Expectations of Volunteers Representing MPHA at Events/Meetings
The role of a volunteer who agrees to represent the Minnesota Public Health Association at events or meetings is to:
● Represent the perspective of MPHA (public health professional membership organization) and not just their own personal perspective at the event or meeting. ● Share pertinent updates or information from the event or meeting as indicated with the appropriate MPHA Committee or Governing Council that asked the volunteer to attend. ● Notify the appropriate MPHA Committee of any decision or action that may require an MPHA Governing Council or organization response. ● Complete the event tracking spreadsheet after the event (in GoogleDocs – add link).
To volunteer to represent MPHA, the volunteer needs to:
● Work through the appropriate MPHA committee where decisions are made regarding events/meetings that require MPHA representation. ● If there is a registration cost involved in attending the event or meeting, this cost needs to be approved within the committee budget or Committee Chairs need to request approval from the Executive Committee (if there is allowance for this). ● Mileage and parking for attending events or meetings are not reimbursable. (Except where the expense is included in the annual budget such as APHA conference, Great Lakes Coalition meetings, etc.)
MPHA will provide the volunteer with the following:
● Attending meetings or events: Logistical information about the meeting, background information about the meeting/event, MPHA resources pertinent to the topic, and input regarding MPHA’s perspectives on meeting focus. ● Staffing MPHA exhibit tables: The Membership Committee will provide the display materials needed. The volunteer should work with Committee co-chairs to arrange logistics of picking up and returning materials.
Attending collaborative meetings when not an official MPHA representative:
If MPHA members attend a community or public health collaborative meeting or event, but are not the officially appointed MPHA representative to this group, they should introduce themselves as “an MPHA member” or interested citizen. If members introduce themselves saying “I am (name), MPHA”, this may create confusion among meeting participants regarding who is the formal representative of MPHA at that meeting. This is especially important when collaboratives have designated spots for each partner organization at the table.
