REPORT OF THE CONFERENCE PLANNER

St. Louis, Missouri

I. Introduction:

I am Jourdon J. Morgan, Jr., Conference Planner for the Southwestern Region, and I am pleased to bring you my report of the conference affairs of the Region.

II. Goals and Objectives:

a. Continue to coordinate with Convention and Visitor Bureaus for venues for our Regional and Leadership Conferences in the designated cities. In efforts to have signed contract for the 2014 Regional’s Memphis, TN by our Spring Board Meeting and a contract signed for the Regional Centennial Celebrations which also in Memphis, TN with 30 days of that Meeting

b. Continue to research Conference Gifts within the budget for the Registered Delegates and Attendees.

c. Continue to have dialogue regarding the Conference with Regional Board and Host Chapters.

d. Continue to explore other opportunities i.e. (swim parties, adult mixer, live entertainment, and etc.) that are offer by the venue selected for the Regional and Leadership Conferences

e. Continue to raise the bar in planning Conferences that meets the requirements of the Regional Board and Membership.

III. Recommendation:

Recommendation 1: Revisit the Region Step Show Process

As we plan for future Regional and Leadership Conferences it will benefit the Region in the planning process. This would eliminate the shortage of teams to step and increase the promotion benefits/revenue for the host chapters/region. Chapters that plan to step will only need their Chapter President and their (2) delegate’s registered for the conference plus pay a $75.00 enter fee for their step team. The prize money will be reduced to $1,000.00 for 1st Place and $750.00 for 2nd Place. By doing this will prevent the stress and embarrassment of all have a few team plan to step at the conference.

Recommendation 2: Revisit the Region Constitution for Candidates

As we plan for future Regional Conferences it will benefit the brotherhood and the planning process. By having all Candidates declare their candidacy by the January 1st of the conference year. Any additional Candidates will have to be nominated from the floor. This would give chapters’ time to caucus prior to the Regional Conference.

Recommendation 3: Revisit the Verbal Agreement between the Region and the Host Chapters

As we plan for future Regional Conferences it will benefit the Region and the Host Chapters during the planning process. To have a Signed Agreement of the Financial Rebates between the Region and Host Chapters signed 60 days after the Spring Board Meeting. By implementing this process this will prevent future disagreements.
