Williams Park Neighbors Board Meeting Minutes

April 13, 2016

Opening The regular Second Quarter, 2016, Board meeting of the Williams Park Neighbors was called to order at 7 pm on April 13, 2016 at the Bentley home by Keith Bentley, WPN President. Present Keith Bentley; Leon McElveen; Liz Davis; Lee Friedman; Thelma Hancock; Robyn Phillips; Susan Bentley; Lem Ward; Suzy Miller Approval of Agenda The Agenda distributed prior to the meeting was approved. Approval of Minutes The minutes from the previous Board meeting that were distributed prior to the meeting were approved. Treasurer’s Report In Myrna Evans’ absence, Keith presented a summary status of the WPN accounts. The current balance is $13,863.40 vs $10,603.62 at Jan 21 Board meeting. Current total is in flux since we are still receiving membership renewals. The formal detailed Treasurer’s report will be available soon after tax season and upon request. Committee Reports Membership: Leon provided an update on membership. Approximately 90% of the current members have paid. Net number of WPN members is even. Please refer to report on file (attached). Security: No update.

Beautification: Robyn Phillips updated the Board on the plan for Whitfield Park. WPN will fund planting easy maintenance shrubbery along the fence. Robyn will ask Smyrna Tree Board to plant trees at their cost. The Board passed a motion to fund the shrubbery for a cost not to exceed $500. Keith will contact the city for approval. The City will need to approve what WPN plans on doing. Once approved, Robyn will go to the discount wholesale nursery, Growers Outlet. It was agreed to delay looking at replacing the bushes to replace at the entrance monument until later this summer. Liz reported that Keep Smyrna Beautiful has $400 that can be spent on refreshing Durham Park. Money can be spent on rock borders and some plant replacements. Robyn or Liz will follow up. Adopt-a-Mile: Lee Freidman reported on the Adopt-A-Mile clean up scheduled for Saturday, April 16th. Clean up areas include Hawthorne, Roswell, Matthews and Spring St. Grateful Bread is providing a $20 gift certificate as a raffle prize for the participants.

Communications: Jeremy reported via e-mail that all current advertisers in the Memo want to renew. He will collect all the ad fees by the end of next week (4/22).

Social Events: Susan reported on the spring event, which is set for April 23rd as a WPN Birthday Party. The date was moved to April due to planning committee conflicts with all dates in May. There will be a

WPN Board Meeting Minutes 04.13.2016 1 Decorated Cake contest. It was noted that attendees will need to bring their own chairs because the chairs aren’t available from our usual sponsor, Judy Brassfield. Liz is going to send another reminder to WPN members.

Hospitality/Welcome Bags: Becky Freedman has made very charming Welcome Bags. Jill provides the closings. Beverly and Susan have been delivering them.

Happy Hour: Per an email from Jill Huitron, all 2016 Happy Hours are currently booked. Open Issues WPN Flags: Keith reported that we have sold two more flags and are near the breakeven point. WebSite Manager/Wild Apricot Software: No update. Keith will follow up on a Website manager. Sign Toppers for Whitfield Park: There are three entrances to the new Whitfield Park development, and there is only one WPN sign topper remaining. Keith reported that new sign toppers would cost $700 for 12. Three are needed. It was noted that membership within Whitfield Parc has increased from 15 households a year ago to 31 currently. Keith will ask the Whitfield Parc HOA and Developer to contribute to the cost to order 12 more since additional roads were created by the developer. He’ll report back at the next board meeting. Hawthorne Roundabout: No update. Development Review Committee: Lem has not had time to make progress on this effort. As a reminder, the committee will: . Create development principles for Williams Park . Serve as a liaison with developers . Prepare proposed changes to the Zoning Code and Comprehensive Plan . Propose changes to the Bylaws to speak for WPN WPN Member Participation/Volunteer Campaign: Suzy extended the WPN membership file to include Volunteers. She provided a list of new members who volunteered for social events to Becky Freedman for the WPN event set for 4/23. It was agreed to plan on a Membership and a Volunteer signing table. Traffic Calming Update: Keith reported there’s no update on the overall traffic calming plan. However, new speed limit signs have been installed on Roswell Street, and signs that say “Do Not Block the Railroad Tracks” have been installed at the stop signs. Timing of painting Don’t Block the Box sign at RR crossing is not known. Stephen McQuade continues to be the “squeaky wheel” with the city to try to get follow through on various traffic calming measure WPN recommended to the city last December. Cemetery Project. On hold waiting for final City approval. Reason for delay is not clear. New Business Sandwich Board Signs. Liz suggested that we see if the Veteran’s group would be interested in buying the two sandwich boards that are in the WPN storage unit. They take up a lot of space and WPN rarely uses them. The Veteran’s group borrows them for their events. The Board passed a motion to allow Liz to negotiate with the Veteran’s group on WPN’s behalf. Agenda for Next Meeting The Agenda for the Summer Board meeting will be published one week prior to the meeting. Adjournment Meeting was adjourned at 8:10 pm by Keith Bentley, WPN President..
