Children’s Centres – Job Description

ROLE SUMMARY This role covers nine main areas of responsibility:  Assets to manage and take responsibility for the security, resources and equipment  Management Information which is to provide effective communication and collection of data and evidence  Decision making to contribute to the decision making  Financial Activities to be accountable for collection of Nursery fees  Partnership Working to welcome families and professionals using the Children’s Centres  Service Delivery to provide an efficient, flexible and responsive reception, administrative, financial and clerical service to Children’s Centre Nursery’s within the Upper and Central Calderdale Children’s Centre area  Development of services working as a team to improve the outcomes for Children & Families  Safeguarding to comply with Halifax Opportunities Trust policies and procedures having a clear understanding of child protection issues  H&S to manage and follow regulations and procedures intended to prevent accident or injury within the working environment

Responsibilities

Key Results Area Two: Assets  The security of the Children’s Centres and their contents. The care and maintenance of equipment and resources needed to carry out the duties of the post

Key Results Area Three: Management Information  To ensure the upkeep of the Nursery and where appropriate centre’s information notice boards and the replacement of information leaflets  To support the Data Manager with data input as required using the bespoke software packages

Key Results Area Four: Decision Making  To contribute to decision making as part of the Children’s Centre Team  Use initiative when making day to day decisions regarding the welfare of children and parents, in consultation with Deputy Children’s Centre Manager  Comply with Halifax Opportunities Trust policies (including relevant CMBC policies) including Health and Safety, Safeguarding, Equal Opportunities and Confidentiality

Key Results Area Five: Financial Activities  Handling of monies in respect of Nursery fees following finance procedures

Key Results Area Six: Partnership Working  To assist in liaison with other professional agencies and key suppliers

 To have a clear understanding of safeguarding Children and Domestic Violence and to act appropriately should areas of concern arise, in line with the safeguarding policy and procedures followed by the Children’s Centre

Key Results Area Eight: Service Delivery  To welcome children, families, professionals and all other visitors to the centre, and to deal with those visitors in a sensitive, respectful and appropriate manner ensuring safeguarding and security procedures are followed  To act as a reception point for telephone and personal callers, messages and dealing efficiently and courteously with enquiries  To operate the visitor recording system and effectively manage appointment systems for multi-agencies using the Children’s Centre  To ensure that all areas including reception are tidy, safe and welcoming  To process incoming and outgoing mail and to distribute as required  To undertake administrative duties connected to meetings  To work with the Deputy Nursery Centre Manager in implementing and maintaining the office and data administrative systems, ensuring efficient systems that are accessible to all staff  To make appropriate use of office equipment and co-ordinate the use of the centre rooms, consulting with the staff as required  To take responsibility for maintaining the stationery cupboard, preparing orders for new stationary, resource and equipment including obtaining quotes through catalogues and over the telephone  To provide administrative support to the programme, this will include, but is not limited to, word processing, producing project literature and monthly invoices, creating and maintaining databases, photocopying and dealing with enquiries via visits to the centre, telephone, fax and e-mail  To work in different Children’s Centre Nursery’s as necessary within the central service area and participate in a rota that ensures full receptionist/administration cover for the area

Key Results Area Nine: Development of Services  To assist in the production of materials for the Children’s Centre Nursery, e.g. leaflets, signs and information using desktop publishing  Maintain up to date knowledge of Surestart activities by attending and participating in Sure Start Children’s Centre meetings

Key Results Area Ten: Health & Safety  Adhere to and assist with completing risk assessments  Report any hazards or broken equipment immediately to the Deputy Children’s Centre Manager

Personal Development  Take responsibility for own personal and professional development, in line with agreed annual performance objectives  To attend and contribute to ongoing, regular supervision from Deputy Children’s Centre Manager  To attend and contribute to regular Performance Development Plans  To attend regular staff meetings and training days

Interfaces Internal:  HOT / CC Board  EWIC management team  HLEC management team  Children’s Centre’s management team  Finance Department

External:  Families, members of the local community  Key suppliers  Other stakeholders (eg CMBC)  Contractors

The responsibilities reflect the core activities of the role and are not intended to be exhaustive. Other activities or duties may be required, or changes in emphasis needed, from time to time to meet the needs of the organisation and it is expected that the role-holder will adopt a flexible approach in this respect. All roles and responsibilities are regularly reviewed and revised where necessary to ensure that organisation needs continue to be addressed.
