Administrative Assistant – Fire Wall Project SS490
SECTION/DIVISION/LOCATION POST GRADE
Community Safety Section – NE Lincolnshire CPU Grade 3 OVERALL PURPOSE OF THE JOB
To assist Officers within the Community Safety Team who are responsible for the Fire Wall Project by providing a comprehensive clerical support service including the recording, collation and analysis of statistical data.
KEY ACTIVITY AREAS/MAIN DUTIES
1. Undertake general clerical duties such as photocopying, filing, mail and document collation, dealing with telephone calls and taking messages.
2. Maintains and updates both manual and computerised recording systems, extracting information for Officers on such things as stock levels, budget monitoring and inventories.
3. Processes and records documentation in relation to delegates attending organised sessions linked to the Big Lottery funded Fire Wall Project.
4. Provides a contact point for external organisations such as Colleges, Youth Offending Teams and Crime and Disorder Reduction Partnerships to accommodate referrals on programmed courses.
5. Collects, collates and prepares information, returns and statistics relating to the Fire Wall Project for use by Senior Officers.
6. Ensures the accurate and timely preparation of all documentation relating to Fire Wall Project.
7. Assists Officers in preparing appropriate teaching materials and associated aids for use by the Fire Wall Project.

9. Book courses, completes diary of events and other associated documentation in respect of training for staff and delegates.
NOTES: 1. The postholder may be required to perform other duties that reasonably correspond to the general character of the post and are commensurate with its level of responsibility.
2. The postholder is required to comply with relevant legislation and policies and procedures of Humberside Fire Authority in the performance of his/her duties. Examples include acting in compliance with the provisions of equal opportunities, data protection and health and safety legislation, policies and procedures so far as they relate to the post and the postholder.

Fire Wall Project Administrator JOB REQUIREMENTS:
Knowledge and Skills
Communication (oral and written) and interpersonal skills of a level appropriate to enable the effective performance of the main tasks;
Good keyboard skills including experience of manipulating databases and a working knowledge of Microsoft Office products;
Good administrative skills to ensure effective support to the Community Safety Section;
Subject to an enhanced CRB disclosure.
Creativity and Innovation
Inputs and analyse information (both computerised and manual) highlights problems and extracts reports when appropriate;
Provides basic advice and support on the Fire Wall Project to Senior Officers Decision Making
The post holder will be expected to make routine decisions on administrative matters within the section referring to Senior Officers on more complex issues;
The post holder will have a contribution to make in the preparation of teaching materials, arranging of Fire Wall Project course dates and ensuring availability of the facility, rooms, instructors etc.
Contacts and Relationships
Daily contact with other members of the section to receive instructions and exchange information;
Contact with delegates, their parents and/or carers on courses facilitated through the Fire Wall Project in order to check and record documentation and answer any questions;
Act as a “third person” in accordance with the organisations Child Protection Policy.
Responsibility for Resources
Joint responsibility for the security of sensitive information relating to course delegates. Work Environment
Work Demands – Mainly established working routines but subject to changing demands and priorities;
– During courses facilitated by the Fire Wall Project the post holder will be expected to work at the event for some or all of its duration as directed.
Physical Demands – Work requires normal physical effort.
Working Conditions – Majority of work performed in an office environment.
