WELCOME TO BYRAM DAY AT WATERLOO VILLAGE 2013!
Byram Day 2013 will be held Saturday, October 5 (rain date: October 6) from noon to 5pm at Waterloo Village, Byram Township! Byram Day draws thousands of visitors each year and is an excellent opportunity to promote products and services to area visitors and residents.
If you are a vendor/exhibitor interested in renting a space at Byram Day at Waterloo Village 2013, please review all information provided herein, complete the relevant application (non-food, food or carnival games) and return with payment no later than September 15. Applications received after September 15 will be charged a $15 late fee – assuming space is still available. All spaces are great but the ‘best” are allotted on a first-paid basis, so please register soon!
The theme for Byram Day at Waterloo Village 2013 is Volunteerism. Byram-based vendors (scouts, sports groups, non-profit committees, etc.) are urged to promote this theme by providing information about the volunteerism opportunities available through their organizations, along with sign-up sheets for interested parties thankful for the opportunity. Please do your best to promote, follow-up and stimulate volunteerism within Byram Township. Thank you.
NEW THIS YEAR: Vendors are not limited by product/service categories or type of food items offered. Thus, Byram Day participants could include more than one hair salon, real estate firm, Avon representative, etc., and more than one vendor of cheeseburgers, ice cream, water, etc. Only non-profit organizations supporting Byram Township may sell food. A maximum of ten food items may be sold per vendor, and all items must be recorded on the food list provided.
NEW FUND RAISING OPPORTUNITIES THIS YEAR: Carnival game trailers are available for rent by non-profit groups interested in fund raising. Each trailer has three games. An organization may host the entire trailer or a single game, along with one or two other organizations ― but all trailers must offer all three games provided. Organizations must be registered with the NJ Games of Legalized Chance and have an Amusement Game License.
For added convenience, a map of the Waterloo Village field and parking areas as well as vendor booth numbers will be available online the night prior to Byram Day. All vehicles must be off the field by 11am and moved to the designed off-site vendor parking area.
The Byram Day Committee restricts certain merchandise and activities. For example, Silly String; spray hair paint; swords; bats; guns and knives of any kind; water guns; and inflatable items greater than 18 inches are not to be sold or distributed.

Please arrive at Waterloo Village between 9am and 10:30 am. No vehicles may enter the vendor area after 11am or before 5pm. Off-site parking will be provided. All vendors/exhibitors must begin break-down at 5pm and be off the field by 6pm.
For your convenience, a map of the field and parking areas, as well as your space number, will be available the night prior to Byram Day. Go to www.byramtwp.org, click “Parks & Recreation” then “Events” then “Byram Day” then “Vendor Information.”
UPON ARRIVAL YOU MUST COMPLY WITH THE FOLLOWING INSTRUCTIONS: ▪ Stop at the Check Point for your parking pass and vendor packet.
▪ After unloading, please remove your vehicle from the field as soon as possible and park in the designated off-site parking.
▪ All participants must abide by instructions from the State Park Police, Byram Police, Byram DPW, Byram Fire Department and designated parking attendants.
▪ ALL VEHICLES MUST BE OFF THE FIELD BY 11:00 AM.
Vendors/exhibitors are responsible for their own display set-up and bringing materials such as tape, staplers, extension cords, etc. Unless registered for a turn-key space (see application), vendors also must supply their own tables, chairs and tents. Though Waterloo Village does provide some tree coverage, canopies/umbrellas are recommended. Bottled water, beverages and food are available for purchase throughout the day.
Specific details for food vendors, including codes and regulations, are provided on the attached front/back pages. Please be prepared with small bills and change, as our local banks close early.

Set up begins at 9:00 am. Each display space for a non-food vendor is 10 feet wide by 10 feet deep. Sharing a single space is permitted. Vehicles are allowed in designated areas in the Vendor Area for unloading purposes only and must be off the field between 11:00 am and 5:00 pm. Exhibits must remain active until 5:00 pm and be cleared from the field by 6:00 pm. Unless registered for a turn-key space (see application below), participants must supply their own tables, chairs and tents.
All spaces are great but the ‘best” are allotted on a first-paid basis: The sooner you register, the better your spot!

Proof of insurance naming Byram Township and the NJ Department of Parks and Forestry as additionally insured must accompany applications. You are responsible for assuring that your booth is in compliance with N.J. Uniform Fire Codes and Board of Health regulations, some of which are provided on back page. For example, vendors with cooking apparatus must have a Class K portable fire extinguisher. Propane tanks must be secured. Tanks and all other cooking apparatus must not be under a tent and must be at least five feet from the public. The Fire Marshall will inspect all cooking booths prior to the event’s opening. Each food vendor must have a hand washing station. This may be a large cooler filled with water, some soap and a roll of paper towels. Specific N.J. Uniform Fire Codes for Byram Day 2013 are as follows: No cooking under tents No deep fryers shall be under tents No cooking with grease laden vapors under tents Note: See Bulletin 206-1 for further information and exceptions Canopy should be open on (no side walls) Can use charcoal or LP-gas (e.g., propane) for fuel Canopy (tent) fabric is flame resistant Combustible materials and excessive trash shall not be located a minimum of 20 feet from a canopy. LP-gas containers are located at the outer edge of the canopy, a minimum of 5 feet from the heat producing appliance The containers are protected to prevent damage by vehicles or other hazards (pedestrians) The LP containers are securely fastened and free of leaks Safety relief valves are pointed away from the canopy Occupancy under the canopy is restricted to those persons necessary for food preparation only. Food may be served from the outer edge of the canopy. Suitable barriers should be provided to maintain a cooking distance of not less than 5 feet between areas accessed by the general public and the cooking equipment. [Class K] portable fire extinguisher(s) are required for each cooking location. Storage of combustible items required for food preparation or serving is limited.
The Board of Health Codes for Byram Day 2013 are as follows: Each food booth must have a hand washing station including a source of water, soap and paper towels. Homemade items must be individually wrapped; e.g., patrons and servers may not reach into a jar for unwrapped cookies. A display sign should state that the goods are homemade and not prepared a commercial kitchen. Canned and bottled drinks sold out of a cooler should have 1Tbs of bleach added to the ice/water in the cooler. Each can/bottle should have its top wiped off before given to a customer.

Carnival Trailers provide a turn-key opportunity to participate and raise funds at Byram Day. Everything will be set up and in place on the day of the event. Carnival Game Trailers hold all equipment, prizes, signage and directions to run a carnival game. Prices are predetermined and signage is included. Vendor is required to pay $350 to run an entire trailer (3 games) or $125 for a single game. Prizes will be counted prior to the event and again after the event is over. Vendor will be required to pay 50% of the cost of all prizes disbursed. All money collected, once the prizes have been paid for, will be the profit for the vendor. 2 adults or one adult and one person over age 14 are required to run each game. Byram Day Carnival Game Trailer Vendor Application Only non-profit organizations must be registered with the NJ Legalized Games of Chance and have an Amusement Games License to run a Carnival Game Trailer Payment and application must be received by Sept 15. Payment is non-refundable.
