PRG Meeting Minutes – 21.4.15

Present: Paula Sharpe, Jackie Meadows- lea, Tracy Parker, Julie Parker = surgery staff

1) Review of previous minutes from 3.3.15. Agreed, no actions to carry forward.

2) Balance of PPG HSBC Bank Account – Tracy A/C balance - £0.00 – awaiting bank statement. £350.30 invoice paid to Newhall Surgery for 4 x fridge data loggers Remaining £115.09 split between 4 charities: Macmillan, Air Ambulance, Alzheimers and Salvation Army. Tracy confirmed that acknowledgements had been received from Salvation Army and Macmillan but nothing from Alzheimers or Air Ambulance to date.

3) Update on PRG Post Office Account - Jeffrey/Linda/Stan Jeffrey and Stan were not available at the meeting. Tracy confirmed that she thought the A/C was now open however the post office had confirmed that they were awaiting a “cash card” from either Jeffrey or Stan. The Easter money is still to be banked.

Action: TP to contact Jeffrey for update and arrange for money to be banked asap. This has now been completed. JP/TP went to the post office on 24/4/15 to complete transaction.

4) Review of Easter Bingo Raised £437.35 – Bingo, raffle and blackout

We had a brief discussion around the Bingo and the following points were made:

What worked well ? Raffle sales in the surgery waiting room once the children’s table was moved, small amount of raffle prizes (9) was about right, good turn out from GP’s, staff and PRG members.

or not so well? Would we change anything for future events? Was on the same night as the schools (ours had been planned for 9 months), could equipment be checked prior to session, was the venue right? Other alternatives Catholic Club or Belmont Services Club.

Action: JML to look into Catholic Club – room, price, equipment etc

5) Proposals and Plans for Future Activity including health education events Suggestions previously of: Questionnaires, Health Education event with the council, Bowel screening, Dementia, Mother and Toddlers session, more Bingo/Raffles Agreed on the following to focus on: 1 x Bingo a year (Easter), 2 x raffles (Christmas and Easter), Health Education event with the council – info received back from council 30/7/15, Dementia Awareness week 18/5 – 24/5/15, Bowel Cancer Screening over a 12 week period. Action: 1) TP to send response back to council confirming 30/7/15, 2) JML to plan Dementia week; speak with Aileen from Alzheimer’s UK for support in surgery as well as support during this week from Linda and Chris, 3) 12 weeks screening for bowel cancer to take place from 26/5 to 14/8/15 inclusive, JML to look at literature for noticeboard etc – Bowel Cancer Awareness week for the surgery will take place w/c 22/6/15 – PRG members will be required during the week to hand out leaflets and promote the screening

6) AOB: a) Contractual obligations and funding – Paula advised the group that we no longer receive any funding with regards to having a PRG however we do feel that it is beneficial to continue with our group / meetings etc b) Get Active in the National Forest, New walk for Newhall - Tracy advised the group about a new walk for those who are new to exercise or want to return back to exercise. Will start from 28/5/15 each Thursday from 2pm – meet at The Old Post. Action: this will be promoted in the surgery on 13th May 9.30 – 11am and 14th May 3pm – 5pm by Tor Adams from Get Active. Would be good for PRG to be available on one of the dates to hand out leaflets etc. TP to arrange for Burton Mail to come and take photo’s etc if possible. c) Update on out of hours cover – Paula confirmed that our OOH’s provision will still be DHU and not Staff (Cross Street Clinic) – new prices have been confirmed which has decreased the original cost by 2/3rds of original price. d) Sylvia had details of Harold Worthington who would be happy to run a tombola and donate money raised to the surgery – perhaps we could ask this gentleman to come along to our event on the park on 30/7/15 e) SMS Text Messaging – this is currently a free service which the surgery has been using for confirming appts, reminding patients about appts and more specific messages which are unique to their condition. This service is due to be stopped by NHS England from September and surgeries will be asked to provide a service if required at their own cost. CCG are aware of this. Removing this service will increase the DNA rate.

7) Future Meeting Dates: Tuesday 19th May 2015 at 2pm At this meeting we will discuss Electronic Prescribing which will be going live in the surgery from 9th June 2015.
