JOB DESCRIPTION

Job Title: Western Gateway Centre and Partnership Manager Reporting to: Executive Head of Enterprise Location: 38 Carters Green, West Bromwich, B70 9LG Hours: 37.5 hours per week – the nature of the job will involve flexible working hours including working on some evenings and at weekends. Salary: £21-23k Depending on Experience

Background: YMCA Black Country Group (BCG) is a group of YMCA charitable companies & associated trading subsidiaries (“the Association”) operating in the Black Country and South Staffordshire area. The charity employs around 230 staff across several sites, delivering a wide range of community services including support & advice, accommodation, family work, health & well-being, training & education. Job Purpose: The post holder will manage and develop Western Gateway centre services and Partnership working opportunities that support the YMCA’s vision of an inclusive Christian Movement, transforming communities so that all people truly belong, contribute and thrive.

Duties and Responsibilities

1. To Provide vision and Leadership as Centre & Partnership Manager in the development of the YMCA BCG Western Gateway (WG) building in West Bromwich by;

a) Managing the day to day running of WG central services with regards to customers, guests, partners and staff. b) Promotion and development of room hire/serviced offices/conferencing facilities at WG. c) Providing and ensuring the delivery of exemplary customer service to users. d) Maximising WG revenue potential by controlling cost and maximising profitability

2. Maximise the use of YMCA resources through the development of a sustainable & diverse partnership programmes of activity to meet the charitable objects of the Association, customer demand and generate revenue.

3. Maintain and develop further partnership opportunities with existing internal and external organisations to support shared outcomes.

4. Develop practices of continuous quality improvement to meet the quality standards of (for example), Investors in People and other quality marks that are adopted by YMCA BCG.

5. Ensure rooms for hire, equipment and activities are properly maintained to a high standard and that appropriate Health & Safety systems are in place.

6. To be the “Responsible Person” at WG to ensure that centre activities undertaken at WG comply with YMCA BCG policies and procedures and that the building is maintained in a safe and appropriate manner.

7. Develop highly motivated staff through the line management of all full-time and part-time reception team, volunteers and self-employed staff; ensuring the use of best practice techniques and the smooth operation of the room/office hires and reception rotas.

8. Provide regular supervision and support to staff and provide training as required to ensure staff can provide the highest quality delivery and meet programme development objectives.

9. Support the identification and acquisition of resources (financial and otherwise) to enhance programme operations, specifically seeking to secure resources to broaden the range of activities to engage users.

10. Develop and maintain management information systems and provide reports as required to meet the internal business planning/monitoring requirements of the Executive Management Team (EMT)/Board and the external requirements of funders and other stakeholders.

11. Undertake social media marketing – creating, managing and growing the YMCAs presence through blogs, Twitter, Facebook, and other strategically relevant online properties

12. Represent YMCA BCG at external events locally and regionally.

13. Actively investigate the development of new business opportunities/ projects in line with the Charity’s Strategic & Business Plan Objectives

14. Play an active role in identifying, managing and controlling risks relating to the business activities of the section, ensuring that risk assessments are undertaken and updated for all activities and projects delivered by the post holder.

15. Participate in management meetings, provide regular feedback to the Executive Management Team and contribute to the organisation’s development strategy.

16. Ensure all work practice is inclusive, expressed through a wholehearted commitment to welcome those of all faiths and none.

17. Undertake any other related duties that are consistent with the job.

Other Tasks

 With other staff, ensure that all services are provided and maintained to a high standard, expressed through a wholehearted commitment to welcome those of all faiths and none.  Attend supervision, appraisals and training as requested, adopting a continuous professional development approach to learning.  To participate fully as a member of the staff team, and in that regard to meet regularly with other team members, contributing pro-actively to the on-going development of other individuals and the project.  To be flexible to the changing needs of the YMCA Black Country Group and its service users.  To abide at all times by YMCA Black Country Group policies and procedures.  To promote the Aims and Purposes of the YMCA.

Person Specification

Western Gateway Centre and Partnership Manager Desirable Essential Experience of Providing successful multi use/conference/serviced office facilities in a high  quality community hub environment. Leading and motivating central reception staff teams, including  supervisory, staff development and disciplinary support systems Managerial / Supervisory experience in a serviced  office/conferencing/community environment.

Knowledge of The business centre/conferencing business development environment  Health and safety legislation for the business environment  Partnership Development processes 

Skills and Ability A vision for high quality conference/training facilities (based on quality and  welcoming experiences) and the drive / skills to make it happen Strong leadership and motivational qualities that will inspire good practice  in staff teams and encourage community & partnership users to utilise WG facilities. Effective oral and written communication skills with the ability to be  sensitive to the needs of the community/partnership users. Computer literate sufficient to produce complex documents using Word and  the creation and analysis of spreadsheet documents. Ability to ‘sell’ the benefits of WG facilities to drive up revenue and  maximise usage. Excellent organisational skills to administer your own workload, the  workload of others and the environment they work in. Listening skills to ensure customer needs are met  Good financial / data management, ICT & report writing skills to act  decisively to a range of key performance indicators

Ability to develop innovative marketing strategies to attract and retain users of the service. 

Qualifications Qualified to the Register of Exercise Professionals Standard (REPS) Level 3  Fitness Management Certificate or similar 

Personal Qualities A passion for high quality customer care adopting a customer focussed  continuous improvement management style. Ability to work with others to deliver a wider healthier Sandwell agenda. 

General Ability to respect the Christian Ethos of the YMCA and uphold its values. 

Current first aid qualification (or would need to complete in first 6 months) 
