Green Event Checklist

As you complete tasks in preparation for your event, check them off on this list

o Location is accessible via public transit

o Offer to arrange carpools among guests coming from locations close to one another

o Choose areas that are naturally lit to re- duce energy costs

o If attendees all work in the same building try to arrange the event so that it is held in that building or a building located close-by

o Encourage individuals without access to public transportation to use video conferencing instead of travelling

Time

o Hold events during the business day or right at the end of the day to minimize commuting

Invitations

o Send out invitations via email

o If you must send out paper invitations use recycled paper, vegetable based inks and logos that encourage individuals to recycle their invitations

o Encourage individuals to RSVP through email or phone calls rather than with reply cards

Materials Green Event Checklist

o Ask individuals to bring their own plates, cups and utensils to the event or provide reusable plates, cups and utensils for attendees

o Buy any necessary utensils, plates, cups or decora- tions from second hand stores

o If this is not possible provide compostable or re- cyclable plates and utensils (provide a marker so that individuals can label their cups)

o Use napkins for finger foods instead of plates

o Use reusable decorations (e.g. tablecloths, potted plants, or use the bowls with different combinations of water and flowers at different events )when decorations are necessary

o Use large containers for water, juice, milk, creamer

o Do NOT offer single-serving beverages

o If you must provide gifts for speakers or participants, provide useful items that can be used at your event and others (e.g. mugs)

o Re-collect name tag holders

o Use leftover serving utensils from catering or bring in serving utensils from home for the day

o Use green-cleaners after events to clean-up

Reducing Waste

- Announce waste disposal options before meal begins or during the meal

- Set out recycling bins, trash bins, and compost bins by food table (recycling and compost bins should be large and clearly labeled)

- Ask caterer to take back and reuse the serving dishes

- Have a “Trash Monitor” waiting by waste bins helping individuals to dispose of their waste Green Event Checklist

- Put out surplus food or remind individuals ahead of time to bring Tupperware to take food home with them

Spread the Word

- Draw attention to eco-friendly aspects of your event with signs

- Brief all volunteers and staff about eco-friendly aspects of your event so that they can explain them to others

- Encourage individuals to contact you with questions regarding green events
