SUMMER 2015 INFORMATION REMINDERS FOR ALL STAFF FROM THE OFFICES OF INSTRUCTION AND STUDENT SERVICES
Below please find a listing of important dates for the Summer 2015. We have included dates for major financial aid disbursements in this calendar. Your assistance with accurate roster management throughout the semester is critical. While we expect students to drop themselves, the college is still responsible for returning funds to the Department of Education when we issue financial aid funds to students who are not actively enrolled. Keeping your roster updated on a regular basis will prevent students from receiving financial aid that is not deserved and will reduce the College’s liability to repay these errors in disbursement.

ROSTER MANAGEMENT Drop “no show” students immediately to accommodate waitlisted students in numerical order Use Drop Notations correctly -- o No Show -- students who never make any form of contact (email, phone) and do not show up to any classes during the 1st week o Instructor Drop -- students no longer attending but present at the time the class started Complete prerequisites checks within the first week of class Strongly encourage students to use their permission numbers to register within 48 hours – all students who attend class should be officially enrolled as auditing is not allowed. If students are attending but not on the roster, send them to A&R to register immediately. Add enough students beyond your class maximum so that with normal attrition class enrollment is at the maximum at census date (see chart for specific term dates).

You must use your intranet roster to officially drop students. Students who are dropped in error can be easily reinstated through use of the “add slip”.
Ensure your roster is accurate at least 1 week prior to your final examination. Drop students who are not attending rather than let them remain on the roster and issue an “F” grade. In cases of “F” grades, the Online Grading System will ask instructors to verify if the student participated in the class beyond the 60% mark of a given term. If the last date of attendance is PRIOR to the student’s financial aid disbursement, the College is 100% responsible for disbursing funds to a student who was not active.
INCOMPLETE GRADES An incomplete grade (I) may be assigned by the instructor when, in the judgment of the instructor, the student is unable to complete the requirements of a course because of unforeseeable emergency at the end of the semester. Examples of such emergencies include physical or mental illness, death in the immediate family, or employment changes. Generally, a student should have completed at least two thirds of the coursework with a passing grade and be attending regularly up until the point the incomplete is requested; it is also expected that the student initiate the process and ask for the incomplete grade on or before the last class meeting. The decision to grant an incomplete is always the instructor’s.

* Students must register in person at Admissions Office after this date. The college may require a special petition for registration after this date.
