Te Taura Whiri I Te Reo Māori are reviewing the options for replacing the existing data projector as the equipment is over 6 years old and requires replacing.

CSG have proposed Boardroom as a Service and they did a presentation on the Boardroom as a Service and have loaned the equipment for TTWh to test.

This document outlines the benefits and costs associated with the Boardroom as a Service solution compared to replacing the existing equipment.

Recommendation

CSG Minolta have proposed that they will be able match the monthly cost of TTWh current photocopier with a new photocopier and the Boardroom as a service included. That will mean that TTWh will not pay any more for the Boardroom as a service plus a new Minolta or Samsung photocopier than they currently do for just the Cannon photocopier.

This make their solution quite attractive as there is no fiscal cost to TTWh for the new technology.

If TTWh go with the replacement projector and other equipment then that will be an additional capital expense, where the Boardroom as a service solution when bundled with the photocopier is fiscally neutral and it is an operating expense.

As long as the CSG photocopier solution will meet TTWh’s needs and the two solutions come under the current Cannon costs then we would recommend the CSG solution.

If the CSG solution is used for board meeting instead of Zoom then that would enhance the CSG proposal but if TTWh continues to use Zoom then while that will reduce the benefit of the new technology it doesn’t really effect the overall fiscal benefit that TTWH will get from the new solution.

There are two options for providing technology in the boardroom:

1. CSG Boardroom as a service

2. New Projector and screen

Boardroom as a Service

CSG have developed Boardroom as a Service is a solution for providing technology for video conferencing, Webinar, interactive discussions and recording board meetings.

The solution is a cloud based video conferencing that make is easy for any device to connect to the conference. Either using a computer or mobile devices.

CSG provide the hardware and software - large television, built in computer, and camera in a single moveable frame or the technology can be mounted on to the wall. Software includes the Boardroom as a Service software.

The CSG solution is a single fee per month over 60 months and covers all costs associated with the solution. Should a component fail during the 60 months CSG will replace it at their costs.
