Information for External Users of IOE Premises

This includes all classrooms and Halls in all buildings including 20 Bedford Way, as well as Logan Hall, Jeffery Hall, Crush Hall and Jeffery Hall Foyer and the conference rooms located at the IOE Hall of Residence, John Adams Hall.

Please arrive in plenty of time to allow conferencing staff to go through the following with you:  Identification of the nearest emergency escape route and a secondary escape route,  The location of the nearest Fire Alarm call point,  How to evacuate mobility impaired persons that may be attending your event,  Any planned fire drills that may occur during your booking period including how the fire alarm system operates,  How to get a first aider,  Reporting incidents and accidents  Location of the nearest toilets  Areas where smoking is permitted  Location of catering facilities  How to make contact with a member of the conference office for assistance.

Please note that you should brief your guests of the following at the start of each session:  The fire evacuation procedure (details are below). Your first priority in the event of a fire is to ensure that all your guests are instructed to evacuate the building and go to the Assembly Point.  Location of the toilets  Where guests can smoke during break times.

When using the room you should ensure that all fire exits and escape routes within the room are kept clear of obstructions such as bags and coats.

If any of your guests are mobility impaired please notify the Institute at the time of booking. Further advice can be sought from the Conference Centre Manager.

Action in an Emergency

Fire If you discover a fire, raise the alarm by breaking the glass in the nearest call point.

The alarm system in 20 Bedford Way has an alert (intermittent) signal and an evacuation (continuous) signal. The intermittent alarm will signify that there may be a problem and will ring for up to 2 minutes. During this time you should prepare your guests so that they are ready to evacuate should the alarm ring continuously. In all other buildings there is no intermittent signal and the alarms will ring continuously until the building has been vacated.

Remember:  Do not use the lifts  Use all emergency exits not just the main exit  Go straight to the Assembly Point; do not assemble immediately outside the building where you might obstruct others evacuation.  If evacuating from 20 Bedford Way do not assemble on the concourse  Do not re-enter the building until instructed to do so by the fire brigade or a responsible office of the Institute.

Assembly Points: 9-11 Endsleigh Gardens – Friends Garden

15-23 Endsleigh Street (John Adams Hall) – opposite side of the road facing the building

20 Bedford Way and all other buildings in Woburn and Gordon Square – Woburn Square.

First Aid  If you need a first aider or need help in an emergency contact Security on 5555 from any internal telephone.  All accidents and incidents must be reported to the Health and Safety Office.

Security, Thefts and Possible Intruders  Do not leave bags, coats, luggage or packages unattended at any time.  Report all details of thefts to security in the main reception area. Where a personal loss is incurred you are advised to report this to the police on 020 7404 1212.  Should you discover an intruder please call security on 5555.
