Representatives from the academic departments: Political Science, Theatre, Arts, Pharmacy, Microbiology, Law, History and International Studies and Computer Science who attended the Project Proposal Writer’s Meeting 26th June 2009.

A ‘working meeting’ of the core team was held in the guesthouse . In attendance was Andrew Moore (SAIDE facilitator), Daniel Yakmat (team leader), Jerome Dooga, Dr Julie Mafuyil, Dr Sunday Adewumi and Bar Dakas C.J. Dakas. At this meeting it was ascertained that...

1] Memorandum of Agreement

The MoA is ready and has been signed by the appropriate UniJos representatives. Daniel will send a scanned version to Andrew Moore and the original to the SAIDE offices.

2] ETS Progress

The team asked for help with the targets and ‘progress to date’ sections but the team actually went through each section of the ETS document and they discussed what was required under each heading. The policy environment was also discussed. The following is the order and status of ICT related documents: • University Strategy Plan 2009-14. Goals 3 & 4 are ICT Plan (3rd Iteration) • ICT Strategy Plan (2006-2011) (2nd Iteration) (Daniel to supply) • E-learning strategy plan / ETS • Individual Projects

3] Funding

An external Funds Unit called the Virtual Office exists at UniJos. It is a unit within the bursar’s office that deals exclusively with external funder funds. It was set up to expedite the speedy delivery of these funds so that the projects could take place without the common problem of having to go through the slow finical processes. The unit personnel have had training in Cape Town from Carnegie personnel to expedite these payments.

4] Project Selection

Ten out of 18 projects submitted by various departments were identified as being in line with PHEA ETI priorities and were given to the facilitator to peruse.

Friday 26th JUNE: Project Proposal Writer’s Meeting

The facilitator read the 10 project proposals and categorised them as:

A] Multimedia Simulations:  Microbiology: Introduction to Microbiology (MCB 101) – Electron & Florescent microscopes, Polymerase Chain reaction machine and immunomagnetic separators  Pharmacy: Digital Herbarium of Medicinal Plants

B] Digital Content/Courses for LMS  Law: Virtual Learning Environment (Does not stipulate content or course)  Arts: Academic Writing module  Computer Science: Rework CS101 curriculum to suit online environment

C] Online Digital Databases  History and International Studies: Digitise archival materials, oral histories, historical documents, field notes, lectures etc)  Pharmacy: Drug Information Service

Two of the proposals contain an OER component:  Arts: Academic Writing module  Computer Science: Rework CS101 curriculum to suit online environment

At 10h00 the writers of the proposal assembled for a working meeting. Twenty five people attended and represented: Political Science, Theatre, Arts, Pharmacy, Microbiology, Law, History and International Studies and Computer Science. Andrew Moore presented on how to improve the project proposals e.g. improved outputs, more detailed project descriptions and more detailed budgets that focus on personnel, travel as well as specific items. The teams then worked in groups based around common technology needs rather than subject or department groups. Here they consolidated their proposals into either,  Multimedia projects  LMS projects  Database projects The groups then submitted the improved proposals

At 15h00 the working meeting was concluded with the following remarks:  UniJos might look at doubling PHEA funding to support the ETI. (Daniel Yakmut)  Pharmacy asked for representation on the Core Team  Concern about power – Now a room that can be done by battery power, diesel is proving too expensive, solar farm is also an option.  Bandwidth is to be increased but there are new expenses which wiped out the planned increment. Sea cable too about to come online for Jos in about a years’ time.  A Moore warned the group that it would be impossible to cover all submitted proposals and that some scaling down would be required to make the amount of work required consummate with the amount of funding. Proposal writers would have an opportunity to review the consolidation of the proposals prior to submission to PHEA.

Page 3 of 4 At 16h00 the Core Team reconvened for a coordination meeting (Daniel Yakmat & Andrew Moore). At this meeting the revised projects were prioritized and decisions were made to divide the writing and consolidation of project proposals as follows:

Saturday 27th JUNE 2009: Way Forward Meeting at Barcardi

At this meeting the following were in attendance: Daniel Yakmat, Jerome Dooga, Sunday Adewumi & Andrew Moore. The way forward was discussed and the following tasks and deadlines were agreed:

Task Deadline 1 2nd version of ETS document to be completed by Daniel Monday 29th June and forward to AJM for review 2 AJM to provide draft of Multimedia project proposal Monday 29th June 3 AJM to revise and provide feedback on ETS Friday 3rd July 4 Jerome to forward e-Follows budget and proposals to Monday 6th July AJM for review 5 Daniel to forward LMS proposals to AJM for review Monday 6th July 6 AJM to provide feedback on e-Fellows proposal Friday 10th July 7 AJM to provide feedback on LMS proposal Friday 10th July 8 Team to compile comprehensive ETS and Project Friday 17th July document for PHEA
