Difference Between NOTIS Proxy and Voyager Proxy

In NOTIS, an ID is created for a PROXY patron to charge out materials on someone else's record. Once we have written permission to charge out materials on his/her behalf, we create a sub-record under that person's record (see sample below).

Proxy IDs/patron in Notis.

POLICY: Proxy cards are granted to allow the bearer to charge books out for faculty or staff members. The proxy should be told that they should not use it for their own research. In authorizing a proxy, the faculty member accepts all responsibility for overdue fines and lost books. (The Head of the Department must approve any application from staff or other users.) In order to issue a proxy card, the privileges staff must have a letter of authorization from the faculty member stating the name of the individual to be granted this privilege and the length of time this privilege is to be in effect, up to a maximum of one year at a time. The applicant may present this letter when he/she applies for the proxy card. If the applicant does not have his/her own Yale ID or library card, then we need to issue a yellow Stack Pass (long-term) for the same period of time, in conjunction with the proxy card. Create a separate record for the proxy for the stack pass; the long-term stack access (stkf) will be issued free of charge.

PROCEDURE: On the letter of authorization, write the proxy number from the back of the proxy card. Fill out the white proxy card with the bearer's name, the faculty member's name and the expiration date. Sign your name at the bottom of the proxy card. Tell the bearer that the proxy card is to be shown in conjunction with her/his own ID. (The bearer must have his/her own ID to enter the stacks!) File the letter under the name of the professor in the proxy file. Charging out materials with Proxy ID on NOTIS:

On the check-out screen, wand in Proxy ID. This screen will come up. Books can be charged out on this screen.

Charging out materials with Proxy ID on Voyager: Click on Charge icon Scan in Patron's ID.

(Reader will need to specify that he/she is charging books out as a Proxy).

Once the ID has been wanded in, this screen will show up.

Click on the Proxy patron. A message screen will pop up asking that you confirm the name of the Proxy patron.

Click OK.

Proceed with check out function by wanding in items being charged out to reader.
