BOOKS Plus, Cardiff is a Christian bookshop which opened in 1999, and is situated in the concourse of the University Hospital of Wales. The shop sells Christian books and also a wide range of general interest books, music, gifts, and Fair Trade foods.

We are seeking to appoint to a new post of Administration Manager and Co- ordinator, someone who has an enthusiasm and passion to serve in this unique environment. You would report directly to the Manager and have supervisory responsibility for one other member of staff as well as being responsible for co-ordinating a large team of volunteer staff. The initial appointment would be for a period of 2 years and is full time with a salary in the region of £15,000. Usually working 37.5 hours, Monday – Friday but with some weekend and evening work required from time to time. 28 days paid holiday per annum is offered.

Job Description:

 Deputise for the Manager in his or her absence  Acquire knowledge of all aspects of the shop operation and administration, and of the stock held or available to order.  Work as part of a team and contribute to the development of BOOKS Plus ministry within the hospital and local supporting churches.  Help organise the work of, and train other staff members as required.  Manage and train the volunteer team as directed. This includes arranging and maintaining rotas, publishing them and keeping volunteers informed of developments and issues, and encouraging them to feel part of the team and ministry.  Ensure that key holders are trained in security operations and take responsibility for the issuing and recording of keys and codes and ensuring that keys are returned when staff leave.  Ensure that the EPOS system is fully maintained and operational and training volunteers in its use.  Prioritise work flow, managing the demands of the back office and shop operation, and keeping the Manager informed at all times.  Ensure that deliveries are processed quickly and accurately, mainly using the EPOS system, working alongside and training other staff as necessary in the process. Ensure that any discrepancies or damages are swiftly managed and reconciled.  Receive and return see-safe promotions. Return dated materials, for credit as required  Check, process and record delivery notes, invoices and credit notes as directed. Deal with discrepancies and ensuring corrections are issued or made.  Build and maintain displays and promotions. Replenish stock on shelves.  Serve customers, take orders and deal with enquiries.  Ensure that takings, banking and their recording are done accurately and on a regular and timely basis and that reconciliations are performed and recorded.  Assist with developing and maintaining web based content as required.  Receive and welcome visitors and reps as required including arranging hospitality as required.  File documents as directed  Work flexibly as required, including some evenings or weekends from time to time.  Ensure Health and Safety regulations and requirements are observed and implemented.  Lead staff sprayer/devotional times as needed.

Person Spec:

Essential:

 Supervisory experience  Experience of working in a team and planning and organising staff and work  A good knowledge and experience of using both Word and Excel and experience of using Outlook or similar applications  Knowledge of financial processes – including banking, reconciliations and the recording of delivery notes, invoices and credit notes  Ability to handle large, heavy boxes and packages  A outgoing and friendly personality, able to relate well to customers, suppliers and colleagues  Patience and perseverance  A flair for display and promotion

Desirable:

 Experience of working within the retail trade, ideally with knowledge and experience gained within a Christian environment  Experience of using an EPOS system  Experience of managing and working with volunteers  The ability to research using the internet. Experience of making and/or maintaining websites. Familiarity with Facebook and Twitter.
