Schedule & Confirm Date with UKC and Ensure Hunt Scheduling Fee Is Paid

HUNT SECRETARY: The Secretary should FIRST read pages 14 - 24 of the 2011 Running Rules Book for information regarding obtaining hunt dates and approval requirements of UKC & HRC Administrative Secretary.

The Hunt Secretary is responsible for seeing that the following items are accomplished:

HUNT PACKET: After receipt of the UKC Application for Licensed Events that is sent approximately 6 months prior to the Hunt(s), the UKC will send a Hunt Packet to the Hunt Secretary approximately 6 weeks prior to the Hunt(s). It will include: a) Official Hunting Retriever Hunt Report, b) Judges Report, c) Apprentice Judges Forms, d) Judges sheet for copying by the Club, e) Points Receipts, f) Formal Complaint Forms and g) various membership and registration forms, UKC & HRC brochures, and DNA brochures.

JUDGES: A complete list of Judges is maintained on the HRC web site (www.HuntingRetrieverClub.org). In concert with the Hunt Marshall and/or Club’s Officers, assist with the procurement of Judges and sending JUDGE CONFORMATION Forms to each Judge once the individual has accepted the judging assignment.. You should try to secure your Judges as far in advance as possible. Judges MUST be approved for the Hunt by the HRC Administrative Secretary at least 6 weeks before the hunt. Judge info can be completed online at http://www.huntingretrieverclub.org/Forms/Judgeapprovalform3ss.htm or faxed to the Administrative Secretary at (214)261-5166.

JUDGES NOTEBOOKS: A master a Judge sheet is sent to the Hunt Secretary in the Hunt Package from UKC, is available on the HRC Resource CD and on the web site. Adequate numbers of sheets for each Judge (based on the numbers entered in each category) are copied (land on one side and water on the other side) by the Club and should be 3 hole punched on both sides of the page and put into 3 ring binders along with at least 2 pencils. Most Judges prefers automatic pencils.

POINT RECEIPTS: Point receipts should be completed for each retriever entered prior to the Hunt day. The HRC Resource CD has point slip labels that can be utilized if the HRC Club Hunt database program is used. The point slips for the retrievers that did not pass should be clearly voided. Both Judges will sign the slips of those that pass. It is imperative that any retriever that passes and does NOT have a UKC registration “R” number be given a UKC Single Registration form at the time the point slip is awarded. The owner/handler is to be informed that they have 60 days to register the retriever in order to retain the Championship points earned at that test, otherwise there is a fee charged by UKC in order to process the points after the 60 day grace period. Offer to assist in completing the Registration Form for the Handler. DO NOT SEPARATE OR CUT THE ORIGINAL POINTS SHEETS MARKED UKC COPY.

PREMIUM: The Hunt Secretary prepares the Premium/Entry Form. A sample of this form can be obtained from the HRC Resource CD or from the HRC Administrative Secretary. This should be accomplished approximately 6 to 8 weeks prior to the Hunt AFTER THE JUDGES HAVE BEEN APPROVED. It should include the information as to date, time, location, Judges, Official Hunt Committee, etc. Once prepared, you may send to the Administrative Secretary for publishing to the web site. Also, remember you must state on the Premium that there is an additional $3 fee for non-UKC registered dogs that participate and Add $5 for EACH Seasoned/Finished/Upland entry of Non-HRC member OWNERS.

PROGRAM: Programs show the running order (see section on Running Order) and should contain the information on the retrievers entered, an ad/recognition page showing Purina, Tri-Tronics, Avery Outdoors, Bayer PetCare, Delta Waterfowl and Cabela’s as Exclusive National Sponsors of HRC, and any other information as may be desired. Logos for the National Sponsors are on the Club CD or request them from the Administrative Secretary.

PURINA HUNT SUPPORT: Purina provides dog food and other items for HRC licensed Hunts. The HRC Secretary oversees orders for Purina Hunt Support program. The Purina Order Form may be obtained from the HRC Resource CD provided to each Club; from the HRC web site www.HuntingRetrieverClub.org or call the HRC Secretary. ORDERS MUST BE PLACED AT LEAST 60 DAYS PRIOR TO THE EVENT to allow for transportation.

RUNNING ORDER ASSIGNMENTS: This MOST IMPORTANT responsibility of the Hunt Secretary, if not done properly can do more damage to the smooth running of a Hunt than any other factor. Common Sense should be used in assigning the running numbers for each retriever. If the Program reflects numbers that were assigned with a little thought behind them, things will work well when it is time for the retrievers to come to the line and takes a lot of pressure off the Test Marshall as he/she is getting dogs ready to run. You want each handler to have the opportunity to have sufficient time to air his retriever without being rushed prior to running. Handlers that might have entries in multiple levels should be allowed time to get from one Hunt site to the other. (i.e. John has 1 Started, 1 Seasoned and 1 Finished entry. Assign similar to: #2 in Started - #12 in Seasoned - #20 in Finished). In the Finished category, try to put at least 3 retrievers between each multiple handler because of the required ‘honor’. Also, to the best of your knowledge and ability, common courtesy tells us to try not to have a first time handler run #1 -- give them time to see the test a few times and become less nervous. If applicable, any Grand Hunting Retriever Champion entered in a Hunt is honored by being allowed to run first.

Another very thoughtful hint is that on Sunday, try to accommodate your out of town entries by assigning earlier Running Order Numbers. This allows them to return home earlier and is a gesture greatly appreciated.

REGISTRATION: Each entry will ‘check in’ in the morning and should be noted and receive a Program at that time. It is important to have someone be at the Registration table throughout the event that has knowledge as to directions to each Hunt site and is able to answer any questions that might arise.

The following are approximate time lines for Hunt Secretary Jobs.

The Hunt Secretary should take the position that this Hunt is the first hunt for everyone entered and not assume that the Handlers know where to be when and what to do. It is always best to give too much assistance and information than to not do enough. Every entry, whether it is their first or tenth hunt, should be treated with the dignity and respect that surrounds any HRC event.

Up to Six Months ahead -  Schedule & confirm date with UKC and ensure Hunt Scheduling fee is paid – This application is usually mailed to your club from UKC about 6 months ahead of your hunt date.

Up to Four Months ahead -  Get confirmation on judges from Administrative Secretary.  Prepare premium for submittal to and approval of Administrative Secretary  Make sure the approved premium and appropriate information is printed in a timely manner on the Website

Up to Two Months ahead -  Order Purina dog food NO LATER THAN 60 days ahead of hunt date.  Keep an inventory & order appropriate numbers of date/location streamers; class streamers, for ribbons  Contact Regional Field Rep for Sponsors banners to be displayed at Hunt headquarters

As entries come in -  Process entries & prepare confirmation letters for each entry

One or two Weeks Before -  Assign the running orders and grouping. Make best efforts to group together those requesting to be in the same flight with someone else. Although it is not necessary to run HRCH first in Finished, do not ever assign the first 3 running numbers of either flight to a first time participant. Place a minimum of 4 dogs between multiple dog handlers. Carefully check the dog’s ‘callnames’ – do not flight the same or similar named dogs next to each other. Also take into account handlers running dogs in more that one class. They need to have running orders in the different classes far enough apart that they can get to the other flights in a timely manner.  Prepare and Print program with traditional information and any ad’s required by the local Hunt Committee in addition to National Sponsors.  Prepare notebooks/clipboards for Marshals ; Veterinarian or Bitch Check Person if you have one & others as necessary, include pens/highlighters and appropriate reports for each day.  Prepare Judges binders with pencil case, containing an array of quality automatic pencils with extra leads & erasers, hard candies and or gum are a nice addition. These binders could be personalized for each Judge/Class. These binders should include enough test papers for judging all the dogs in their flight. Dividers are nice, as well as a folder or large envelope for the judges to take home their sheets. Running order sheet and or Program is also appreciated.  Prepare point receipts for judges to sign after the hunts.

Morning of your hunt -  Check in Handlers at Registration  Add any walk ins to Point Receipts

To be postmarked within 15 Working Days  Complete hunt Reports for UKC & for HRC

Be careful to complete all paperwork as directed on each report form.

UKC Paperwork Points Receipts – do not mix classes on one set of papers. i.e. - 27 Started dogs – use 5 sets of point receipts 1-6 on 1 set, 7-12 0n the second set, 13-18 0n the third set, 19-24 on the fourth set, 25-27 0n the fifth set. The last 3 point receipts on the fifth set are left empty but marked with an x in the void box.

Please attach the Started Point receipts in correct order, to the Hunt Test Category Results Form for Started. Then fill out the info. Do the same for each separate class, each day if you have a 2 day event. ( 3 different Hunt Test Category Results for each day – possibly 6 to be submitted if you have a 2 day event). For Upland Hunts – use a separate Category Results Form for EACH Hunt, even if 2 separate hunts are held on the same day.

If you run 2 flights of any class on the same day, they may be submitted on the same Hunt Test Category Results form for that day.
