Leadership Update

Date September 2011 This is the latest in a series of regular briefings containing University-wide updates. Briefer This briefing contains a summary of high-level, key messages to support you with your face-to-face communications with your direct reports.

Ideally, it should be communicated face-to-face to your direct reports by the end of the month – not circulated by email - and should provide an opportunity for your colleagues to give you feedback on the content.

It need not be presented verbatim. Please summarise where appropriate and deliver in a way you are most comfortable with to ensure that messages are authentic. Please add your own content, which is relevant to your support division, college, school, or area of expertise.

The briefing should enable your direct reports to brief their own people on some of the issues facing the University. Briefing guidance Please encourage your direct line reports to add more localised information which should still be delivered face-to-face at each stage of the cascade.

 The University acknowledges the need to keep its people informed. Staff perform better when they are involved and when they have an open and honest dialogue with their leaders.  Involvement creates good will and staff are prepared to go the “extra mile”. One of the targets for our People Goal 4 is to increase Why we need these briefings the number of staff engaged to at least 45 per cent by 2012 – placing us in the top quartile of UK organisations.  This briefing will help support you in addressing the issues above and will supplement our US employee magazine, as well as US Online and the Staff Channel.

Business Updates New brand roll out began on 19 September

Monday 19 September saw the start of a phased roll out of our new brand - a powerful new identity which reflects the real world impact of everything we do.

From now onwards, the new brand is being used across stationery, publications, promotional and other support material.

In the coming weeks, new fixed signage will start to go up; most prominently on the Maxwell Building Allerton and Adelphi buildings which are scheduled to display the new brand sometime before Christmas. Signage for remaining buildings and for directional purposes will be phased in over the coming 12 months.

Anyone wanting to order any merchandise such as name badges, umbrellas, T-shirts, or stationery such as business cards, headed paper or needing PowerPoint presentation templates is asked to visit the brand and online visual guidelines for

3 FOR INTERNAL USE ONLY websites and social media at http://www.salford.ac.uk/corporate- identity/visual-identity where an online toolkit has been produced.

All requests will go through this website, and Corporate Marketing Manager, Penny Hicks, and her design team will be managing the process which includes guidance on use of the brand and a feedback and contact form for requests. The team will approve and sign off branded materials.

Our new brand supports our strategic direction: our ambitious Campus Plan, unique state-of-the-art facility at MediaCityUK and the transformation of our administrative and academic operating models. It repositions us regionally, nationally and internationally.

New University website goes live

As part of the brand roll out we have developed and designed a new version of the main University website. An early release of this site was released for feedback and the new site went live on 30 September, ready to mark the opening of MediaCityUK on 4 October.

The new site has been developed to encompass all of the aspirational elements of our new brand, creating a visually exciting site with increased features and functionality including:

 New Coursefinder – it will search and index all courses better than ever before and also supports multimedia. All course content will be stored in a single place and can be referenced and included in any new or migrated website.

 Course comparator – the ability to compare the key facts for up to four courses, a functionality which is not available on any other University website

 Country recognition – when an international student visits the site, the system recognises their country and presents them with country specific information.

 Single ‘contact us’ form – sends enquiries directly to the relevant department

4 and improves our turnaround of enquiries and business opportunities.

 New URL strategy – webpages will be named consistently as salford.ac.uk/category/subcategory.

This is the first part of the phased migration of all the University websites onto a new, single web platform using a new Content Management System (CMS) provided by our digital partners Squiz. Our new site combines five websites - Corporate, Business, MediaCityUK, Campus Plan, and Research - into one.

3. Countdown to MediaCityUK

The countdown is on as the University prepares to open its doors at MediaCityUK on Tuesday 4 October - the day the University begins work from its cutting edge facility.

The MediaCityUK operations team moved into the facility at the start of September. Around 200 staff and around 1000 students have enjoyed inductions and training at MediaCityUK this month.

In preparation for the start of teaching, students and colleagues alike have been enjoying tours of the four floors of the facility to help them orientate themselves and to find out more about the studios and other specialist spaces.

Workshops are currently running for colleagues to familiarise themselves with the AV capacity in all of the rooms, including those which they will use for seminars.

4. New students welcomed to Salford

Around 17,500 new and returning students experienced our new University brand for the first time when they arrived on campus this month.

Students were welcomed through a programme of events taking place around campus and in a marquee set up on the lawn outside University House.

As part of his regular communications to students, VC Martin Hall contacted all new and returning students to welcome them to the University. In his welcome message - issued by email to all students - he outlined some of the many facilities available for our students, the development of MediaCityUK, the opportunities for students to meet him face to face and the role of the new PVC Academic, Huw Morris who will be leading on all aspects of the University’s learning and teaching strategy.

Please continue to remind students that we now have Student Life Directorate and Students’ Union together under one roof, at University House which provides much better access to a wider range of advice and support services to meet all their needs.

5. Successful launch of model college and Service Level Agreements

Earlier this month we successfully launched our new Model College structure – created to optimise the University’s resources, improve the quality and delivery of professional services across the Colleges and contribute to a more consistent, higher quality experience for all our students.

These changes will enable Schools to focus on supporting students, delivery of core academic offering and optimising the efficiency of the University’s systems and

6 processes. This is a key milestone in our Transformation Programme which was established to support the delivery of our Strategic Plan and the achievement of our ambitious target of being upper quartile in teaching and learning by 2017.

Phase 1 of the Transformation Programme is close to completion. As part of Phase 1 the school administrative functions are focused on supporting the academic experience, covering the three elements of teaching, research and engagement. Other Professional Services functions have been removed from the Schools and integrated within the central Professional Services or within College functions such as IT, Facilities, Digital, Corporate Marketing.

Service Level Agreements (SLAs) have also been developed to provide services so far in the areas of Events and Conferencing, Estates and Facilities Management, Communications and Marketing, including Digital Marketing and ITS as part of Phase 1 of the Programme. The SLA and accompanying Service Catalogue is operating from the launch of the Model College onwards and will be delivered from the central Professional Services units.

The SLA will be monitored between the Professional Services directorates, Schools and Colleges and will be reviewed to ensure the services provided continue to meet the needs of the recipient and that any issues can be resolved swiftly and positively.

Service Catalogues will also be developed for other areas within Professional Services as part of Phase 2 of the Programme following the completion of the process improvement projects that are currently underway.

7 FOR INTERNAL USE ONLY 6. Transformation Programme Phase 2 begins to support the student journey

Preparatory work on Phase 2 of the Transformation Programme has now begun and is scheduled to be implemented in September 2012 and fully operational at the start of the academic year 2012/13. This Phase is designed to implement the operating models which support the student journey transactional processes - the majority of which are associated with the Student Information Directorate (SID). These include student retention, timetabling, progression and student information reporting and data management.

These processes are not directly connected with the delivery of front line teaching, research and engagement, but they are critical in supporting academic delivery. Traditionally they have been carried out in varying degrees in schools by Professional Services staff.

7. VC Leadership Event and Strategic Planning Conference

This month saw a VC Leadership Briefing and Strategic Planning Conference discuss the changing face of the higher education environment since the Strategic Plan’s approval three years ago.

Specific focus was given to Teaching & Learning and Research & Innovation, together with workshops around Engagement and Internationalisation.

8. Complete Anti-Bribery online course by 31 October

All staff are reminded that they are asked to complete the Anti-Bribery e-learning course by 31 October 2011.

The University has adopted an Anti-Bribery Policy and Guidance, following the introduction of the new Bribery Act 2010, which came into effect on 1 July 2011.

Under new legislation, the University and its staff could face prosecution and severe

8 penalties if convicted of bribery.

Once you have completed the online course, please remember to click the appropriate box to confirm that you have understood the training, otherwise your attempt will not be registered as ‘complete’ with HRD and you will be required to complete the course again.

9. Roll out of Follow You print service begins

A new University print service called Follow You has been rolled out this month.

The system allows staff and students to print to the Follow You print queue where documents are securely held and can be released at any Ricoh printer/copier across Salford’s campus, including MediaCityUK.

To ensure confidentiality and reduce waste paper, documents will only print once users log in to the printer by swiping a new ID card or inputting a PIN code.

All Ricoh printer/copiers are being connected to the Follow You network and a Follow You print queue icon will appear on all desktops to signal the arrival of the new service.

10. Car parking permits now available

Employee registration for car parking for the new academic year began on Monday 5 September 2011.

Any employee who currently pays through their salary can now collect their permit from Myers Building Reception.

Although the car parking charges have increased this year, the Estates & Property Services team are introducing a series of more sustainable, and cost-effective, travel options, such as a new car-sharing scheme, which you can find out about by visiting http://www.estates.salford.ac.uk/page/Susta inable_Travel

Any staff who currently pay through their salary and would like to cancel their car parking, must notify the Support Team at [email protected].

11. Almanac 2011/12 now available

The 2011/12 Almanac – an academic year calendar of key University dates – is now available for all colleagues to access in a variety of formats.

It provides semester dates as well as meetings of key governance and management committees including Council and Senate and their standing committees and the Executive.

Staff can access the Almanac directly from their network PC via Microsoft Outlook Calendar and will be updated throughout the year. Alternatively, diary and year planner formats can be downloaded from the Governance website at http://www.governance.salford.ac.uk/alman ac.

12. Black History Month

October sees our annual celebration of Black History Month as part 10 of Listen!, the University’s commitment to equality and diversity.

This year’s activities will focus on the theme of Racism(s): Discrimination, Displacement and Home and will offer staff, students and local communities the opportunity to participate through dialogue and debate.

There will be a launch event on Wednesday, 5 October, between 12noon and 2pm, in the International Life Centre, University House. Representatives from the various staff networks will make short presentations on the month’s theme and music students will perform. Refreshments will be provided.
