I. Welcome & Introductions - We had 49 representatives from 42 Geographic and Special Interest Chapters & Clubs participate on the call. - Also on the call were Kathy Duffy Ybarra from the ASU Alumni Board of Directors, Dr. Christine Wilkinson, Alissa Pierson, Martha Byrd, Tracy Scott, Matt Hodson, Tonya Gray, Jennifer Haye and Trish Thiele-Keating from the ASU Alumni Association Staff.

II. Updates from the Board and Council – Kathy Duffy Ybarra, Chair-Elect, ASUAA Board of Directors - Kathy recently attend the Athletics Board Meeting and met the new Women’s Gymnastics Coach, Rene Lyst. Coach list was formerly at Stanford and is ready to reinvent a strong program at ASU, and requires the athletes to maintain a 3.0 GPA. The team competes January – April around the country, so look for them in your local areas and go out and support your Sun Devils. - Kathy also was impressed by V.P. of Athletics, Ray Anderson and he introduced three new additions to his staff, all formerly with the NFL: i. Greg McElroy - Associate VP, Chief Business Development Officer ii. Scottie Graham - Sr. Associate AD iii. Dave Cohen - Sr. Associate AD - Kathy also reported that at the May ASU Alumni Association Board of Directors meeting, the Board approved three new groups to the ASU Alumni Constituent Group Network: Geographic Club for New Orleans, Special Interest Club for Doran Community Scholars Alumni and an International Connection for Malaysia. - The Board of Directors will be meeting Friday, August 22 and will review requests for the following new/re-additions to the Group Network: International Connections in Italy, Morocco and Thailand, and the return of Devils Horns (Marching Band Alumni) Club.

III. Reports from Staff a. Updates from ASU– Dr. Christine Wilkinson, Sr. VP & Secretary, ASU, President, ASUAA - Dr. Wilkinson thanked everyone who participated in the summer Send-Off events. We work with Undergraduate Admissions to track the impact through student retention each year. - Other highlights from the summer include the announcements for the partnership between ASU Online and Starbucks, the merger with Thunderbird School of Global Management, and the transition of Arizona PBS to the Cronkite School at Downtown Campus. - Dr. Wilkinson also mentioned ASU was recently selected by Princeton Review as one of the Best 379 Colleges, based on 3 criteria: Outstanding Academics, Quality of Life for students and Vast Opportunities for Internships. - And we have welcomed 14,000 students over a 3-day check-in process for moving into resident halls and participating in Fall Welcome traditions. Classes begin Aug. 21 with a record enrollment of 82,000 undergraduate and graduate students across the campuses. b. Updates from ASU & ASUAA – Martha Byrd, VP of Operations, ASUAA - Martha shared the Alumni Association hosted the breakfast for this year’s Legacy Scholars on Monday. This year there are 13 recipients, including incoming and current students (7 freshmen, 3 sophomores and 3 seniors,) from in-state and out-of-state (9 from AZ, 2 CA, 1 CO and 1 NM). To be eligible to apply for the Legacy Scholarship, students must be related to a member of the ASU Alumni Association. It is a one-year award. - Martha also highlighted the Alumni Travel Portal on our website. There are some great deals from local hotels for in you are returning to the Valley. - We also have our Travel & Tours program with great trips coming up. - And the Business Directory where you can advertise your business or find other businesses, not just in AZ. c. Chapters & Clubs i. Updates for Constituent Group Network – Alissa Pierson, VP of Alumni Programs - Request from Accounting department *Complete the financial wrap-up for your events within 30 days. Send your itemized receipts, check request form and Program Report to Trish after the event. If you collected funds on-site, send us the funds asap so we can deposit the money and you don’t have to worry about it anymore. If you don’t want to send cash, write a check. Money that goes into your group’s Holding Funds should be made out to ASU ALUMNI ASSOCIATION, and then you can put the group name in the memo line. Don’t hold on to the money for weeks/months! Send it in! - Spirit Kits are coming! *We’re putting together all the essentials you need for your events, like name tags and some decorations, and a few fun giveaways and prizes. The kits will be shipped to the Chapter & Club Presidents and will arrive before the first game watching. Be sure you don’t use up everything in the box at one time! We do have limited supplies available, so you need to spread out as much as you can throughout the year. - Send in your meeting minutes from your board meetings - Collaboration with ASU Online * ASU Online has been increasing communication with their student population to encourage participation with the ASU Alumni Chapters & Clubs in their local areas. 60% of ASU Online’s students are outside of AZ. We’ll be looking for more ways to get the students involved with the chapters & clubs. Currently the highest volume of promotion is in CA, TX and Chicago. ii. Brief Overview of Events & Communication System Transition – Tracy Scott, Director of Strategic Marketing & Membership; Matt Hodson, Digital Media Manager - Tracy introduced the University’s transition to a new CRM and communication tools coming up at the end of September. Salesforce will replace iModules as our system for broadcast emails, event registration, membership processing and the Online Community. - Specifically, Exact Target will be used for the Broadcast Emails, and Fontiva will be utilized for the Event Registration. - The intent for the change is to allow us to see the full relationship an individual has with ASU, from HS recruitment through alumni stages. - We will let you know more as the transition comes closer and if there will be any adjustments to our current request procedures and timelines. iii. Communication Updates – Jennifer Haye, Alumni Programs - We need MORE PHOTOS for the upcoming issues of ASU Magazine. The deadline for submissions for the December magazine issue was last week, however, if you have a great photo you’d still like to submit, please send it to Jennifer ASAP. - We have created a template for chapter & club postcards. This is a simple design and you can drop in your event details. Let us know if you are interested in using the postcard template. - Remember weekly chapter email requests are due by Fridays at noon, chapter emails are sent once per week on Wednesdays. The email request form is in the Online Toolkit - http://alumni.asu.edu/groups/online-tool-kit - Fall Game Watchings will be posted on our general Game Watchings page - http://alumni.asu.edu/events/game-watching and on each chapter’s web page. Calendar Announcement requests are NOT needed for game watchings. You DO need to submit an email request if you want an email reminder to go out to your chapter for your game watching. We have developed a special Game Watching specific email template for this fall, so if you just want to have an email go out about your game watching details, mark that box on the request form. If you have additional events and information that you are including, the standard e-newsletter template will be used. - Be sure to read Chapter Chat, the e-newsletter that is specifically for all alumni chapter leaders. Chapter Chat now goes out the first Monday of each month, lots of important updates and reminders are in there. - And if you have any updates for your web page on our website, send them to Jennifer. If you haven’t updated the header image on your page yet, be sure to send that to Jennifer as well. d. Events & Activities – Trish Thiele-Keating, Alumni Programs i. 2014 Sun Devil Send-Offs recap - Most successful Sun Devil Send-Off season this summer with 37 Send-offs in the U.S. and our 1 international Send-Off in China - Attendance by 350 students, plus their families, and 315 alumni - We loved seeing the photos – we’ve posted them on the website. - Thank you to everyone who hosted, made phone calls, attended and helped out. - If you have any receipts that still need to be submitted for reimbursement, please send them in right away. We want to get everything wrapped up within 30 days of your events. ii. 2014 Pennies for Points - People can pledge to donate per point scored by the Sun Devil Football team. - In 2013, the team scored 519 points and Chapters & Clubs brought in almost $4000 through Pennies for Points - For 2014-2015 school year, Geographic Alumni Chapters & Clubs have awarded more than $37,000 in scholarships to ASU students - Contact Trish if you want to participate – we have the online pledge form and we have a hard copy pledge from that we will include in the spirit kits so you can use them at your game watching events. - iii. Sparky’s Touchdown Tailgates - Tickets are on sale now for all away games and tailgates through Athletics. - Sept. 6 @ New Mexico: Big THANK YOU to Brooks Washburn from NM Club for all of his hard work planning and preparing for the Friday Night event at Kelly’s Brew Pub, and the pre-game tailgate. - Sept. 13 @ Colorado: Two Friday Night events, one in Denver at Blake Street Tavern and one in Boulder at Reuben’s. Thanks to Colorado Chapter and their partnership with Dulce Vida Tequila, we’ll have some special Sun Devil drinks to enjoy. Tailgate before the game is at Millennium Harvest House - Oct. 4 @ USC: Tailgate at the Swim Stadium, great location where the team bus drops off. - Oct. 25 @ Washington: SAILGATE! 3 hour chartered cruise before the game. Join us for the Friday Night event at Rock Bottom Brewery. iv. Fall Forum & Homecoming - Alumni Chapter & Club leaders are invited to participate in the Fall Forum over Homecoming weekend and to participate in the Homecoming festivities. Application deadline is Aug. 22. The application information was in the July and August issues of Chapter Chat. You need to complete the application and have your referral email in by this Friday to be considered for participation. - We will select one representative from each Chapter and Club to participate, and we’ll let everyone know who is selected by the end of next week. We will cover 3 nights’ accommodations for out of town reps for a room with a roommate, and also will reimburse for airfare up to a certain amount that will be specified in the email. If you are not selected as the representative but you’d still like to attend the Forum, you are welcome to join us, the airfare and hotel would be at your own expense. Forum participants will attend the Legends Luncheon that Friday, and will participate in the Parade and Block Party before the game on Saturday. We will have a ticket for each participant to the game against Utah. v. Homecoming Legends Luncheon: The Ring of Honor - The Sun Devil Club established the Ring of Honor in 2010 to celebrate Sun Devil legends. To qualify for the Ring of Honor, it will have been at least 20 years since the athlete completed their career at ASU, and they need to have been inducted into the ASU Hall of Fame. - This year’s inductees will be recognized during the Legends Luncheon on Friday, Oct. 31. We will announce this year’s honorees on Friday, Aug. 22. vi. Save the Dates for 2015 events i. Next CAC Call will be in January ii. Founders’ Day – March 5, 2015 iii. ASU Cares Month – March. Alumni chapters & clubs are encouraged to participate in a volunteer event in their community sometime in the month of March. We’ll need to know your projects by February so we can promote them. iv. Spring Leadership Conference March 27 & 28 v. Pat’s Run Tempe – April 2015 1. Date is yet to be confirmed by Pat Tillman Foundation. Alumni Shadow Runs should occur on or before the same date. PTF will be using a new registration system for the Tempe run, and we will discuss with them whether the Shadow Runs should also utilize that same system or if we will use the new ASUAA system. Registration for all of the runs will most likely be pushed back a bit, possibly into December. Someone at ASUAA will be the point of contact for Shadow Run Captains. PTF will still supply the t-shirts for Shadow Runners. e. Other Alumni Programs Updates – Alumni Programs Team - Alumni Career Resources: Opportunity for student mentoring through Job Shadow Program. Contact Janet Osgood with ASUAA if you’d like more information.

IV. Idea Sharing – All Chapters & Clubs - Seth from Georgia highlighted the success of their Mooing Mondays, one Monday a month the group gathers at a local burger restaurant. They also recently had a night at the Braves and have met new alums and appreciate new leadership stepping up for the chapter. - Erin from National Capital gave a shout out to their chapter Softball Team for making it to the elimination round of the CAN Softball Tournament. This season the team had the most players participate so far, 17, and they ended with a record of 8-6. - Joanna with Veterans Chapter asked for collaboration with the Geographic Chapters to keep alums who would be part of Special Interest groups engaged. ASU’s military & veteran population has double in the last 2 years. We want to keep those who aren’t in Maricopa County involved with their local group. The Veterans Chapter also recently debuted an ASU Challenge Coin that is available for $15 to support the chapter’s scholarship program. - Eddie in LA has noticed an increase in out-of-state activity from Academic units, most notably Barrett, the Honors College, and W.P. Carey School of Business. The Alumni Association meets quarterly with all the Academic representatives to keep them informed of what’s going on with the alumni network. We also work individually with academic representatives who want to coordinate activity out of state and encourage them to partner with our existing groups. - Alissa gave a big THANK YOU to the San Diego Chapter for recently stepping up to support an ASU Online Happy Hour. Alice from the Chapter said they’re excited to include the Online students and have their new & different energy as part of the chapter’s events. - Reid from Dallas/Ft. Worth mentioned their partnership with CBS radio in DFW to promote the chapter’s game-watchings. They also promote ASU Online in the area.
