JAXPO Kickoff Meeting See what is new for JAXPO 2014

- 1 - Economic Club Luncheon (Limited Seating): Thursday, October 16, 2014 11:30 a.m. to 1:00 p.m. The Economic Club of Jackson has arranged a panel of folks to discuss the changing dynamic of marketing your business.

Tickets may be purchased at $25 each. RVSP to [email protected] or 517-782-8221. Snack bar will be back open after 1:00 pm

JAXPO Hours: Thursday, October 16, 2014 from 1 p.m. to 7 p.m.

Business After Hours: Thursday, October 16, 2014 from 5 p.m. to 7 p.m. (High Traffic Time) This year’s Business After Hours will be sponsored by WKHM/K105.3/WIBM, The Ballooney Bin, Sam’s Club and Mat’s Café and Catering. If you plan to walk the Business After Hours – be sure you have someone staffing your booth at all times.

Outstanding Booth Contest - $50 voucher towards 2015 JAXPO booth or $25 towards a spot in the 2015 JAXPO 15 minutes of fame (see separate handout for guidelines) Vendors must staff booths until 7:00 p.m.

Photographs & Video will be taken at JAXPO and they may be used for future promotion of the event. Vendor Set-Up & Move-In Thursday October 16, 2014 – 8 a.m. to 11 a.m.

o Between 8 a.m.-11:00 a.m. after done setting up you can network with other businesses that are taking part in JAXPO.

All booths must be show ready by 11:00 a.m. At that time please feel free to step out for lunch!

o Please use ONLY the front entrance at Allskate Fun Center, as the move-in and move-out entrance. It would be the main door on the east side of the building and facing McKay Street. **Bring cart to move items into Allskate**

o After you are done unloading your car, please be sure to park your car across the street at Optimist Ice Arena, so guests of JAXPO can park closer to the door.

o Vendor Tear-Down: Thursday, October 16, 2014 from 7 p.m. to 8 p.m.

**If you need help please look for a JAXPO committee member.

 You are responsible for bringing your own supplies for your booth. Please come prepared because the Chamber and Allskate will NOT have extra supplies to provide. Below is a list of supplies you may need: A 3 prong extension cord for your computer battery - 2 - 2 prong extension cords Brochures or handouts Business Cards Banner to hang on back drapes (with all hooks/clips/pins/ties necessary to hang it up) Prize(s) to be given away at booth along with forms for guests to fill out (not mandatory) Pens/Pencils Stapler/Paper Clips Scissors Box Cutter (to open boxes) Tape (to close boxes) A step stool or ladder (to hang your banner on the back of your booth) A CART to bring your items into Allskate and to take them out Anything else that is specific to your company to make your booth interactive & fun.

 Your Booth Package Includes: o 10’ W by 8’D space for a premier, general and nonprofit booths o 2 chairs; 1- 8ft or 6ft table—covered and skirted (white linen) - $10 for an extra table o Full 8ft back drapes and 36 in. side drapes (blue and white) o Free Wi-Fi – Courtesy of Allskate Fun Center and Hot Spots by Wireless Zone o Electricity ($10) - If requested on registration form and provided by Allskate Fun Center Electricity will be set-up prior to the show by an electrician hired by Allskate. o Allskate Fun Center has a snack bar that you can get a drink or snack during JAXPO **Allskate menu at the end of this packet for snack and lunch options**

VENDOR INFORMATION

All vendors participating in JAXPO are subject to these rules, regulations and policies. Questions regarding these rules and regulations should be directed to:

1. The show will be held at Allskate Fun Center, 1313 W. North St., Jackson, MI 49202. Set-up and move-in will be from 8 a.m. to 11 a.m. No exhibit or exhibit material may be moved into or removed from Allskate Fun Center during the official show hours except by written permission from the Jackson County Chamber of Commerce.

2. Equipment may not extend into the aisles or across the exhibitors purchased booth lines.

3. All signs must be located within the boundaries of the assigned booth space and hung no higher than the height limitations for each booth type. Signs may not be attached to walls or floor, nor may they be hung from the ceiling, outside the assigned booth space.

4. The vendor may not display or distribute printed material, samples, advertising material or other articles outside of the confines of the assigned space unless permission has been granted by the Jackson County Chamber of Commerce staff (Angela Machnik) or JAXPO committee chair (Greg Bentle).

5. The vendor will keep the booth open and staffed at all times during JAXPO. The vendor will keep the exhibit in good condition at all times.

6. To maintain the professionalism and high caliber of the show, vendors are asked to observe and maintain - 3 - the “good neighbor policy” at all times. Loud and obtrusive audio-visual or oral presentations or other activity that would be distracting to neighboring booths will not be permitted. If found to exist and cause such a distraction, the vendor will be asked to discontinue such practice.

7. All vendors will be bound and subject to the rules and regulations of Allskate Fun Center. There is NO smoking inside Allskate. There is not a designated smoking area outside, so please be kind and move away from the main entrance. Be very careful with your booth displays on the floor at Allskate, no displays with sharp edges that could hurt the floor will be allowed. You can only use the front entrance to move in and out booth displays. Allskate asks that you do NOT have burning candles. Allskate asks that you do no use double sided tape on their rink floor. The vendor further agrees to comply with all fire rules, electrical codes and all other applicable Federal, State, Municipal, County and Health Department laws.

8. Selling of goods and services at JAXPO (NEW) – COME PREPARED The Chamber of Commerce will allow the exchange of money for goods or services at JAXPO.

A paid vendor may sell their product at JAXPO. Those vendors are responsible for their own start up cash, Michigan Sales Taxes and understanding the laws pertaining to charging and submitting details to the State for sales tax is your responsibility. If you do not have a Michigan Sales Tax License, the State of Michigan Concessionaires Form C-5603 is available online at the State of Michigan website (www.Michigan.gov)

Also think about accepting credit cards on site with a Square credit card swiper. Disclaimer “Vendors are advised to remove their entire display at the close of the event. Such items are the sole responsibility of the vendor. No other parties’ associated with Allskate Fun Center and the Jackson County Chamber of Commerce or the JAXPO committee will assume responsibility for any loss, shortage or damage.”

Food Vendor Information

Giving out food samples at JAXPO – Recommend Finger Foods

First decide what you are going to do: If you are a licensed establishment and plan to prepare all food in your restaurant you will NOT need to obtain a license. This means that you are catering food for this event.

If you are planning to prepare all or any food at JAXPO, you MUST contact the Jackson County Health Department to obtain a license and get further information.

Don’t forget that JAXPO is $5 to the public!!! Tell your customers and business contacts to visit JAXPO at the Allskate Fun Center on Thursday October 16, 2014 from 1 p.m. till 7 p.m.
