Minutes of the Executive Committee Meeting SIR Branch 35 January 18, 2017

Big Sir, Duncan MacVicar announced that a quorum was present and the meeting was called to order at 9:45 am

Secretary: Darryl Walker presented the November minutes and they were approved. (012017-001).

Treasurer: Larry Wray presented the November and December Treasurers reports. The treasurers’ reports were accepted. (012017-002)

Membership Chairman:

Wayne Dexter presented the membership report.

 Two new members were presented for membership and one returning member was announced:

Returning Member Don Berglund

The new members were approved. (012017-003)

The new members were introduced to the BEC

 Current roster – 379 members, 6 inactives

 Seven guests today

 Form 27 was submitted with 370 active members.

Little SIRs

Stan reported that all speakers have been booked except four later in the year.

Old Business:

1. Training for officers and committee chairmen will be held Friday February 17, 2017 2. Seven letters have been sent. Calls to unpaid members will start in March in 2017. 3. Holiday Party- Duncan – The party was a very successful event and was conducted on budget. 4. Vacant positions. The Comfort and Well Wisher is still vacant. The Greeter position has been eliminated. 5. Website Peter Thurston/Joe Mullen –A security log in has been added to the website. Since this portion of the website will contain the Branch 35 roster there is a concern for security of the members personal information .It was voted to distribute the website password to the members via a business card at the luncheon. (012017-004) New Business:

1. 2017 Budget. Larry presented the 2017 budget. The budget was approved. (012017-005): 2. :Goals for 2017 - Duncan distributed a list of the 2017 goals: a. Develop contingency options for the time when our chapter is too large to meet at Elks b. Review our use of technology and prepare a proposal to bring it up to date. c. Articulate a clear policy re saving seats before lunch d. Membership growth of 10 net after attrition: Guests 50, New members 40, attrition forecast 30, Net growth 10.

The goals were approved by vote of the BEC. (012917-006) 3. Discussion – attend meetings without lunch. It was a consensus that no provision be made for members who attend without lunch.

Committee Reports:

Travel – Ed submitted the written report

Trail tips – nothing to report

Luncheon Host – Terry reported 222 at lunch today with 28 cold plates,

012017-001 – Minutes of the November meeting were approved as amended.

012017-002 –November and December Treasurer’s reports were approved.

012017-003 - New members Gregory Vanhousen and Marvin Schwartz, were approved for membership. Don Berglund is a returning member

012017-004 – Passwords for access to the secure portion of the website will be distributed at the luncheon via business cards.

012017-005 – The 2017 SIRs Branch 35 budget was approved
