North Carolina Community College Planning and Research Organization Executive Committee Meeting Minutes N.C. Community College System Office May 24, 2005 (Approved July 26, 2005)
Call to Order President Kathy Baker Smith called the meeting to order at 10:00 a.m.

Mark Puterbaugh (DCCC) President Kathy Grounding Session Betty remarked that NCCCS is Baker Smith (Reports on events that impact our purchasing a program that analyzes workplace) qualitative data (VIVO). It will be used to analyze responses from NCCCS Internal Environmental Scanning Team members who will answer an online survey. Jennifer reported that she uses the microwave oven to prepare paper for scanning. Mark mentioned his latest experience with the Data Warehouse. Cameron reported on tools she had created using Access and Excel. Kim reported on the Western Region training workshop, in which Keith participated. Keith expressed his interest in Graphic Information Systems (GIS) mapping; he and Janet Sexton plan to present a session on GIS at the IIPS Conference.

Treasurer’s Net at Conference: $3353 Report Checking Balance: $4,554.14 Shares: $3,645.75 The Report was approved as presented. Secretary’s Polly Davis Report The minutes of January 12, 2005, were approved as read.
John reported on the Agenda for the IIPS Conference. He pointed out five CCPRO IIPS Report sessions: John-QEP; Keith and Janet Sexton-GIS Mapping; Polly and Leasha Davis: On-line Evaluations. All will attend a session on Risk Management.
Kathy suggested that we mail the schedule to the membership.
Cameron reported that the CCPRO website is complete, to include a searchable directory. She would like to give the website a new face. She will archive info that does not need to be on the front page.
Archives: Keith will send the history from CCPRO’s 10th Anniversary to Cameron and Ramona. Jennifer will send what she has also. Website Betty suggested that we show that the website is “under construction.”
Cameron offered to do an evaluation for the next conference.
Keith added that Tim Mizelle is working on the NCCCS website. He has created a web page showing all that Keith’s unit does.
Keith reported that a collection of Data Warehouse reports is already on the website with directions for accessing them. Keith is working on directions showing how to Data Warehouse use it more successfully. The books, Writing Reports with the Data Warehouse and FAQ Business Objects, can be used in many more ways than most of us are aware of.
In a report not yet out, colleges will be able to use the Data Warehouse to evaluate faculty salaries and look for exceptions.
2005 CCPRO Since there were no written evaluations of the 2005 Conference, the Board discussed Conference the positive and not so positive aspects for use in next year’s planning. NCAIR Kathy announced the NCAIR Conference: Boone, March 22-24, 2006

Central: Mark is working on a SAS workshop. Regional Eastern: Jennifer has been asked to present SAS at regional meetings Meetings Eastern: Gerry has asked Betty to attend a regional meeting
Keith can accommodate regional sessions with a “special” on the Data Warehouse
NCCCSU Betty reported on plans to include college reps in 2007-09 NCCCS Strategic Strategic Planning. Presidents are nominating faculty, staff, and local reps to participate in Planning the external scanning. Those who have not named their participants will be notified again.
FERPA Larry Dendy asked about the FERPA situation and CIS. Will not implement a new process for tracking until maybe 2006-07.
Performance Keith mentioned that the System is planning to take a fresh look at the Performance Standards Standards and, possibly, at compromises to the existing ones.
