Job Purpose: Generalist role to help our firm grow & prosper by assisting with a variety of operational, marketing, client service & administrative efforts.

Responsibilities:

1) Marketing - (50%): Lead or assist with a variety of marketing tasks to help firm identify & add appropriate new clients:  Answer inbound calls from prospective clients, & collect information needed to assist them.  Continually update and manage Saleforce CRM database.  Schedule & help prepare for calls & meetings with prospective clients.  Lead effort to plan, prepare for & execute events for clients & prospective clients.  Assist with drafting & distributing letters, newsletters, presentations, etc.  Assist President & CEO with other business development activities.  Help track & report marketing activity & results.

2) Operations - (40%): Lead or assist with a variety of operational tasks to help firm operate efficiently & maintain professional image:  Serve as executive assistant to President & CEO, helping to manage his calendar & leverage his time.  Assist Operations Manager with variety of operational activities.  Independently manage & execute variety of operational & administrative projects.  Work with appropriate vendors to help maintain and/or repair office equipment & technology.  Help maintain professional & well organized office environment to leave a positive impression with our visitors.

3) Administrative & Client Service - (10%): Assist with a variety of client service & other efforts to deliver excellent client service & run an efficient firm:  Lead effort to ensure that main phone line is always covered by live person during Allodium business hours.  Professionally answer & manage inbound calls from clients, vendors, etc.  Pleasantly greet guests & visitors to our office at the front desk.  Assist with variety of client service efforts, as needed.  Serve on various committees to help refine Allodium business processes.

Qualifications:

Minimum Qualifications: * BA or BS degree, ideally in business or related field. * 3 years of successful operations, administrative and/or client service experience. * Ability to reliably work week days from 8 am - 5 pm in our Minneapolis office. * Pleasant, professional & friendly manner with excellent interpersonal skills with clients & peers. * Strong team player. * Highly organized & detail oriented. * Demonstrated reliability & punctuality. * Demonstrated flexibility, versatility & ability to simultaneously juggle multiple projects & priorities. * Proven analytical & independent problem-solving skills. * Highly proficient with Microsoft Office & other office software & eager to learn how to use more. * Highly proficient with office technology like computers, copiers, printers, fax machines, scanners etc. * Demonstrated client service orientation & excellence. * Unquestionable personal & business ethics & integrity. * Excellent written & verbal communication skills. Preferred Qualifications: * Experience working in professional office environment, ideally in the financial services industry. * Event planning or related experience. * Experience with following software: - CRM software like Salesforce.com. - Electronic document management software like Laserfiche. * Independent project management experience.
