour might be difficult. -Lynne discussed with Chris Tinkler (Select Fine Arts Material – sponsor of the presentation) the presentation concerns and requested promotional material to attract new artists. Chris made the decision not to proceed with Arteast as the host. He is arranging with west end groups and the Ottawa School of Art (2 campuses) to be the host and will hold one presentation in his shop on St. Joseph Blvd.

5. Treasurer’s Report: Cheryl (absent) -Report submitted by email and shared by Lynne. -Current Balance: $17,576.91, Uncleared Items: $68.00, Balance: $17,508.91. -Membership: 221. 6. Vice President’s Report: Murielle -Nothing new to report.

7. Grow With Art Report: Mary Ann (absent) -Report sent by email and shared by Lynne. -Elisabeth Arbuckle was unable to critique at June meeting – so critique night became ‘Show and Tell’ evening. Light refreshments were served. Door prizes were given. 34 in attendance. -Some delay noted in the publishing of the brochure due to Helena Guzman being away. -brochures arrived at end of August. -Mary Ann distributed brochures to the libraries. Valerie has done rest of the distribution. -Sept. meeting will be led by Jacqueline Collin and features Jennifer Ann Kelly – Glass artist. Publicity has been completed and sent out. -Jessie Parker will be presenter for Oct. meeting. Another team member will take lead for the meeting. -Request made for: a) verification of guest speaker honorarium b) an update on GWA spending to date.

Contact info is located on exhibit walls. -Vernissage to take place Sept. 21st. -Volunteers from H’art (now renamed to “Being”) will collect donations at the door. -Take down is Nov. 24th between 6 – 7 pm. AJAE organizing committee will meet for debrief on Oct. 24th and full report with recommendations will be submitted after the take down.

Newsletter Report: Claire -Articles received: Autumn Mix, Summer Medley, Members’ Profiles, GWA, 2017 Members’ Survey, A’Chord East. -Pending: AJAE 2017 cover article (Susan Ashbrook), Outreach (Josie), Promenade 2016 winners (Christine Godin), President’s Report, GWA June meeting. -Request made for updates on galleries and hangings. -Mosaic 2018 forms will be inserted - but decision required on registration process – email/online. 11. Website Report: Helen (absent) -Report sent by email and shared by Lynne. -Web has been updated – Art in opening display has been changed. -Research into new web calendar is still ongoing with respect to a) cost and b) ease of usage.

12. Open Studio Report: Corinne -Studio time began Sept. 14th with 8 participants. Next session is Sept. 28th.

Promenade and Trinity Report: Maureen Promenade -Current Show Dates: July 20th to Sept. 19th 2017 -Title: Summer Medley -Exhibitors: 13+ 30 in Maple Leaf – ‘Canada in Leaf’ -Vernissage: Thursday July 20th - Attendance was good. -Changeover Date: Sept. 20th 2017 -Sales: Carole Renaud – ‘Through the Marsh’ –Mixed Media – 27 x 23 - $315.00 -Comments: Still waiting cabinet door replacement. Mary Ann has taken lead on this. Shenkman has posted Canada in Leaf on gallery page with photo. One exhibitor was permitted to take down on 19 th instead of 20th of Sept. -Next Show Dates: Sept. 21st to Nov. 21st 2017. -Title: Awards Winners of 2016 -Exhibitors: 17 confirmed + Maple Leaf -Vernissage: Oct. 1st – in conjunction with Culture Days. -Changeover Date: Sept. 20th 10 – 11am. -Comments: Cookies, candy, water, juice requested for vernissage. Trinity -Dates: Feb. 8th to March 13th 2018 -Comments: Have a tentative booking for Studio A at OSA on Jan. 6th for jurying – awaiting confirmation. -1 juror has been tentatively booked.

Canada’s 150 th Project Josie and Lynne

-Permanent Home Trail –(A) Sarah Patterson from City of Ottawa Public Art Program informed Arteast that City would not accept artwork. Andrew Leslie had written a letter supporting application. (B) Suzanne Delisle, Manager of east Ottawa Libraries facilitated contact with Nepean Public Library who expressed interest in the Leaf. (C) Lynne contacted Jennifer Calhoun, Branch Manager at the Nepean Library. Jennifer proposed 2 potential display areas – 1. The lobby 2. A corner spot. The leaf could be hung in the lobby spot but would require special brackets for support. (Jennifer’s preferred spot with the greatest exposure) The corner location could accommodate the easel but it would be less visible. Nepean library would be able to arrange for transport. Disassembling and reassembling would require Arteast support

ACTION: Lynne to visit the library to view the proposed locations. -‘Canada in Leaf’ will remain on display in Promenade until it can be transported to Nepean. -Proposal for the ‘backer’ to be repainted prior to going to Nepean. Outreach Josie (absent) -No report submitted.

New Member Mentorship Program Proposal- Jacqueline Collin

-Purpose: to assist new members in learning about Arteast and how to access information through a voluntary, short term mentorship program.

-Proposal and details have been submitted as an attachment to coordinators.

-Proposed 4-month pilot - Jacqueline to share information with members at GWA meeting and act as lead person during this time period. Volunteer Appreciation Night

-Agreed to move night from Nov. 28th to NOV. 14th

-ACTION: Murielle will investigate the Tartan Pub on Innes Rd. as a possible venue for the Nov. volunteer appreciation night.
