1. Welcome and Fire Evacuation Procedures: Welcomed all to meeting and completed the safety briefing. Ian Russell MD

2. Round the Table Inductions: All personnel introduced themselves and informed what unit they are from.

3. Discussion of Previous Minutes PPE Review: Some Chef Managers asked why units can’t change over to Hyflex gloves cut resistant gloves in galley from the now Blue Rhino gloves Paul Stone explained it was company policy, no gloves other that Blue Rhino to be used in galley in accordance with Knife use and glove policy 2014. If there are any other types of cut resistant gloves being used in galley these are to be removed and transferred into the accommodation. A copy of the knife and glove policy can be sent electronically if you wish, contact Karen McCombie

Safety Shoes: There were concerns with some Safety Reps that the Trojan Safety shoes were not fit for purpose. Paul Stone explained there are now 6 different types of safety shoes on offer that meet the company standard. Company policy is, no shoes purchase shoes outside of company policy unless they obtain and produce medical evidence that they cannot wear any of the following for medical reasons Any deviation from policy must be agreed by Line Manager/Operations Manager

Safety Rep Training: Paul Stone investigated if this was possible. At this moment in time it is not financially viable to put safety reps through IOSH, however following discussions with Domenico D’Ambruoso he is working on a hand book developed to IOSH standards by Sodexo Ireland. If acceptable will be available for all Safety Reps. Safety Reps Contact List: This has been updated and will be put on the safety reps forum within the Sodexo website. If any reps need the username and password for this or any of the information is incorrect please contact Karen.

Use of colour coded cloths: Paul Stone clarified that use of colour coded cloths must comply with procedures laid down in the OPHS Manual Red – Toilets Green – Galley Blue – General Purpose

2 Yellow – Mess room/Sick Bay At no point must cut up cloths be used. A colour chart is available, if anyone wishes to have this sent to them please contact Karen.

4- Step Change Team Leader Visit. Les Linklater from Step Change in safety met with the reps. Explained what step change are about and was open to any questions the rep had for him.

New Issues from 11th September.

Sodexo Reps representation at client Safety meetings- It has been noted that the Sodexo ESR are very well represented at client safety meetings. Well done to everyone who goes that extra miles it’s noted and appreciated.

Team work / Encouragement- It has been noted that team work is not always encouraged offshore and that sometimes for various reasons people’s work load can increase from time to time and they need extra assistance. This is to be fed to all managers offshore and to ensure that we promote team work and helping others out in different job roles within the catering department. This needs to be a standard practice throughout all shifts on all assets.

Undermanned installations- One platform felt that they didn’t have 5th week cover and therefor the work load and pressure on the job has increased. The manning level on this platform will be reviewed and ensure that the correct amount of staff are onboard for the POB.

Ad-Hoc Workers- The quality of ad-hoc workers has been very high and appreciated over the sites. They have high standards and a great basic knowledge for being new to the industry.

Environmental Meetings- This meeting didn’t happen and seems to be lacking structure. Mike HSEQ manager has committed to ensuring this happens. It will happen on the same day as the safety reps meeting as the reps feel that a full day does not need to be dedicated to this.

Safety Reps meeting / Claw back day- The question was asked if the safety reps meeting can be used as a claw back day. No as claw back days are client specific within the agreed contract.

Laundry Cards / Standard system- New all clear cards have been sourced and these are the best quality ones we have seen yet. As we have seen so many different ideas and campaigns a case is going to be built with all the injuries and machine damage statistics caused with items left in coveralls. This will then be produced to COTA so that a standard system can be proposed throughout the industry. Due lack of care and attention- Can this be removed from the safety alerts as it undermines and be little’s the person involved? New functions and names for root causes are to be introduced in the near future and this term will be removed.

3 Can the installation and job title be removed for safety alerts? The installation name cannot be removed as unit and operation managers still have a duty of care and need to be accountable for incidents. Whenever possible IP will be used in reporting incidents. The only time a trade will be used if a lesson learnt is involved for a particular job role.

Why do managers get “pulled” into the office after an incident? This was raised as the reps believe people will not report incidents if they feel like the manger will be “pulled” into the office. The reason managers are asked to come into the office is because they are the person who will have carried out the investigation offshore. This will allow the onshore team to get to the root cause of an incident and ensure that this is prevented in future and that lessons can be learnt from this incident. This is in no way a blame or disciplinary proceeding.

Can safety reps / advisor be involved in the induction of new people to the company? Yes this is a good idea and the HSEQ will attend these and a rep if available. Logistically this may have to be the reps from the office that attend.

Can we have an updated Step Change membership cert sent to us? An updated cert has been requested and should be making its way to you shortly.

Reps were offered the chance of starting up a tri-weekly conference call? The reps feel as though the manager’s call covers all safety aspects as all safety reps are invited to this.

Reps were asked if they would like to get involved in any future safety campaigns- The reps would like if any future campaigns are sent out to them via email for review and feedback before they go live. This will also help support the chef managers in rolling out new safety initiatives.

Safety alerts, can these be sent to the reps? Yes these will now be sent to the reps via email once a distribution list has been set up.

Would the reps like a slot on the company magazine? This is available to the reps when they like. If you have anything you would like to add to the magazine please contact Karen. This will be used for updates, achievements, articles etc.

Terms of Reference- A terms of reference for the reps has been drafted and reviewed by the reps, this is to be published and sent out to all reps as a reference guide and for new reps on what is expected of them. Training- Mike Spratley will be conducting root cause analysis training and incident and investigation training in-house for the reps and management team. Dates for this to be confirmed.

The next Safety Reps Meeting will be on: Thursday 11th December 2014 – 10.00 am start 15-00 finish. This may be extended to include the environmental meeting. An invite will be sent via survey monkey. Please respond to this invite with your availability.
