SGT would like to announce the following opening on our TIALS contract.

Position: Office Support Assistant II

The following requirements apply to this position:

The successful candidate(s) will provide administrative and clerical services.

In the area of clerical word processing, the candidate shall:

 Compose and type letters, memorandums, documents (Word), reports, PowerPoint presentations (or viewgraphs), meeting minutes, agendas, and meeting notices. Adhere to the NASA Correspondence Management and Communications Standards and Style (NPG 1450.10C) Handbook.  Format for either electronic or paper distribution, correcting grammar and punctuation errors.  Establish, maintain, and schedule meetings via electronic calendars using Outlook.  Prepare posting as requested and submit to Today@Glenn.  Request inputs for highlights, reformat, and forward on to Division secretary.

In the area of computer application services, the Contractor shall:  Maintain working knowledge of MS Office (Work, Excel, and PowerPoint) and other software as required.  Maintain working knowledge of internet tools (e.g. Internet Explorer) required to conduct day-to-day business efforts.  Maintain working knowledge of information processing tools (e.g. document scanning) as required.  Support/Coordinate with managers to prepare presentations using software such as Excel and PowerPoint.  Prepare SAP-based purchase orders including bankcard orders and reconciliation  Access electronic mail (e-mail).  Prepare travel authorizations and expense reports for both domestic and international travel in Fed Traveler; print and file travel documentation.  Create and maintain databases.  Creating forms using Desktop E-Forms.  Enter data in Division/Branch training databases.

In the area of clerical office organization services, the candidate shall:

 Answer telephones, return telephone calls, and direct inquiries.  Send, receive, and distribute facsimiles.  Maintain electronic calendars and schedule meetings for branch/division offices.  Schedule locations and attendance for meetings and conferences including notifying participants of scheduled date/time. Perform visitor control, security, and clearance functions for domestic and international visitors.  Screen, copy, and distribute mail, compile data packages, and file materials as requested.  Prepare and route correspondence packages to/from various locations for management signatures.  Read incoming correspondence, publications, regulations, and directives that may affect organization and determine how to distribute.  Coordinate and prepare internal, as well as external mail.

In the area of record-keeping services, the candidate shall:

 Prepare and track work orders.  Order and maintain stock and supplies.  Keep on going organization of Branch and/or Division records.  Submit requests for approved training course nominations to Division Training Coordinator.  Distribute, track, and maintain an action log. Maintain accurate Division phone lists.  Conduct equipment inventories and submit any changes/excesses (i.e., Prepare paperwork to excess equipment and arrange for pickup).

The candidate shall also:  Support building and lab tours as requested.  Support a variety of educational/student programs, which includes receiving visitors and telephone calls from within and outside the Center for general and specific information concerning office activities, functions and programs; providing requested information; and ordering publications and materials required for programs, workshops, retreats, and other similar Program activities.  Prepare and assemble EPO educational packets for students and VIP visits. This function may require organizing various mailings to be sent as requested.  Monitor the displays for bulletin boards in respective areas.  Maintain printers, copiers, and fax machines.  Notify building manager of any building concerns as necessary.  Serve as alternate ODIN POC and attend monthly POC meetings when primary POC is unavailable. a. Enter Code A ODIN seat requests (NAD, MAP, etc.). b. Track all ODIN equipment for Code CEN employees and various other items. c. Reconcile monthly ODIN reports. d. Attend monthly change agent meeting for updates on IEMP systems.  Enter orders for computer equipment, furniture, carpet or any item requiring a purchase requisition.  Other duties as required.

Requirements : Microsoft Office applications, including Word, Excel, PowerPoint, Access. NASA- specific IEMP applications, and related rules and regulations (FedTraveler, SAP, Outlook and Calendar Management). Strong oral and written communication skills are critical for supporting this extremely fast paced organization. Must be able to speak in front of a small group of people. Candidate will possess strong customer service and organization skills, keen attention to detail, and the ability to work independently as well as part of a team. Ability to prioritize work and follow-through to meet deadlines. Candidate should possess a good understanding of NASA's Correspondence Standards. Other Desired skills: Experience with mass mailings and knowledge of ODIN responsibilities a plus. The successful candidate shall possess: Education and Experience  High school diploma or equivalent. Office experience using MS Office applications and secretarial background. At least five years of secretarial and office experience.
