Individual OT (Overtime) Report

The Individual OT report provides a summary of an employee’s banked time. This report details time that has been put into the overtime bank in VIP at both straight and overtime rates. Details are also provided on any adjustments that have been made to the employee’s bank, and time that has been used or paid from the bank.

Categories on the report

The report is divided into the following categories:

▪ Banked as Overtime ▪ Banked as Straight Time ▪ Overtime Bank Adjustment ▪ Time Taken/Paid from Bank

The information on the report is derived from pay registers and so reflects the date on which the transaction took place, as well as the position number and number of units (hours) that were put into, or removed, from the bank.

The overtime bank adjustments refer to adjustments that have been made for an employee (for example, adding data from a shadow system).

The current bank balance (that is, as of the last applied pay run for that particular employee or schedule group) is shown near the top of the report as “Current OT Bank Units”. Regardless of the transactions that are listed within the report and regardless of the time frame you are reporting on, the current balance will always be shown.

Running the Report

The report may be run in a variety of ways and will provide information for an individual employee or for an entire schedule (position) group.

To run the report, go to the VIP module,> Employee Information and under the Report menu, click on Overtime Reports>OT Bank by Individual.

Running the report for an individual employee:

You will see fields for Parameter Name, Logical Operator and Parameter Value. Enter the Individual ID (Employee Number) and any other information related to your request.

Click Execute

If you want to run a report between a particular set of dates (for example, from Jan 1, 2014 to Feb 28, 2014), then you need to add date parameters. From the Parameter Name drop down select Date and under Operator and click on “<=”. In the Parameter Value field enter the date. Then click Execute. (Remember that the date format does not include any commas).

Running the report for a Schedule or Position group:

Follow the instructions above except where you would enter the Individual ID enter the schedule group.

To print the report, click on the printer icon within the report window, or click the export icon (to the right of the printer icon) to export the report into Excel or Word.
