Subject: E-Check rollout and AS/400 changes

We are currently working with accessKansas to complete one final test for the e-check payment option within the web renewal system. The final testing with accessKansas will include a test e- mail and penny transaction for each county. Please watch for a "test" e-mail from accessKansas and the follow the instructions. If all goes well, we will implement the e-check payment option on May 3, 2004. You will be notified on the broadcaster before the e-check payment option goes into production.

Just like credit card payments, each county will receive an e-mail notifying you of transactions accepted electronically. The e-check payments will be reported to you via e-mail from accessKansas. Credit card payments for electronic renewals will continue to be reported to you from OPC. The e-mail report will be similar to the OPC report you receive for credit card payments. I have attached a sample e-check report for review.

If there are no e-check transactions for that day, the e-mail will read "No ACH (e-check) transactions to report". If you have e-check transactions, the e-mail will contain a daily transaction log and summary report as an attachment. These reports will enable you to identify what renewals were paid for by electronic check.

The daily transaction summary report will list a statement indicating when your payment will be sent for deposit. You may continue to select the date to work on the AS/400 when retrieving the electronic transaction for processing. If you want to wait until the deposit is in your bank prior to issuance of the renewal, the option still exists. The (IVR) phone renewal system does not accept e-check payments at this time.

AS/400 Processing

You will retrieve the electronic transactions (credit card and e-check) by selecting option no 1 from the “Electronic Registration Processing Menu”. The electronic transactions will continue to be processed from option number 2 entitled “Process Electronic Applications”. The receipt will

Future enhancements to the system will correct the receipt to identify the payment method (credit card or e-check) used for electronic transactions.

The daily electronic renewal report has been modified to add electronic check as one of the card types. Electronic check cards will read "CK". The transaction total for electronic check payments will be added to the report for accountability, along with all the other credit card types. The report will also identify the operator, transaction id number, owners name, date, confirmation number, plate number, vehicle type and registration type.

The total number of e-check transactions has been added to the VIPs Detail Electronic Renewal Report and to the VIPs Electronic Renewal Report Summary.

If you have additional questions, please call the County Support Section at 785-368-8384.

Thanks for all your support and assistance while we are implementing the electronic e-check system. It is sincerely appreciated.
