EXHIBITOR RULES 1. All exhibitors must sign in at the exhibitor’s information desk prior to setting up your booth on Monday day of setup. 2. When within the Exhibit Hall, any and all personnel working in a booth or representing their company must wear and prominently display their registration badge at all times. Absolutely no badge swapping is allowed. If a representative of an exhibitor is found in an exhibit booth during the hours the Exhibit Hall is open to students having not registered for the School or having a badge on that is not his or her own, then that exhibitor will not be allowed to exhibit the following year. NO REGISTRATION OR BADGES COME WITH THE BOOTH EXHIBITOR FEE. EVERYONE MUST REGISTER. 3. Each exhibit must stay within the confines of the pre-arranged booth space(s), each being 8’x10’ and not protrude into the adjacent walkways, nor block the viewing of the booths next to you. No display shall exceed the height of the decorator-supplied back drapes. Outside exhibits are prohibited. 4. All items to be exhibited must be capable of being placed onto tables or pedestal-mounted, if need be and must fit within the boundaries of the exhibit. Mobile (e.g., trailer-mounted) displays are not allowed. 5. Promotional items are permitted for distribution. However, no raffles or contests are allowed by individual exhibitors. Direct sales, on any basis, from the Exhibit Hall are prohibited. 6. All exhibitors must display equipment pertaining only to gas and natural gas liquids measurement, control, quality, or odorization. If an item is deemed to be not within these categories, the School’s Exhibits Committee Chairperson shall have the authority to ask that the item(s) in question be removed. 7. Once an exhibiting company has relinquished or canceled its booth space, the company must re-apply in writing for admission to future Schools. If the application is subsequently approved, the company will be placed on the exhibitor waiting list. 8. All exhibits must be fully installed by 5:00 p.m. on the Monday the week of the School, in time for the “Early-bird Get-together.” Booths not set up by this time will be forfeited, without refund, and released to the next approved company on the waiting list. 9. Dismantling of exhibits may begin at 10:30 a.m. on Thursday morning, the week of the School. Teardown of an exhibit earlier than 10:30 a.m. on Thursday is not allowed without a written exemption from the Exhibits Committee Chairperson. 10. All exhibitors must list on the Exhibit Registration Application all represented companies and the products to be displayed. Any product(s) not listed must be removed from display. If an exhibitor desires to add an additional product (or products) to its approved list prior to the School, a request to that affect must be submitted in writing to the Exhibits Committee Chairperson for approval. 11. All signs for a booth, whether supplied by the decorator or by the exhibitor, shall match the name of the company as listed on the Exhibit Registration Application. 12. All exhibit booths must be manned during all posted exhibit hours by company personnel registered for the School, unless the Exhibits Committee Chairperson grants a written exemption from this responsibility. 13. Compressed air/nitrogen cylinders must be DOT approved and transported with valve protection covers installed. Compressed air/nitrogen cylinders must be hidden from view and secured to prevent movement, damage, or contact with booth visitors. All hoses and other equipment must meet compressed cylinder safety standards and must be secured to prevent a safety hazard. All other gas cylinders are strictly prohibited from the Exhibit Hall. This rule includes hydrogen, helium, and calibration gases 14. Any and all compressors and related equipment must be hidden from view and secured in place. Small compressors are permitted, but must be reasonably quiet. 15. Each exhibitor is required to have a single company representative attend the Exhibitors’ Meeting on Wednesday afternoon, the week of the School. The Exhibitors’ Meeting will begin promptly at 4:35p.m.in Salon E. Everyone must sign in. Please bring signed Exhibitor survey form and turn in at the exhibitor sign in table. 16. Offsite hospitality suites and plant tours not associated with the School and not pre-authorized by the School’s General Committee Chairperson are not permitted. Failure to secure approval will subject the exhibitor to dismissal from future participation at the School. 17. No exhibitor fee refunds will be issued after September 1. NOTE: Violation of any of the above rules shall be cause for not being permitted to exhibit the following school year. I, the undersigned, do hereby agree to the above conditions on behalf of my company this ____ day of ______, 2016. Furthermore, I agree, on behalf of my company to hold harmless the American School of Gas Measurement Technology from and against all claims, demands, and causes of action, and from all claims, demands, and cost of defense thereof, for personal injury, property damage, and property loss resulting from the installation, exhibition, and removal of equipment to and from the School.
