 Change of command  Arrival report  Departure report  Start / Stop Anchorage during river passages  Load/Discharge port agents full style address  Twice weekly report at sea (Daily in the case of Otterhound as she is coastal trading)  Daily report when in port regarding loading/discharge operation, even if no work being carried out.  Any relevant charterers messages  Any messages that incur Off Hire or mechanical breakdown 2 Statement of facts (SOF): SOF must be detailed and factual and all cargo stoppages due to rain or other factors must be recorded accurately. Please ensure that all information contained therein in the SOF is accurate prior to signing same. C. Owner Specific PSC Detentions 1 Otterhound was detained at Port Cagliari, Cagliari in April 2013.  On Emergency diesel generator both starting systems not working - engine was not ready for use (ISM). Vessel had successfully tested the generator during weekly checks. Investigation revealed problem with ABB Synpol Control Card which had recently been changed. 2 Corato was detailed at Hay Point, Australia in Nov 2005 as engine room fire flaps were not closing 3 Cumbria was detained at Iran in Sept 2005 as the fire line was found holed. Ensure that APIS ICB (Crew/Passengers) is held. Ensure valid USCG COFR (and bridge letter for those vessels with Operator named in the COFR different from the Registered Owners) is held. All crew passports are required to be in Master's safe custody at all times. Please refer Company’s SMS Checklist. 2 Port calls to Canada- Please be familiar with BW management/exchange and reporting regulations and ensure that Valid OSRO contract is held and declaration of oil spill contractor duly completed. 3 Port calls to Europe- Kindly beware of the high incidence of stowaways and take all necessary precautions. 4 Port calls to Australia-  Kindly be reminded to ensure compliance with BW management/exchange and reporting regulations.  Ensure that Original or certified true copy of current P & I Certificate of Entry is held.  Please refer Company’s SMS Checklist. 5 Port calls to Africa- Kindly beware of the high incidence of stowaways, piracy, robberies and pilferage, and take all necessary precautions. 6 Port calls to Brazil -Kindly beware

 Kindly be reminded to ensure compliance with BW exchange and BW chlorination regulations for Cholera prevention,  Please note that this is very high risk area for Sea Borne Drug Smuggling and be on alert accordingly.  Kindly beware in case of transiting River Plate that in certain sections the banks shift continually and buoys may drift out of position or the buoyage may not yet have been re-aligned to the navigable channel, for which the most up-to-date information must be obtained from the local Agent or the Pilot authority in good time before the transit and extra care is to be taken when navigating in suspect areas.  Kindly be warned that exorbitant fines are imposed on ships for any misdeclaration of bunkers, lubes, paints, spares, equipment stores, cargo or crew's personal effects. The Customs or other authorities will look for the slightest excuse, even minor, innocent, discrepancies or mistakes, to levy huge fines (USD20-30,000 upwards) and/or extort underhanded payments. Please, therefore, ensure that all port papers and customs declarations are prepared carefully and accurately, all items and quantities are diligently accounted for and declared according to local regulations and requirements, to be ascertained by you from port agent early to allow you sufficient time to ensure proper compliance. 8 Port Calls to Colombia- Kindly beware

Ships calling at any Chinese port must have pre-contracted & approved pollution clean-up contractor, known as SPRO (Ship Pollution Response organizations). Please refer RU 71 for details. 13 Port calls to Singapore- Kindly beware of the high incidence of stowaways and take all necessary precautions 14 Port Calls to New Zealand- Kindly be reminded to ensure compliance with BW Management/Exchange and reporting regulations, 15 Port Calls to Russia (Black Sea) - Kindly be reminded to ensure compliance with BW exchange in Black Sea requirements, and BW and sewage discharge regulations of the Russian Federation included in the Prevention of Pollution from Ships, the current details of which you should ascertain from the Agent. 16 Port Calls to Ukraine (Black Sea ) - Kindly be reminded to ensure compliance with BW exchange in Black Sea requirements, the current details of which you should ascertain from the Agent. 17 Transiting Malacca/Singapore Straits- Kindly beware of the high incidence of piracy and robberies and take all necessary precautions. 18 Transiting Gulf of Aden (GoA) and High Risk Areas: Please refer the APP (Anti-Piracy Plan), latest version of Best Management Practices (BMP), Ship Security Plan (SSP) and the CSO messages for details. G. Ship type related incidents 1 Please see the power point presentation for the type of ship. H. OPS Guidelines 1 Quest - Certificate of Registration: Please keep a print out of Certificate of Registration from Quest (which will be carrying out Drug and Alcohol testing on all vessels in the Glasgow fleet) with all other Drug and Alcohol information. Please refer circular 08/12 for details. 2 Important Memo: Trading Warranties exclusion Zones – Navigation Limits: Please familiarize yourself with the contents of Important Memo from Lloyds Joint War Committee (JWC) identifying trading warranties exclusion zones navigation limits 3 U.S.A. CBP AMS / APIS ICB: Please keep the documentation related to International Carrier Bond (ICB)/ confirmation together with the ship's trading certificates. This may be quoted or produced to the US Customs and other proper authorities in the USA as and when necessary. 4 Digital Publications within Digitrace: Please be advised that all vessels are subscribed to receive NP247 – “Annual Notices to Mariners”, NP234 – “Cumulative Notices to Mariners”, “US Digital List of Lights” (DLL) and BMP-4 – “Best management Practices for protection against Somalia based piracy” respectively. Additionally, those vessels that have a valid US COFR (i.e. vessels that may at some point call a US port) are subscribed for Digital CG-515 – “US Federal Regulations”.Please refer circular 05/12 for details. 5 Company's D&A Policy - Implementation and Monitoring Guidelines: Every vessel has been issued with an Alcometer. Master's are required to carry out random tests of officers and crew at least once a month to ensure compliance with the Company's D&A policy. The results of these tests are to be maintained on board in the D&A logbook and additionally a copy of the result sent to AE- Ops with your Fleet Group in copy. Please send the monthly test reports latest by the 3rd of the following month. 6 Thomas Gunn Chart outfit management procedure: Your vessel is contracted for folio management with “Thomas Gunn Navigation Services” (TGNS). Please ensure that you have the latest management outfit procedures.  Understanding the difference between “ACTIVE” and “PASSIVE” list respectively.  A thorough review of all charts and publications is to be carried out every 6 months using the inventory list sent by TGNS.  Charts and Publications may be added or deleted from the “ACTIVE” folio in between the 6 monthly reviews as well. For the purpose, please send a message to [email protected] advising them of the necessary amendments.  No VR should be raised for new editions of charts or publications that are part of the “ACTIVE” folio.  The ultimate responsibility of having the latest edition of a chart or publication rests with the vessel. 7 Hydrographic Publications: Please ensure following latest edition of following publications is available on board.  Nautical almanac  Tide Tables (relevant to your trade and as per vessels active list of publications) Please advise [email protected] keeping your Fleet Group in copy accordingly. 8 Master’s Report on Ports & Terminals: Please send updated copy of the port information sheet at the end of each quarter (Mar / Jun / Sep / Dec). The excel spread sheet records essential information with regards to a Port / Terminal visited by the vessel and the information needs to be compiled for any new port or terminal visited, else, updated for minor changes since last call. Please refer circular 15/11 for details. 9 Coal Cargo Monitoring: For any coal cargo, it is essential to obtain a Shipper’s Declaration prior to commencement of loading. The document should be provided by the Shipper or his Agent in the format given in the IMSBC code, containing details of the special properties associated with the cargo (i.e. inherent vice of the cargo).

It is pertinent that prior to loading a coal cargo, vessel has verified that at least 2 operational and calibrated Portable multi-gas detectors are available on board. Please note that Personal multi-gas detectors are not to be assumed as an alternative to a Portable detector. Please refer circular 12/11 for details. 10 Cargo shortage claims: Please note that the Mates Receipt should contain accurate description of the Cargo; both for "Weight" and "Condition". Please refer circular 05/11 for the procedures to be followed in connection with discrepancies between ship and shore figure in the following cases:  Case 1: Ship / Shore difference less than acceptable (<=0.5%) margin with Ship's figure being less than B/L figure o If Shipper (or his Agent) denies the opportunity to include the Ship's figure in the mates receipts.  Ship / Shore difference greater than acceptable (> 0.5%) margin with Ship's figure being less than B/L figure o If the Bills of lading document is issued after vessel has sailed out. It is important to note that a "Letter Of Protest" must never be issued when the ship's figure is less than shore figure by a margin greater than 0.5%. 11 Off hire record: All stoppages / delays through any given month must be recorded accurately on the Tec29C form and submitted at the month end. Stoppages may attribute to off-hire. Please refer circular 03/11 for details. 12 Bulk Cargo monitoring: Any deviation from cargo plan should be brought to the Master's attention immediately. Master should be involved in all the stages of cargo operation (Circular 14/10) 13 Inconsistencies in Vessel Position Reports: Please read the list of most common mistakes that have been noted on vessel report submissions as per circular 08/10. Kindly peruse the document and discuss the contents with relevant officers. Additionally, a copy of the Ops circular and attachment should be retained with the Noon Book for ready reference. 14 Departure Condition Reports: Please be instructed that with effect from 01.04.2010 all bulk carriers are required to report their departure condition promptly upon sailing from each port. The departure condition report is to include all cargo, fuel, fresh water, ballast, lubricating oils, stores, etc., weight distribution, draught, trim, stresses, stability and other such related information, for which the departure condition data output file or the print-out (as a PDF file) may be sent as an e-mail attachment, including a copy of the final cargo stowage plan. Please refer circular 05/10 for details. 15 Ship Reports: Please take note of the revised ship reporting forms w.e.f 01st April 2010 for ships using AE Ship reporting. (Circular 04/10) 16 Guidance on calculation of ETA: Please note that it cannot be overemphasised that the ETA's declared to Agents at next port be realistic. Changes in ETA should be reported without undue delay, since berthing rotation will generally be planned accordingly. By declaring an incorrect ETA and arriving either too early or too late may have severe repercussions for the owner, which is not desirable. Please refer Circular 02/08 for details.
