PATIENT PARTICIPATION GROUP MEETING

MINUTES FROM THE MEETING 23 RD MAY 2016

Previous Minutes The minutes from the previous meeting were agreed.

Items from Patients The appointments system continues to pose a problem. Patients are finding it difficult to get through on the telephone and it leaves some patients very unhappy. Some of the patients present at this meeting said they don’t find it difficult and are satisfied with the system that SMC uses. It was also documented that when the patients do get through to a Receptionist, the service they receive is very good. Dr Hart explained a new concept of internet appointments becoming available in due course but could not explain in detail as the fine details have yet to be approved. Hopefully he will be able to update everyone at future meetings. The Patient Group commented that they were happy with the pre-bookable telephone appointments but did not like the Triage system. Linda Heywood commented that it was the same at other practices and was not unique to SMC.

Phlebotomy Rosa Harwell mentioned that she had had a bad experience with a phlebotomist at this practice although the individual was not named. It took 7 attempts to draw blood. Ms Harwell asked for a colleague to perform the test instead. Dr Hart agreed to speak to Ms Harwell after the meeting to get more information and would raise it at the Management Meeting Committee held at the practice.

Air Conditioning in the upstairs Waiting room. Mrs Linton said that the temperature in the upstairs waiting room is too hot. Lisa Board explained that we had a fault on the pump and that it was being repaired shortly (currently waiting for a new part) and would ask the repair company to double check the vent.

Online Not everything can be online. A lot of people (particularly the elderly) do not want everything online as many people do not have access to a computer. Older people just want to see a doctor. OH explained how triage works and not everything will go online. Procedure for repeat prescriptions Repeat dispensing scripts are sometimes being done incorrectly. OH explained to the group how electronic prescriptions are done. It is safer and if any medication is amended during the 6 or 12 month period then all future medication during that period is automatically altered making it much safer. OH informed the group that we will be encouraging all patients to use electronic prescriptions in future and to be patient during the transitional period. It is intended that unused medication will not be given to the patient by the pharmacy if they don’t require it at that moment in time even if it is still on Repeat Dispensing prescription. OH informed the group that we have a pharmacist working at SMC most days. Annual Reviews (including medication reviews) are done during the patient’s birthday month but depending on the condition they may need reviewing every 6 months.

Named GP and Accountable GPs High risk and over 75 years old patients are given a named GP and can request a call-back on the day. Accountable GPs are for all other remaining patients. OH explained the difference between the types of groups and the Group were satisfied with with OH’s explanation.

Neighbourhood Working The Clinical Commissioning Group (CCG) is keen on a new arrangement in the city and is working in geographical areas. They are focusing on long term health conditions eg diabetes, COPD etc. They are looking at how to manage the illness more efficiently. We assess a patient’s needs eg diabetics on how well they understand their diabetes, how confident are they at managing it etc. We can use this to provide a light touch if they are managing it well. Coffee mornings are really beneficial as they have guest speakers to give information to patients on various conditions and how to manage them better.

Primary/urgent/active recovery will change. We are trying to press them to take PPGs more seriously. An agreement was made with the PPG to represent this practice at the next CCG meeting. A few members of this group expressed an interest in attending the next meeting. OH to inform them of the future date.

Coffee Mornings We discussed the possibility of holding a coffee morning on a Thursday during baby clinic and providing information leaflets for new mums and encouraging new mums to integrate and be included more in the community.

Bus Lane OH explained the plan to extend the bus lane work due to start in the middle of August which will cause disruption to outside the surgery and the car parking spaces. Lidl will decide whether the work will be done over 6 weeks (intensively) or 12 weeks (which would be less inconvenient to all). This is beyond SMC’s control. Helen Proud is discussing the details with the council. Virgin Gym has been suggested as a possible car park for patients. Most patients are local so will know this will be happening and parking will be difficult. It will make a vast difference to Chesterfield Road and the traffic. Information will be on the website nearer the time. Patients will be advised to use the bus or walk to surgery as the car park may be out of bounds.

SWACK (Sloan MC, Woodseats MC, and Carterknowle MC). OH is to write to the PPG and explain fully the 3 main areas we are focusing on.
