Participants commit to make a payment via bank transfer for the registration fee within three weeks after the date when the registration is accepted. In case the payment is not received within three weeks of the date of the invoice, the registration will be cancelled. If the registration was made after 1 September 2014 payment must be made by 12 September 2014

General terms and conditions for registrations to the conference

Conference fee The conference fee covers admission to the event, participation in all sessions, including conference materials, lunches, coffee breaks, one reception, one dinner, and a Ghent tour. Accommodation is not included in the registration fee. Please do not book your travel or accommodation until you receive written confirmation of your registration.

Payment When pre-registering online, participants commit to make a payment via bank transfer for the conference fee within three weeks after the date when the registration is confirmed. In case the payment is not received within three weeks of the date of the invoice, the pre-registration will be cancelled. If the pre-registration was made after 26 August 2014 payment must be made by 10 September 2014. Payment on site (cash only) is accepted only on exceptional cases.

Substitution Participants unable to attend the conference may transfer the registration to a substitute participant without additional cost. In this case, please inform the secretariat in writing and providing the names of the substituting person .Should the billing address need to be changed, participants need to inform the Secretariat in writing including the new billing address and the substitution email. The substitute participant should register as well and state under Remarks that s/he is replacing another participant.

Cancellation Participants may cancel their registration at no extra cost if written notice of cancellation is received by the conference secretariat before 15 August 2014. The bank charges for the reimbursement of the fee will have to be covered by the participant. The organisers will reimburse only 50 % of the registration fee amount in order to cover the costs related to the commitments to the conference service providers (printed material, catering, etc.). Cancellations received after this date may be charged a cancellation fee of 50 Euro.

Liability The programme and speakers are subject to change. Due to force majeure, unavailability of the conference venue, speakers being prevented or else, the organiser reserves the right to cancel the conference. In case of cancellation all participants will be promptly informed. The cancellation due to low attendance will not be made later than two weeks prior to the conference. In this case, all registration fees will be reimbursed.

Payment details Full payment is required in order to confirm registration. A confirmation of payment will be sent via email (Please note however that payment receipts will only be issued upon request).
