SUMMARY Performs a variety of routine and complex clerical, secretarial and administrative work in keeping official records, providing administrative support to the staff, and assisting in the administration of the standard operating policies and procedures of the department.
ESSENTIAL DUTIES AND RESPONSIBILITIES 1. Performs routine clerical and administrative work in answering phones, providing customer assistance, and scheduling appointments. 2. Receives the public and answers questions; responds to inquiries from employees, citizens and others, and when necessary refers to appropriate person. 3. Acts as custodian of departmental documents and records. Establishes and maintains filing systems, control records and indexes using moderate independent judgment. 4. Assists in the procurement of department materials and supplies. 5. Operates listed office machines as required. 6. Prepares records such as notices, bid materials, departmental rosters and reports. 7. Receives and distributes incoming mail. Processes outgoing mail. 8. Assists with the coordination of updating the City Engineering Specifications. 9. Composes, types, and edits a variety of correspondence, reports, memoranda, and other material requiring judgment as to content, accuracy, and completeness. 10. Inputs data to standard office and department forms, and compiles data for various reports. 11. Provides administrative assistance to supervisor, assembles background materials. 12. Enters a variety of information into the computer system; generates reports and data. 13. Assists in the development of notices, flyers, brochures, newsletters, and other informational materials about programs and services. 14. Communicates official plans, policies and procedures to the general public. 15. Assists with the development of PowerPoint presentations. 16. Maintains special events cache equipment, including check-outs and returns 17. Assigns street names and addresses for new construction 18. Maintains city’s cemetery documents and performs other related cemetery duties
ADDITIONAL RESPONSIBILITIES 1. Attends workshops, seminars, and schools as applicable. 2. Operates a vehicle to run errands. 3. Other related duties as assigned. 4. Serves as a member of various employee committees as assigned.

DESIRED MINIMUM QUALIFICATIONS Education and Experience 1. Graduation from a high school or GED equivalent, with specialized course work in general office practices such as typing, filing, computers, and two years of increasingly responsible related experience, or any equivalent combination of related education and experience. 2. Valid state driver's license. Necessary Knowledge, Skills and Abilities 1. Working knowledge of computers and electronic data processing; working knowledge of modern office practices and procedures. 2. Ability to meet and deal with the public effectively (e.g. – citizen complaints); ability to handle stressful situations. 3. Ability to work independently and complete daily activities according to work schedule; ability to understand, follow, and transmit written and oral instructions 4. Ability to establish effective working relationships with employees, supervisors, and the public. 5. Skill in operation of listed tools and equipment.

TOOLS AND EQUIPMENT USED Telephone; personal computer including word processing software, spreadsheet and data base software, copy machine, postage machine, scanner, fax machine, printers, and motor vehicle.
