Vacation Policy (revised 4/18/11)
Applies to all residents Vacation counts against the ABS required 48 weeks per year Early planning will help everyone in the program and will help assure you of your preferred time off and provide adequate coverage. Vacation requests should be submitted no later than September 1st annually, to allow ample time for schedule preparation during the holidays and assure everyone is not submitting for same time.
I. Do not make travel or flight plans until you have received approval confirmation Submit completed a yellow vacation request form to Sandi Pettit to enter into Outlook as pending and submit to the R4 for approval 3 months in advance of requested date. R4 will record as approved in outlook and provide Sandi with the signed approval forms for final documentation. Residents will watch for “Jane Doe Vacation Approved” in Outlook 3 weeks (15 week days) per year. Cannot be carried over to next academic year To be taken 1 week in the Fall, 1 week in the Winter and 1 week in the Spring Vacation breaks are in one-week increments and may not be combined without written permission of the Program Director Friday and Monday holidays may not be added to vacation requests to extend the request beyond the week and associated weekends. Taken on Monday to Friday blocks. Associated weekends are not guaranteed nor counted as vacation day when granted. R1’s will be assigned vacation week/s or given choices during appropriate blocks; schedule is completed by the R4’s. II. No vacations on the following: Any exceptions to these times must be approved by Dr. Horton. While on HMC or Children’s services, no exceptions Last two weeks of November and December, First week of January. Note: If on vacation the last week of January, you will be required to come in for the ABSITE examination the last Saturday of the month. Last three weeks of June (Preliminary residents will officially be excused either June 24th or if on call June 25th and will be unpaid for the remainder of the month. First two weeks of July The week prior to a holiday falling on a Monday or following any holiday falling on a Friday. Efforts are made each year to provide residents with long

III. Please note the following:
If you must take vacation during one of the times in section II, the Program Director must authorize this time away. You may only be allowed one of the weekends off at the discretion of the Program Director
All General Surgery residents are expected to take the ABSITE examination the last Saturday of January. If you are on vacation, you will be required to return for this examination. This also applies to the Fall and Spring Mock Oral Exams, usually administered on a Thursday afternoon in October and April or May
If the call schedule allows, residents will be allowed to have the weekend prior and the weekend following their vacation off. The decision is at the Chief’s and scheduling R4’s discretion. Having both weekends off is not a guarantee but a privilege we would like to extend to residents whenever possible. Coverage comes first and foremost
Interns are as outlined in section I
It is the responsibility of each resident to notify their attending surgeon of their approved time off and inform them who will be covering the service during the vacation period
Residents interviewing to fellowships, must come in part of a day for it to not count as a full day off and/or use vacation to remain within the ABS 48 week policy
Chief Residents planning on leaving the program to move for fellowships or other positions must take vacation time to do so to remain within the ABS and SMC policy
