Timeline Activity Notes Schedule the date and location of 12-9 months prior the fair. Reserve space. Six months prior Draft invitation for vendors. Six months prior Draft application for vendors. Three months Create theme. prior Compile list of vendors to invite. Three months Consider using broad topic areas to prior group your vendor list (see Sample Vendor List next page). Send invitation to vendor list to Two months prior apply for consideration. Include response deadline. Coordinate with graphics Two months prior department for any promotional items. Begin promoting event to Two months prior employees. Confirm approved applicants and One month prior communicate with approved vendors. Create paper schema of floor layout and place vendors at areas One month prior depending on needs (electrical outlet, table space, equipment needs, etc.). Secure from facilities any easels, One month prior extension cords, microphones, sound systems, etc. Confirm with vendors requirements Two weeks prior such as Wi-Fi, cords, easels, etc. Send email reminder to all vendors One week prior regarding the event. Layout room or rooms and mark Day of event tables with vendor names.
