Newport Girls’ High School PTA Minutes of the meeting held at the School 11th October 2016 Present Mrs Garner (Head Teacher), Julie Harris (Chair), Heather Hogan, Sarah Bridgman, Helen Jones, Nicky Boden, Karen Moore, Debbie Anderson, Cheryl Hooper, Angela Knight, Carol Rodrigues, Caroline Mason, Andy Wilkinson, Pat Arnot, Val Harvey (Secretary) Apologies Tony Brown (Treasurer), Alison Birkinshaw, Kerry Wallace (teacher, PTA link team), Amanda Slater, Martha Williams Agree The previous PTA minutes of 12th September 2016 were agreed and accepted. Matters arising Minutes were incorporated into the Agenda items for the October meeting.

Rotational  Helen reported that there are some technical issues that need to be Helen Agenda resolved before the new PTA website is launched. Any photos of old Item – PTA events to be sent to Helen (email address is Publicity, [email protected]) Communica  It was agreed that Sarah will set up a closed Facebook group called Sarah tions and PR ‘Newport Girls’ High School - PTA Group’ where comments are moderated before they appear and the messaging facility will be unavailable. The page will be used to advertise upcoming events and a link between the PTA website page and the Facebook page will be set up and will be moderated by Sarah. It was agreed that Twitter will not be used for the time being.  Membership of the PTA Link Team has been finalised by School and Val reported that a meeting of the Link Team is scheduled for the 13.10.16. Cheryl  It was felt that PTA Year Group Representatives are useful, especially for people not on Facebook, but that the role needs clarifying. Cheryl Sarah, Julie to draft a role statement for discussion.  Steve and Pat have contacted their lists of Year 7 parents interested in the PTA, but the action regarding contacting the rest of the new PTA Volunteers was c/fwd. Helen  Actions for Helen to produce a pop-up banner and a single page summary sheet of future PTA events as handout for parents are c/fwd. Andy offered resource to help with these ‘creative’ types tasks if needed - Helen to send Andy a brief ‘wish list’ of requirements. Julie  Julie to draft a Newsletter with creative input (and possibly a PTA logo!) from Andy.  The PTA thanked the staff for their involvement in the Quiz. At this time it was felt that no other work in this area is needed. Treasurer’s Tony was unable to attend the meeting so no report submitted for this Report month. 100 Club Alison was unable to attend the meeting so no report was presented. The action point regarding updating the proposed email about monthly 100 club winners to include a quick update on activities and forthcoming events was carried forward. Funding  Defibrillators – Reported that the school has organised a “Wear what Requests you want day” to raise funds and that Jon Humphreys has made a personal donation of £200. A provision of £650 had originally been set aside by the PTA to cover this but although the total cost is now more likely to be approx £1000 much of this should be covered by these two events and the PTA will cover the excess. Mrs Garner to advise contribution required from PTA when known.  The funding requests for Piano, Science Equipment and Outdoor Benches were c/fwd to our next Budget Committee Meeting.

Page 1 of 2 Newport Girls’ High School PTA Minutes of the meeting held at the School 11th October 2016 Debrief of Quiz 30th September – A profit of £694 was made by the Quiz. 160 Events people attended (93 adults - including 9 teachers - and 67 children). 125 people attended the previous Quiz in January 2016.  Julie to write a piece about Quiz for website and send to Helen Julie

Future Christmas Shopping Evening – 10th November Events Julie & Val are leading this event. Local publications have been contacted Volunteers about promoting the event and the sign for the front of the school has Needed! been updated and is ready for display. A sub-team was set up consisting of Julie, Val, Nicky, Sarah, Heather, Angela and Debbie (most of whom volunteered!) with Helen, Pat saying that they were able to help at the event itself. A meeting has been arranged in the Barley Pub in Newport on Wednesday 19th October at 7.15pm. If anyone else can help with the organisation or is available to help out on the night please contact Val on [email protected]. 28 stall holders have booked stalls and a meeting with the PTA Link Team is being held on 13.10.16 to finalise the student stalls. The action point for Val to contact Adams’ Grammar School to see if their parents could be informed of event as AGS not running even this year is c/fwd.

Autumn Music Evening – 30th November Sarah to lead this event helped by Kat and Debbie. PTA to provide refreshments – Details TBC.

May Ball 2017 – Pat reported that the services of the photographer who covered the AGS Ball have been booked and asked if it would be possible for students to perform at the event.  Mrs Garner agreed to contact Mr Wynn, one of the teachers, to see if Mrs Garner he is available

Easter Hampers and Bingo Evening - It was confirmed that any bingo evening will not replace the Easter Hampers! As we already hold an Easter mufti day, it was suggested the Bingo could be an evening event the night before the Easter Hamper draw as this will boost last minute ticket sales and involve parents.  Andy to see if he can get boxes for the hampers via his work contacts. Andy  Please let Sarah have any old glossy magazines (for shredding for All packing hampers).
