Here is what I did:
We were in room d202 which worked well for our needs We upped our quantities of dip n dots to 1200. Pricing was 2.10 per cup which totaled $2500 Co-Chairs need to attend as many After Prom Meetings as possible (one per month)
The theme will be decided upon at these meetings, then Soccer Boosters must choose their room theme, food, and activity. I would stick with Dip N Dots, the kids come in looking for us.
Last year our activity was Table Tennis and the kids liked it. You can request the tables and paddles from the school through the After Prom Committee Chairs. We bought our own balls in large buckets from Dicks Sporting Goods, buy one or two buckets.
Plan out decorations and buy or request whatever is needed. All walls need to be covered with large sheets of thick, non transparent plastic…base on your theme. Most use black, we have used star covered to get a night sky. Some have used white.
We used the smart board in the classroom to play soccer highlight dvds, or could play the MHS games or banquet dvds possibly. One of our chairs knew how to use the smart board so we didn’t really ask, but the administrators loved it when they did a walk through, so shouldn’t be a big deal.
You will need to request 2 trash cans,2 tables and 4-6 chairs from the Committee to be delivered to the room on set up day. You can request to borrow any items from the After Prom Closet that you might want to borrow. Soccer Boosters owns some decoration items, so check with the board before purchasing things.
In the past we have decorated with a lot of white lights and stars to create night skies.
You will need to request volunteers via email, I would start with asking Varsity because the senior and some junior parents really want to help. If you get too many volunteers, send them to the After Prtom Committee, they always need help.
5 helpers for set up is a good number, 2-4 for preview night(including chairs), 4-5 for each shift. For set up, you will want lots of tape, binder clips, scissors, ladder. Important dates to keep in mind:
Friday before Prom is “set up” starting around 4 pm.
Saturday of Prom, you need to be there for the Preview, usually 8-10 pm
After Prom goes from 12-4 am the morning after prom. Clean up begins at 4 am. Contacts/Companies I worked with:
Contact for Dip n Dots is Stacey Agarwal @ 937-602-9451 I can’t remember the name of the company I ordered the large rolls of paper from, but have it saved on my home computer(Elizabeth Bauer). Mason AfterProm
Expenses/Income: No income, it is a “service” activity. Expenses are Dip n Dots and decorations, around $1500. Suggestions for next year: I would suggest that the helpers the night of the activity break into 2 shifts that covers clean up. Say 11:45 to 2:15 and 2 to 4:30. Please attach copies of emails and/or files used for this activity.
Hello! Thank you so much for volunteering to help with the 2012 MHS After Prom! Below is the list of times and volunteers as well as donations. Please let us know if this will not work for you. If you are able to help with clean up or know someone who can, please let us know. Thanks! Lori Couchot and Elizabeth Bauer Set Up(Friday, May 18th 2:30-10pm): Preview (Saturday, May 19th 8-10:30 pm): The Event(Saturday/Sunday 11:30pm-2 am): The Event(Sunday, May 20th 2-4 am): Clean Up(Sunday 3:45-? am): Hi Michelle/Carol, I gave you a list last night of things we saw in the closet that we could use for soccer boosters...just let us know if they are available. We won't plan on them until we hear back from you. We would like to request 2 ping pong tables to be delivered to the room if possible. Also, we will need that room cleared out of all furniture. We have compiled a list of what we think we will need: 2 large trash cans 6 chairs 4 stools 4- 6' tables(at least 2) Team Parents, please forward...Melissa, not sure why it wasn't working before, so we will try it this way. Tahnsk!
Hi Everyone! I know it is not High School Soccer season, but we need your help! For those who are not aware of this, most of the Sports Booster Organizations at the High School plan and manage "rooms" at the Jr/Sr After Prom every year. This year the After Prom will be held May 20th starting at 12 am at the High School, the theme is Midnight Cruise. The Soccer room will be the Sun Deck, we will be providing Dippin' Dots and Ping Pong as well as some seating for students wishing to relax a bit. That is where we need your assistance! We are looking to borrow: 2-3 ping pong tables(we will provide balls and paddles) 3-4 lounge style deck chairs 2-3 small round patio style tables possibly some white Christmas lights We would need these from Friday May 18 through Sunday, May 20. If you have any of these items that you would be willing to let us use, please send an email to Lori at [email protected]. Also, if you are interested in helping with the event, set up, or clean up and have not already signed up to do so, please let Lori know. You do not need to have a Junior or Senior to help and it is a pretty fun event even for the chaperones!
