Davidson Elementary PTO Meeting Minutes - 11 August 2015

Meeting called to order at 10:00 am.

Presidents Report

Administration Update:

700 Students registered for the school year

Teacher Orientation/Staff Luncheon:

August 20th - 11:15 in the cafeteria PTO members should attend

Open House Plan:

5:00 pm - August 20th - PTO members should attend

Tiger Fund - Kick-Off:

Food trucks will be there at 4:30 in the bus parking lot. DES will receive 10% of proceeds.

The PTO will sell raffle tickets for the reserved parking space and front of the car-line space.

Jana and Kim will send info to Sherry to post on-line once approved by Mr. Jarrett on 8/11/15. Back to School Packets:

Packet stuffing party - Wednesday - August 19th - 9:00 am in the DES cafeteria

Budget:

Chromebooks - CMS gave the 5th grade classrooms a cart.

Chromebook summary:

5 carts - 5th grade 1 cart - computer lab

PTO - to purchase 45 additional Chromebooks without a cart.

Fundraising Focus for 2015-2016:

We will be focusing our fundraising efforts on technology acquisition this school year and insuring we have funds to support Science lab staffing if necessary.

Our total Tiger Fund goal is - $75,000

Yearbook:

We discussed several new ideas about how to pay for and distribute yearbooks to all students. In addition we discussed how to give DES students more ownership over the process of making the yearbook, possibly in the form of a club, photography club, etc..

To provide yearbooks to all students the PTO would need to purchase approximately 700 yearbooks at a cost of roughly $10,000.

A motion was made to approve the PTO providing yearbooks for all students this school year as a pilot program. If circumstances should change next year we can reevaluate whether or not to provide them free of charge in the future. Christy Wood motioned to vote. Kim Barbieri seconded the motion and it was approved by all present.

Treasurers Report

An idea was floated that the PTO should pay for both Girls Night Out and Boys Night Out. We would request a donation be made for such events. We are hoping to provide greater access for more DES families.

It was also suggested that a family night be added to the calendar in the form of a Davidson basketball game. Admission would not be free, but the PTO would not aim to profit from the event.

Approve Budget:

1. Bring the principal contingency fund down from $4,000 to $3,000. This line item usually covers staff meals and t-shirts, in addition to other items.

2. DES has $2,000 grant from an outside company for character education.

3. The estimated amount to fully fund a teacher for our science lab teacher is $38,000. This amount would be put aside in our PTO contingency fund. In the past the PTO was not allowed to fund a position. This has changed and we want to make sure we have funds available if necessary.

A motion was made to approve the budget based on the adjustments we discussed.

The motion was made by Christy Wood and seconded by Sherry Harris. The motion was approved by all present.

July/August Audit - Completed by Angie Phillips and Misty Davis.

Andria is working on the new debit card policy.

VP Fundraising:

Tiger Fund Update:

Teachers - We are not asking teachers to contribute to the PTO Tiger Fund this year. We will ask them for their time in support of our the Invest in Me Campaign. Only 40% of teachers participated last year. We will be asking for a parent representative to help with the campaign in each classroom.

Value Add Fundraising - We will be asking teachers, staff and parents to relink their cards to DES this year. Meredith Fitzpatrick is in charge of the value add programs.

Trivia Night:

November 7th - auction, baskets donated by each class.

Dine Out for Davidson: We will be partnering with Tenders for at least one of these events. Some boards members encouraged us to keep ties with Moe’s in Huntersville. They have been a great partner in the past.

We are looking into more funding through corporate sponsorships.

Melissa Middlethon has done a great job with corporate sponsorships for TOTP.

Open House:

400 families may be attending. They are expecting high turn out, because classroom assignments will be posted. Our family count this year is approximately 537. Food trucks will be on hand and the Tiger Fund will kick off at this event.

Flags:

Promotional flags, pass to Spiritwear to display and promote. The vendor will give 25% back to DES.

Volunteer needs for Back to School:

We need PTO volunteers to be on hand to assist new K families.

Staff Appreciation: committee is doing well and all is running smoothly.

VP Communications:

Sherry is up and running - Constant contact has been renewed - computer sign ups for emails will be up and running in the classrooms.
