Community in Action Agenda – January 11, 2017

A. Welcome & Attendance Officers (except Adrienne) present

B. Treasurer Report-Given by Jen- no printed report due to “un-clubbed” money- Receipts are still missing from a few clubs. 3 checks are still outstanding- There is a question about the soccer balance and a bill, so this will be resumed at the next meeting, when the rest of the information comes in.

C. Old Business

a. 2016 Scrip Gift Card Fundraiser –

a.i. Report Sales & Rebate $24,870 in sales $1,525 profit for CIA

a.ii. Discuss thoughts of selling at craft show & games Let’s continue to sell at craft show, etc. We will consider continuing to sell the gift cards during sporting events next year. (possibly just limited cards, Tim Hortons, Starbucks, McDonalds, etc.)

a.iii. E-Scrip/Presto Pay Great Lakes, has a similar account with Presto Pay, but not sure we want the responsibility of “approving” community members to join and be responsible for “unavailable funds”

a.iv. Ideas for growing this fundraiser in future-Possible Gift Card fundraiser in spring with the focus of: Spring Sale possibly using Easter, Mothers’ Day, Fathers’ Day, Graduation, Weddings, Summer as incentives to buy…etc.

Possibly look into having Super Duper included and send these flyers home in grocery bags at Super Duper ?

b. Cocoa & Paint

b.i. Feb 7th – Elementary School – Grades 2 – 6 (with parent)

b.ii. Time – 6:00

b.iii. Cost - $10.00/person – buy canvas - 8 pack cost 10 , have15 easels,

b.iii.1. Flyer – Christina will edit flyer to reflect new time and see Approval from Kelly Z.

b.iii.2. Copy Approval to get copies at Copy Boy- UPDATE: After checking with the PVAL business office, color copies are cheaper to get done at school.

b.iii.3. Distribute Christina will take to Kelly for approval first then distribute to teachers

b.iv. Volunteers

b.iv.1. Setup/Work/Clean-up event Darlene, Christina, Terry,

b.iv.2. Shop for hot cocoa, paper products, baked goods, etc

Terry will do hot Cocoa, Darlene will buy napkins, Kerri and Jackie will do Cookies

c. Post Prom

c.i. Good Times booked for 5/13/17

c.i.1. $200 deposit Jen already sent deposit check

c.i.2. Cost $27.50/person – 3 hrs

c.i.3. Discuss timeframe of event

Prom is 6:30 to 10:30- Ending at 10:30 in Brocton. Bus will leave PV at 11:30. Arrive at Good Times at 12:45. Good Times will be 1:00 to 4:00am

d. Pre-Prom

d.i. Prize raffle

d.i.1. Laptop, 24” T.V., wireless speaker (purchased) to entice students to come to pre-prom, Open to only Pine Valley Students going to the prom and pre-prom ceremony. Gifts will be raffled at Post-Prom.

d.ii. Discuss Time

d.ii.1.a. Submit Building Use Form- Pre -prom 5pm to 5:30

D. New Business-Bryelle asked for CIA to sponsor a cancer awareness event for Bruce Newcomb. She will do all the planning and work, All were in favor of allowing CIA sponsor this activity.

E. Discussion – Open Topics/Ideas F. Reports from Clubs – activities/events

a. Boosters

a.i. Report back on meeting to discuss parameters/goals Kerry met with Adrienne to discuss the future of Boosters. It was decided that Boosters should be taken over by CIA. The question remains on fund raising and purpose. This sub-committee will plan further meetings and report back on discussions.

a.ii. 50/50

b. Mothers Club

b.i. Book Fair - Feb

c. March Madness

c.i. 3 on 3 tournament concession stand, Chinese auction, senior carnival

c.ii. T shirts will be $15.

c.iii. Volunteers needed

c.iv. Other Fund Raising: Jen brought up the Salamanca Chamber Disney Trip for 4 fund raiser. CIA could sell tickets and in turn gain a percentage of ticket sales, Jen will look into further.
