The school St Paul’s Girls’ School is one of the country’s leading independent secondary day schools for girls aged 11-18 and is a lively academic community with excellent facilities for all subjects. There are approximately 740 pupils with a thriving sixth form. Entry to the school is by competitive exam, held in January, and there is heavy demand for each place. Public exam results are consistently outstanding and about half of all students every year move on to Oxford and Cambridge. Increasing numbers also go on to higher education at Ivy League colleges in the United States. The post This administrative post supports the key role of the Deputy Head, Director of Pastoral Care and her team. The Deputy Head, Director of Pastoral Care, is the designated safeguarding person and has primary responsibility for the provision of pastoral care within the school including line management responsibility for the Heads of Year, medical and counselling staff, and Director of Sport.
The post reports to the Deputy Head, Director of Pastoral Care.
Responsibilities Specific responsibilities include:
Running the office of the Director of Pastoral Care including all secretarial and administrative support, diary and email management, preparing letters and acting as first point of contact for parents Providing administrative support for regular meetings, writing agendas and minutes as necessary
Supporting the Director of Pastoral Care in her role as the Designated Safeguarding Lead, and maintaining accurate safeguarding records Maintaining staff safeguarding training records and organising relevant training
Maintaining records of behaviour, commendations and sanctions
Writing and issuing clarion calls relating to the PE and medical departments, events and pastoral matters Overseeing the organisation and administration of parent discussion evenings
Overseeing the event management team
Providing administrative support for the medical department as necessary Maintaining accurate pupil records including reports of incidents and contact with parents
Providing administrative support to the Parents’ Guild
Updating policies and other documents as required
Updating relevant areas of the database, intranet, extranet and website
Assisting with day to day school administration including some reception cover
Any other duties as determined by the Director of Pastoral Care or office manager This job description may be reviewed from time to time in consultation with the role holder. As the needs of the school change the duties will be adjusted accordingly.
Candidate profile Experience and qualifications: A good, all-round education, preferably to degree level Experience of providing high quality PA/administrative support within a medium to large organisation Strong organisational and time management skills High level communication skills, both orally and in writing Excellent ICT skills in a range of Microsoft Office applications Experience of ISAMS or similar educational databases would be an advantage
Personal attributes: A friendly and approachable, yet professional manner Accuracy and an eye for detail The ability to handle difficult situations and people with sensitivity The ability to maintain confidentiality The ability to prioritise and take the initiative A flexible approach to working hours
Terms of employment A full-time role, 40 hour working week (8am to 5pm Monday to Friday or as agreed) 52 weeks a year (extended term time only working would be considered for the right candidate) 5 weeks’ annual leave entitlement per year Contributory pension scheme Salary circa £30,000, dependent on experience Free lunches, tea and coffee Free use of the school’s sports facilities Access to season ticket, cycle and computer loans and childcare vouchers.

Disclosure and Barring Service (DBS) and overseas police checks St Paul’s is a “registered body” under the Police Act 1997 because employment here involves access to children under the age of 18. This post will require an enhanced DBS check from the Disclosure and Barring Service (formerly Criminal Records Bureau) before we can confirm an offer of employment. Unless you are a member of the DBS Update Service you will need to apply for a new disclosure, even if you already hold one. Former members of staff who are not on the Update Service who re-join us also require fresh disclosures unless less than six months have passed between their leaving and their re-employment date. If you have lived or worked abroad you will also need to provide appropriate paperwork, such as a police certificate of good conduct, from the countries you have lived in.
Safeguarding guidelines The post-holder’s responsibility for promoting and safeguarding the welfare of children and young persons for whom s/he is responsible, or with whom s/he comes into contact, will be to adhere to and ensure compliance with our child protection policy statement at all times. If, in the course of carrying out the duties of the post, the post-holder becomes aware of any actual or potential risks to the safety or welfare of children at St Paul’s, s/he must report any concerns to our safeguarding designated teacher or to the High Mistress.
